DVS - Heidi Port Heidi Port recognized Ad Team members for their participation with MLS events over the past year.
The 2012 theme for Staff Volunteering was “All Stars.” Heidi shared stats of individuals that volunteered at MLS events. MLS had the following:
222 Heart Walkers
179 United Way Donators
78 people gave for the Food Drive
80 people gave to the Infant Crisis Center
80+ people gave books & other items for the Book Sale
Administration / Commission – Donna reported office rearrangements are taking place on the third floor of the Downtown Library and will continue over the next few months. Todd Olberding and Kay Bauman will switch offices. More office space will also be created for the newly approved Virtual Librarian position. Donna thanked the Planning and Construction Department for their teamwork and contributions throughout the process.
The Northwest Library was featured in the November 15th 2012 Library Journal – Volume 137 / No. 19.
Denyvetta introduced the new Assistant Director of Library Operations - Mr. Aaron Bluitt to Ad Team. Denyvetta also welcomed two library managers to the meeting, Michael Owens – Manager of Library Operations for Ralph Ellison Library and Melody Kellogg – Manager of Library Operations for Edmond Library.
Meeting Chairman Patrick Williams allowed time for the Ad Team and visiting managers to introduce themselves and welcomed Mr. Aaron Bluitt to the Metropolitan Library System.
Library Operations (Headquarters) – Candace is working on scrapbooks for Staff Recognition. There are over 300 reservations for Staff Recognition. Twenty members of the Boise Chamber of Commerce toured the Downtown Library last week and were impressed. Their visit marked the third Chamber of Commerce to visit the Downtown Library.
Construction Management – Todd is continuing his work with the Northwest Library and Southern Oaks Library.
Administration / Commission – Out of the Office
Finance & Support – Lloyd and Donna attended an economic update and breakfast meeting on Monday, October 30th, hosted by Sawgrass Investments. Lloyd reported that educational retirement sessions were being held this week.

Ad Team welcomed Sheldon Beach, Downtown Librarian, who attended the Joint Conference of Librarians of Color in Kansas City. Sheldon reported on the sessions he attended and said the conference was very informative.
REPORTS
Library Operations – Denyvetta reported former Village Manager, Lavetta Dent is now the Manager at the Almonte location. Denyvetta is in the process of looking through applicants to fill the Assistant Director of Library Operations position. Library managers participated in a low impact rope/obstacle course at Team Quest in Norman, Oklahoma on Monday, October 14th. The goal of the day was to develop problem solving, teamwork and creativity.
Library Operations & Planning – Kay is working on the Almonte floor plan layout and shelving. Belle Isle and Choctaw will receive carpeting spring of 2013. Both locations are working on integrating the self pick-up of reserves. Kay discussed Policies and Procedures which can be found by visiting MyMetrolibrary > About MLS tab > Policy and Procedures.
When you first visit P&P page you will see all of the sections of our P&P. Directly below, you will see a listing of the most recently updated Policies and Procedures. This is important because most of the policies and procedures our system has are routinely updated. Because they are updated and not “new” they may not make it to the ‘What’s New’ section on the MyMetrolibrary homepage. So, this is a great spot to help keep you posted on these routine updates. We have also created an RSS feed that internal customers can subscribe to. They can receive the updates through their browser or feed reader.
Kay discussed the process of ordering certain supplies using MyMetrolibrary. This system has a built in cart feature for employees to place supply orders for marketing promotional supplies, technical processing supplies and volunteer recognition item. You can now place orders using one cart, meaning you can check out with all your needed supplies at once. After checking out, you will receive a confirmation email. The department where the supplies are requested will receive a confirmation as well. This feature is similar to Amazon’s Marketplace checkout feature, so if you’ve ordered items from Amazon it works the same.
"Share Your Story" presented by Siobhan Morava and Chris Larwig:
Siobhan explained the "Share Your Story" initiative which is video clips of customer testimonials of the importance of a library and what impact the library system has made in their own lives. They also touch on the personal interest, love and appreciation for libraries. Each "Share Your Story" is different from the next. Chris Larwig played two "Share Your Story" clips one of Best Selling Author Mary Higgins-Clark and the other of Oklahoma Author and Poet Audrey Streetman. They are currently gathering more stories and will soon begin making the videos viewable individually.
Human Resources – Lori announced that Denise Courts will be out of the office for 12 weeks starting Monday, August 13th, due to surgery. Roy Ballou has accepted the position as Director of Human Resources for Feed the Children, his last day of employment is Friday, August 24, 2012. Lori is working on internal processes and restructuring of the HUM department.
MaC – Kim reported that she organized radio advertisement schedules for Southern Oaks Grand Opening Tuesday, September 25th. A live radio broadcast is scheduled to run on La-Z and JakeFM Saturday, Sept. 29, 2012. Giveaways such as backpacks, bracelets and other items for children will be given out at the reopening.
Facilities Maintenance – Patrick is resolving a few issues at the Northwest Library. Southern Oaks is coming along smoothly and the Service Center procedures are now complete. Patrick announced the Bethany library will close to replace the electric meter and transformer. The date has changed to Friday, August 10, 2012.
Human Resources - Lori will continue to review internal processes and procedures for new hire orientation.
