The managers discussed the candy and pens give-a-ways during Customer Appreciation Month. The managers stated candy was all given out and there are pens still available. They expressed that the customers seemed really happy receiving the give-a-ways.
Schedule Anywhere
Denyvetta reminded everyone the November schedule should be entered utilizing Schedule Anywhere.
Melody-ED, shared that some of the explanations in Schedule Anywhere were deleted and because this is a shared file, she asked the managers to not change any of the explanations.
The Interlibrary Loan policy ensures that the Metropolitan Library System provides eligible customers with access to a wider range of materials by sharing resources with cooperating libraries throughout the nation.
Business Office is working on policies and procedures regarding accepting mutilated money. They are also looking into purchasing counterfeit pens for each library location. They have been receiving counterfeit ten dollar bills and twenty dollar bills from library deposits.
ILL Presentation - Pauling Rodriguez-Atkins, Cataloging Manager, presented information on the Interlibrary Loan process targeting areas of specific interest to Circulation Clerks. Pauline announced that she will follow up by sending an ILL manual to all libraries. The presentation was very informative.

Melody Kellogg (ED Manager) introduced herself to the Circ Forum attendees and asked everyone in attendance to introduce themselves.
Tour of Southern Oaks Library
Randy Wayland (SO Manager) gave a tour of SO. He mentioned that 3,000 sq ft have been added to SO library as well as 2 study rooms. Also, SO now has 36 public computers.
Julie welcomed attendees and gave a tour of the Northwest Library.
Express Checkout Mistakes: Prevention & Correction
Denise Ryan addressed attendees on the correct procedure for Express Checkout Deposit. She provided everyone a copy of the original Self-Checkout Instruction booklet and also a copy of the New Express Checkout Procedures Instructions. She reminded clerks to send in deposit money even if they accidentally run the deposit report and also to send in the Express Checkout Fund Receipt every day.
One goal of the demos is to gain information about the particular ILS to formulate a RFP (Request for Proposal). Currently, we have three (3) demos scheduled:
August 14 8:30-noon (DN) – Polaris
August 15 8:30-noon (DN) – SIRSI
August 16, 8:30-noon (DN) - iii
At this time, only the ILS Task Force members will be present for the demos. Later, we will invite others to participate in further demonstrations of the products (as discussed at the July 2012 Tech Support meeting)
In January 2012, Tech Support received a suggestion on adding a new lookup function to vCirc to show relationships of card holders so spouses or children can easily pick up other people’s reserves. Tech Support drafted a statement to add to the reserve pick-up page that says, “You must check this material out with the card you placed the reserve on” to help with this occurrence. This subject was then discussed at the February and March Managers of Library Operations meeting. Three library manager volunteered to develop scenarios to help educate staff and customers and brought those for discussion at the May Circulation Forum.
Since the topic still continues to surface, we have developed an FAQ for customers and staff. This draft was shared at the July Circ Forum (minutes to be posted soon). Below is the draft of the staff FAQs that includes the feedback provided by the circ clerks. Please let us know if you have any additional feedback or need further explanation.
Kay Bauman discussed the original purpose of the Tech Support committee as a way to address staff and customer suggestions on our integrated library system (ILS). The committee was comprised to gain different perspectives of users at all levels. With upcoming changes to our technology philosophy and the process of moving to a new ILS, the committee will evolve. One impact is that no more modifications to the ILS System will be made since we will be moving to a different one.
As the ILS Task Force researches other integrated library system vendors, the Tech Support committee members will play some part in testing new ILS software and systems and provide perspectives on their use. There is no timeframe of involvement at this time.
