Frequently Asked Questions Concerning Nontransferable Cards and Reserve Pickup

In January 2012, Tech Support received a suggestion on adding a new lookup function to vCirc to show relationships of card holders so spouses or children can easily pick up other people’s reserves. Tech Support drafted a statement to add to the reserve pick-up page that says, “You must check this material out with the card you placed the reserve on” to help with this occurrence. This subject was then discussed at the February and March Managers of Library Operations meeting. Three library manager volunteered to develop scenarios to help educate staff and customers and brought those for discussion at the May Circulation Forum.

Since the topic still continues to surface, we have developed an FAQ for customers and staff. This draft was shared at the July Circ Forum (minutes to be posted soon). Below is the draft of the staff FAQs that includes the feedback provided by the circ clerks. Please let us know if you have any additional feedback or need further explanation.

Circulation Forum Minutes for May 2012

Card Applications

It is important to enter new card information from the applications, not from the customer’s identification. Please remember to check to be sure that applications have signatures and that the proof of address matches the address on the application.

Lost Card

Cheryl reminded Clerks to make sure to check for previous lost cards when processing library card applications even if they have a lost card in their hand. Duplicates are being entered.

Credit Card Payment
Clerks reminded that we are not allowed to require a minimum amount for credit cards payments - credit cards can be taken if less than $5. However, card transactions cost MLS $0.25 per so we are encouraged to provide the customers with alternatives when they are paying a sum under $3.00 until they can bring in cash to pay the amount.

Annual Fee
When processing annual fee cards and taking a payment, clerks reminded to use the “annual fee” tab and not the “other” tab under financial.

Credit Cards
Clerks were asked to notify Cheryl when a credit card is denied, the type of Credit Card and error shown on the computer, and the dollar amount. Cheryl explained that MLS has different contracts with each card company -not the Business Office. Jimmy is trying to determine what the circumstances are for certain transactions being denied. Do not have the customer call their credit card company as this costs the system $25 each time. Cheryl is aware that the readers cannot read the tiny credit cards (key ring cards). If the Customer wants a number, the MLS number for credit card questions is 606-3849, 8:00-4:30.

Welcome

Julie Ballou welcomed everyone to Circ Forum, thanked DC for hosting and Patty Ortiz for bringing refreshments. She asked all clerks present to introduce themselves.
V-Circ Proposal Update

Tech Group has accepted the revised proposal and Jimmy Welch is working on a prototype. Manager’s Comment box did not get approved. V-Circ will open to the message page similar to the Stops pop-up box for notification.

Address Confidentiality Program: Brenda Coffman

Guest speaker Brenda Coffman from the Address Confidentiality Program of the Oklahoma Secretary of State office spoke about what the program is, and how it helps keep confidential information about victims of crime, domestic violence, stalkers etc. This is done by not having information in public records that can track them. All participants in the program have one address and the mail is forwarded. When a person in the program applies to any of the 57 agencies (state, local or non-profit agency) currently involved in the program, they will have an ID card with an authorization number. Agencies are asked to accept this ID as all the ID proof needed. The agency can copy the ID and use usual standards of policy. Managers discussed possible problems with issuing cards such as the address is a post office box with no second ID; where to put the ID number on the card and when to put it on the card.

Ad-Team Meeting Minutes May 2003

Judy handed out a draft of updated safety rules and administrative procedures. Scott will handle rewording for the final draft.

Scott showed the poster for the teen summer reading program and played the TV spots for the summer reading program "Dig It". These spots will begin running now through June 30th. He also passed around brochures and sign up packets for the summer reading program.

Dana said that the Blood Hag presentation last night at Southern Oaks was well received. Carl's Jr. provided burgers for the crowd of 200.
