Ad-Team Meeting Minutes - May 15, 2013

Construction Management – Out of the Office

Administration / Commission – Donna discussed her recent visit to Washington, D.C. to advocate for libraries and her visit with four local Representatives at the event.

Donna informed the Ad Team that she will attend the ground breaking ceremony for John W. Rex Elementary Charter School on Friday, May 24th and ask them to join her if interested.

Tech Support Meeting Minutes for July 24, 2012

Kay Bauman discussed the original purpose of the Tech Support committee as a way to address staff and customer suggestions on our integrated library system (ILS). The committee was comprised to gain different perspectives of users at all levels. With upcoming changes to our technology philosophy and the process of moving to a new ILS, the committee will evolve. One impact is that no more modifications to the ILS System will be made since we will be moving to a different one.

As the ILS Task Force researches other integrated library system vendors, the Tech Support committee members will play some part in testing new ILS software and systems and provide perspectives on their use. There is no timeframe of involvement at this time.

ILS Task Force Meeting Minutes for July 11, 2012

Anne shared what she learned while attending the ALA Annual Convention in Anaheim, California last month.

She attended the session Selecting the Right Integrated Library System with the following presenters: Andy Peters, Director of Technology, Pioneer Library System, Norman, OK; Desiree Webber, Director, Mustang Public Library, Mustang, OK; Pat Weaver-Meyers, Director, Noble Foundation Library. Anne noted that when we do transition to a different ILS system we will need to close the library system for a few days. She visited the exhibits and thought that was very beneficial since she was able to talk with various vendors and spend time with them asking questions, seeing demos and has continued communicating with them since those visits.

ILS Task Force Meeting Minutes for June 19, 2012

Donna opened the meeting by explaining that we must develop a plan for transitioning to a new ILS system and other related software. In the June Commission packet Donna’s Executive Report explains:

Jim Welch, our long time Deputy Executive Director/Information Technology has announced his retirement effective June 28, 2013. Jim began his career with MLS in October of 1970. Over the years he has had a wide variety of job titles related to information technology; but has always been our “main man” when it comes to automation and information technology. He has been instrumental in the development of our Integrated Library System (ILS) since the early 1970’s. He has written and developed most of the software we currently used for our entire library IT needs, and in tandem with Anne Fischer has managed the hardware and software in an excellent fashion for many years. In addition he has supervised many of the support departments over the years including cataloging, tech processing, maintenance, and the business office. His knowledge and expertise on all matters related to MLS is impressive and colleagues regularly go to him for advice and discussion on a wide variety of topics.

Materials Services Division Managers' Meeting Minutes for February 2012

Discussion with Donna about transfers - Karen
Karen said a decision will be made within the next few weeks. If the new long range plan includes opening of new “storefront” locations, this will be a major factor in the decision. Jones will probably not receive many transferred materials even when they move to their new building.

Review of gift guidelines with staff - Pauline
Pauline has met with the Cataloging Technicians and stressed that IS gifts are to be added to the collection only if they are in excellent condition, there are few available copies within the system, and the material matches an existing bib record. Mass marked paperbacks will be added to the cataloged collection only if the title has previously been cataloged in mass marked format, or if the addition is approved by a Materials Services Manager.

Changes to VCirc regarding System Reserves

With the introduction of self-pickup of reserves, there has been an increase of customers taking reserves that don't belong to them, taking the labels off and then bringing them to the circulation desk. When self-pickup was first introduced, both VCirc and the Express Checkout did not let customers check out reserves that were not reserved on their card. However, staff requested that this be removed from VCirc because family members checked out for each other and they felt the block was more of a problem than a help so the block was removed from VCirc.

Staff Use of Public Library Property and Services

In December 2002, the "Staff Use of Public Library Property and Services" policy was revised and one of the items updated was the following statement: "Library employees may not install on library computer equipment, computer software (including application software), screen savers, wallpaper, games, etc. that have not been authorized by library automation staff through established procedures." This memo is a reminder to all staff of this policy. It has been brought to my attention that the Information Technology (IT) staff have been finding more and more "freeware" software and screensavers installed on computers and many times this software has resulted in service calls because the computer is "locking up," "crashing when using various software packages or the Internet browser," "getting the blue screen of death," "getting a Dr. Watson error," along with various other usage and printing problems.
