Reporting Aspen Issues

Thank you to everyone who reported Aspen issues over the past couple days. There was an issue where statuses were not updating to reflect current holdings in CARL. There were also some searching issues. As a reminder, 

Aspen Update - Changes on May 8th

Hello Everyone,

Based on the February 2024 Usability Testing and other feedback, the following changes will be made to Aspen on Wednesday, May 8th:

1. The due date will display for items checked out.

2. Add “Special Collections at Downtown Library” to the “Library Hours and Locations” list. 

3. Add a placard for Special Collections / Oklahoma Room. (If someone searches for either, a message will display to give information with a link to their landing page).

Aspen is LIVE!

Aspen is LIVE!

There are a couple of things to note:
1. Holds cannot be placed on magazines in Aspen. Holds can still be placed for guests in CarlX or Carl Connect.  There is development to make this an option and we will notify you as soon as it is available.
2. Lists were pulled from CARL.X on Friday, so any updates guests made to their lists after that did not come over. 
3. Print newspapers do not display in Aspen because they don’t have items.

Aspen Tuesday Tip - Email/Text Preferences

How do guests set up their email and text preferences in Aspen?  It is under “Account Settings”—"Contact Information” in the ‘Your Account” page.

Aspen Updates

• After further review of content from Goodreads, we have decided to not offer Goodreads reviews in Aspen.  We have no options to filter and there is inappropriate content. Novelist and Syndetic information and reviews from several sources (Booklist, Kirkus, Publishers Weekly, School Library Journal) are included.  These can be seen under “More Title Information” when you are in the title page.

Aspen Tuesday Tip - Bypass Automatic Logout

We hope you are having fun learning about Aspen and its features.  Here is our first Aspen Tuesday Tip! 

Tired of Aspen logging you off too quickly? There’s a way to bypass the automatic logout!

After logging into Aspen, go to “Your Account,” “Account Settings,” “Staff Settings,” and you can turn on the bypass automatic logout.  That will keep you logged in.  See below for a demo.

Suggest A Title

When our public catalog switches to Aspen on November 1, Collection Development will accept suggestions for physical material through Aspen. To improve the guest experience, clear and transparent expectations will be listed on the Aspen Suggest a Title form:

• We welcome suggestions for items we may have missed. Guests can suggest 50 titles a year and have 5 active suggestions at a time.

• We accept suggestions for titles coming out within 1 month and already published titles.

Aspen Permissions & Patron Types

Aspen allows us to have different levels of permissions based on the staff member's library card number. We have assigned different Aspen permissions based on staff / departments who will be continuously working on Aspen once we are live.

Aspen Update - A New Public Catalog on Nov. 1st!

Aspen is the new public-facing catalog which guests and staff will be using when we go live on November 1st.  It combines our physical materials from CARL.X with electronic resources for a robust public catalog (aka discovery system).

Aspen Update #2 - CARL.X, Events and eContent Loaded

Aspen Update #1 - What is a Discovery System?

As we approach our November 1st Go Live date for our discovery system, Aspen, we want to share with you our first update.  The Aspen Implementation Team had the initial Kickoff Meeting with Bywater Solutions (the company hosting Aspen) team.  We have a project planning spreadsheet which the Implementation Team is already working on.

Aspen Implementation

The Metropolitan Library Commission approved the purchase of Aspen (a discovery system offered by Bywater Solutions) at the April 20th meeting. Aspen is a discovery system which offers a single-search interface combining print resources from the catalog (CARL.X) and electronic resources (i.e. Overdrive, Hoopla, Kanopy, and more). I have been very interested in implementing such a system to improve guest experience and increase use of our resources.
