Circulation Forum Minutes - May 2014

Kay gave a brief history of the Circulation Forum and its purposes. The group first met in November 2009. Their stated goals/purposes are as follows:

Improve consistency of policy and procedural adherence amongst MLS locations.
To provide a system-wide venue of communication for circulation clerks.
Platform for sharing ideas.
To put circulation clerks in position to where they can hear information first-hand.

Circulation Forum Minutes November 2013

Kay Bauman (LO) stated that the first update on the purchase of a new Integrated Library System was posted on the intranet in June 2012 and that it has been and will continue to be a long and complicated process through the final implementation. As of this meeting, the recommended ILS has not been chosen but is expected to be finalized in the next few days. References from libraries using the different systems are currently being checked and each vendor is undergoing a vetting process. The ILS Task Force recommendation will be taken to the Finance Committee on Monday, November 11 and then to the Commission on November 21. The next step will be negotiations with the chosen vendor.

Circulation Forum Minutes August 2013

Demonstration: Receiving the Cash Deposit
Denise Ryan presented the procedures she does when counting the daily deposit, showing exactly how she unlocks the money bags, puts the receipts together when checking to see if she received all of the paperwork needed to complete the deposit. Next, she counted the money using a calculator then checked to see if she received what was on the receipts making sure that it balanced. Questions were asked about rolling the change. Denise stated that it is easier to roll it and sent it in than send in loose coins in the money bag, explaining that it was less likely that a loose coin could be missed.

Melody Kellogg (ED Manager) introduced herself to the Circ Forum attendees and asked everyone in attendance to introduce themselves.

Tour of Southern Oaks Library
Randy Wayland (SO Manager) gave a tour of SO. He mentioned that 3,000 sq ft have been added to SO library as well as 2 study rooms. Also, SO now has 36 public computers.

Express Checkout Mistakes: Prevention & Correction

Denise Ryan addressed attendees on the correct procedure for Express Checkout Deposit. She provided everyone a copy of the original Self-Checkout Instruction booklet and also a copy of the New Express Checkout Procedures Instructions. She reminded clerks to send in deposit money even if they accidentally run the deposit report and also to send in the Express Checkout Fund Receipt every day.

Circulation Forum Minutes for May 2011

I.Anne Fischer (IT) demonstrated the new program for the Offsite V-Circ for remote library cards.
a.Clerks must make sure to submit any money received such as a $40 annual card fee or lost card fees to be included with the same day’s deposit.
b.There will be a check out procedure for the laptop.
c.SO and NW libraries will have the new “Touch-down Stations”. Anne informed the Circ Forum that eventually all the libraries will have these. It will be included in next year’s budget.
d.Reminder that all computers are being converted/updated to Windows 7
