Ad-Team Meeting Minutes - December 11, 2013

Materials & Outreach – Karen stated there are no new reports at this time. The Materials and Outreach Department is operating as usual and preparing for the New Year.

Outreach – Dana reported that Kristin Williamson – Children Services Coordinator is doing a wonderful job meeting MLS staff and participating in activities. Kristin is currently finishing the spring ‘1-2-3 Play with Me’ initiative and continues to focus on other projects.

Dana also announced the Outreach Department has trained three new people in Children Services and they are preparing for future activities at this time.

Ad-Team Meeting Minutes - November 13, 2013

MAC - Kim reported the Marketing Department has finalized the new eMedia commercial, as previously reported. They included a new opening line and added the words MP3 Music, Freegal, Overdrive, and Zinio. Kim stated the updated commercial is more categorized. Kim pulled ad schedules from Cox Cable, CW and FOX. Starting next Monday, November 18th, the new eMedia commercial will run primetime on the Food Network Channel, FX, E!, HgTV, TBS, TNT and COX for 4 weeks straight from 6pm to midnight. Kim also announced that the eMedia ad will run on two digital billboards – one near Southwest Shields and the other near Pinkizel Cupcakes & Candy shop on Gaylord Blvd. (Downtown Oklahoma City)

Ad-Team Meeting Minutes - October 30, 2013

Information Technology - Anne stated the ILS demos went well. She is now focusing on cost proposals from the ILS vendors.

Development - Diane stated campaigns are underway for the Library Endowment Trust and Summer Reading. Library Endowment Trust is launching their Annual Funds Campaign. This year their annual funds letter focused on a story from one of the Children Reading to Dogs volunteers. The annual letters were mailed this week and have already brought in over $5000.00 in donations.

Literary Voices sponsor letters went out early October and have brought in $48,500 so far.

Administration / Commission – Out of the Office

Finance & Support – Lloyd announced there will be boiler inspections today at four libraries and the Maintenance Department will be accompanying them on the job.

In a month, concrete steps will be placed on the west side of the Downtown Library building. A key pad will also be attached to the west side fire emergency door, therefore, when the new downtown parking garage is complete / open, only library employees will be able to walk across the street to enter through that door. The City of Oklahoma City has promised MLS 150 parking spots once the new parking garage opens.

Ad-Team Meeting Minutes - September 18, 2013

Materials & Outreach – Karen revealed the new Play-A-Way View and its display to the Ad Team. A Play-A-Way View is a preloaded multiple video player available exclusively to libraries. A View weighs only 5.4 ounces and is comparable in size to a GPS navigation device and will hold multiple hours of video content. The first batch of Play-A-Way Views is currently in cataloging; therefore they will make it to shelves within the next week. Karen will be present at the manager’s meeting today to show and discuss the new Play-A-Way device.

Ad-Team Meeting Minutes - September 4, 2013

MAC – Kim announced Nancy Lytle’s last day was Friday, August 30th. Kim stated she will take up Nancy’s work for a while and the MAC Departments is busy during this time.
Kim sent an email this week to programmers, their managers and others who submit events/programs for the MLS calendar stating deadlines must be met and there are new expectations for all calendar entries.

Ad-Team Meeting Minutes - August 7, 2013

Human Resources – Lori announced great news. The Manager of Library Operations’ positions have been filled at Choctaw Library and the Village Library. Emily Canniff, current Assistant Manager at the Southern Oaks Library, will begin her new role as the Manager of the Village Library on Tuesday, September 3rd and Todd Podzemny, current Assistant Manager at the Edmond Library, will begin his new role as Manager of the Choctaw Library on Monday, September 9th. The Human Resources Department and Library Operations are now looking for new Assistant Manager of Library Operations for both locations.

Ad-Team Meeting Minutes - July 24, 2013

Development – The Library Endowment Trust is beginning their new fiscal year. Therefore, they will have new board members added.

Diane announced the Thunder Mascot ‘Rumble’ will be on the next “Read Y’all” posters sponsored by the Library Endowment Trust. Diane is working with the Thunder team to determine how the posters will be showcased.

Facilities Maintenance – No New Reports

Ad-Team Meeting Minutes - June 26, 2013

Information Technology – Anne announced Jimmy Welch’s last day is Friday, June 28th. Anne is continuing to work on year end items.

Development – The Downtown “Learning” sculpture is still receiving minor repairs by artist Matthew Chrysler. The repairs should be finished this Saturday.

Diane is working on year end items as well.

Facilities Maintenance – No New Reports

Human Resources – Lori announced she will be on vacation to Canada for one week beginning Monday.

Ad-Team Meeting Minutes - June 12, 2013

Finance & Support – Lloyd announced elevator #3 in the Downtown Library is not operating at this time. Capitol Hill Library is also having trouble with one of their elevators. These issues are currently being resolved.

Information Technology – Anne stated that she and Jimmy missed the last Ad Team Meeting to resolve issues from the power outage caused by the recent storms. Anne announced that on Wednesday, May 29th the fire alarm went off at the Downtown Library causing computer equipment to stop working. IT has ordered parts and is working on all issues at this time.
