Circulation Forum Minutes - February 04, 2015

Meeting was called to order at 1:30pm.

Welcome

Julie welcomed those that came to the forum and reminded everyone to share what they learned with the staff at their libraries.

Special Guest – Tim Rogers

Tim greeted all the Forum attendees and reminded everyone about the upcoming Friends of the Library book sale.  He provided a box of bookmarks and asked everyone to take some back to their libraries.

Procedures

The goal of the purchasing procedures is to ensure that purchasing is performed lawfully and that funds are used effectively and efficiently to accomplish the goals of the Metropolitan Library System for the benefit of Oklahoma County Residents.  Our goal is that:

All purchases are to be made legally and with integrity. 

PIE Meeting Minutes - July 25, 2013

The new 330 RFP has been in use for 24 days. When Jon began looking at the data and the way it export he feels ‘joy’ because it works beautifully. Jon showed us how he created a macro in Excel that translates the codes in the mlsBudget expenditure report so that we can more easily interpret the data. He also created a macro that generates several charts, which he explained. This information will help managers make better data driven decisions. Jon pointed out that this Excel file does not show us indirect costs and does not have any data validation.

Circulation Forum Minutes February 2013

Business Office is working on policies and procedures regarding accepting mutilated money. They are also looking into purchasing counterfeit pens for each library location. They have been receiving counterfeit ten dollar bills and twenty dollar bills from library deposits.

ILL Presentation - Pauling Rodriguez-Atkins, Cataloging Manager, presented information on the Interlibrary Loan process targeting areas of specific interest to Circulation Clerks. Pauline announced that she will follow up by sending an ILL manual to all libraries. The presentation was very informative.

Welcome
Melody Kellogg (ED Manager) introduced herself to the Circ Forum attendees and asked everyone in attendance to introduce themselves.

Tour of Southern Oaks Library
Randy Wayland (SO Manager) gave a tour of SO. He mentioned that 3,000 sq ft have been added to SO library as well as 2 study rooms. Also, SO now has 36 public computers.

Card Applications

It is important to enter new card information from the applications, not from the customer’s identification. Please remember to check to be sure that applications have signatures and that the proof of address matches the address on the application.

Lost Card

Cheryl reminded Clerks to make sure to check for previous lost cards when processing library card applications even if they have a lost card in their hand. Duplicates are being entered.

Credit Card Payment
Clerks reminded that we are not allowed to require a minimum amount for credit cards payments - credit cards can be taken if less than $5. However, card transactions cost MLS $0.25 per so we are encouraged to provide the customers with alternatives when they are paying a sum under $3.00 until they can bring in cash to pay the amount.

Annual Fee
When processing annual fee cards and taking a payment, clerks reminded to use the “annual fee” tab and not the “other” tab under financial.

Credit Cards
Clerks were asked to notify Cheryl when a credit card is denied, the type of Credit Card and error shown on the computer, and the dollar amount. Cheryl explained that MLS has different contracts with each card company -not the Business Office. Jimmy is trying to determine what the circumstances are for certain transactions being denied. Do not have the customer call their credit card company as this costs the system $25 each time. Cheryl is aware that the readers cannot read the tiny credit cards (key ring cards). If the Customer wants a number, the MLS number for credit card questions is 606-3849, 8:00-4:30.

Circulation Forum Minutes for November 2010

Library Card Applications Activity—Cheryl Mann, Circulation Control, facilitated an activity for the group. She handed out sheets of blank V-Circ application screenshots along with some completed application forms. Participants worked in groups of two to enter the information on the form just as they would in V-Circ. Cheryl went around the room answering questions and providing feedback. She reminded everyone that reciprocal cards are issued to customers who are eligible for a Pioneer card according to the Pioneer Library System policies. Their policy states that any individual owning property, working, attending school, or living in Cleveland, McClain, or Pottawatomie Counties is eligible for a card. If a child attends school in their service area, the whole family qualifies for a card. Cheryl said that for MLS, a Pioneer card is not required for a reciprocal card, but can be taken as proof of eligibility. Cheryl told everyone that their Circulation Policy is on their website. She provided some tips of how to handle situations in which a person’s name or address doesn’t fit in the allotted space in V-Circ. She also explained the V-Circ software adds the “th” to numbered streets and the “St” for street names to save staff the time of typing them in. She asked that on school cards to include a note on the form to indicate the school attended.

Julie Ballou reviewed a final decision from Circulation Forum I’s discussion.

The 6 week maximum check-out will stand. The policy stated in the AGOP 2113 “Intro to VCirc” reads:
Books, other printed materials, audiocassettes and recordings may be checked out for two weeks. They may be renewed twice to a maximum loan period of 42 days if there is no System Reserves request for items during that period.

Manager of Library Operations Meeting Minutes for April 2008

Jimmy and Anne, IT, gave a PowerPoint demonstration giving managers a preview of the new features that will be added to the CyberMars link on the Internet and will be made available to all customers on April 28, 2008.

Credit/Debit Visa cards, MasterCard and Discover can be used to pay for fines, lost or damaged materials and also annual fees for customers living outside our service area.

Effective May 1, 2008, overdue notices, bills and annual fee renewal letters will reference paying by credit cards. Cheryl, CC, will be the primary staff member in handling credit card refunds. When the Express Checkout re-development is completed, coin boxes will be placed at every location so that customers can pay by credit card or cash without having to visit the circulation desk.
