Materials Services Division Updates for June 2013

With one week left in the fiscal year, Materials Selection selected a total of over 41,714 titles for the year and averaged 817 titles per week. A total of over 254,693 items were selected for the year, for an average of 4993 items per week. These figures show nearly 4900 more titles and 950 more items were selected in FY13 than in FY12.

As of June 7, 2013, MSL received 15,415 customer suggestions to purchase materials for the year, or an average of 315 per week. Most of the suggestions received were for print, 10,460. 1656 suggestions for CD Music; 1172 for feature films; 921 for CD books; 524 for e-media; 455 for DVDs (other than feature films); and 227 for Audio Media Players.

Average turnaround time for new titles in Cataloging in May was 1.36 working days; average for the FY13 through May is 1.24 working days. This includes only time that materials were in Cataloging; it does not include time in Technical Processing.

YA Services Meeting Minutes - March 2013

Emily handed out prizes for the librarians who had read The Girl of Fire and Thorns by Rae Carson.

Emily got an email from Adrienne Butler at ODL, she is concerned that the comics for Free Comic Book Day might not be ready in time. We made a group decision to change FCBD to May 18th.

Emily is getting a lot of free advanced reader copies and is sharing them with the librarians. If you receive any advanced readers, please keep them, share them, or give them away to teens-- just don’t ever add them to the library’s circulation collection.

Ad-Team Meeting Minutes for February 20, 2013

Human Resources – Lori stated 89 people are participating in the ‘Lighten Up Challenge’. MLS staff has lost a total of 228 pounds thus far.
Monday, April 1st begins the new ‘Move-It Challenge’ and HR has begun taking orders for new Actipeds to until Friday, March 1st.
Lori also reported the Human Resources Department is in the process of filling eight open positions.

MAC – The Marketing Department is finishing up work from previous weeks.

Ad-Team Meeting Minutes for February 6, 2013

Human Resources – Lori reported the Human Resources Department is continuing work from previous weeks focusing on ACA (Affordable Care Act).

MAC – Kim announced she received over 40 project requests in a two week period. All projects were processed through Base Camp.

The 2013 Summer Reading drafts / bids were sent out on Tuesday, February 5th. It will be awarded in two weeks; therefore they will begin printing in two weeks.

Kim received giveaways; Frisbees, water bottles, pens, and business card magnets, for the Almonte Reception scheduled for Tuesday, February 19th.

Materials Services Division Updates for February 2013

Average turnaround time for new titles in Cataloging in January was 1 working day; average for the FY13 is 1.25 working days.

In December, the average turnaround time for borrowing materials in ILL was 8.46 calendar days.

ILL has recently been made aware of an issue with a particular borrowed material. The problem involves a social work textbook titled The strengths model by Charles Rapp. The title has been published in different editions with varying subtitles since 1997, most recently in 2011. ILL has received numerous requests for various editions of this title in the last few months. The most popular edition seems to be the 2006, with the subtitle Case management for people with psychiatric disabilities. At least one copy of this edition is now 60 days overdue; the replacement cost ranges from $250 for a used copy to $750 and up for a new copy. Given this information, ILL will no longer attempt to borrow any edition of this title for MLS customers.

Ad-Team Meeting Minutes for January 23, 2013

Human Resources – Lori reported the Human Resources Department is focusing on ACA (Affordable Care Act) at this time previously known as Healthcare Reform.

MAC – Marketing is working on a video for Jones Library to showcase their fundraising efforts. The video will be in a scripted format about 3-5 minutes long and will include interviews from Jones Library visitors.

The Marketing Department won 6 Addy Awards. The eMedia commercial was amongst the winning selections. The 47th Annual Addy Awards Ceremony will take place Saturday, February 23rd at the Coca-Cola Events Center.

Kim discussed the stats from the MLS eBook commercial advertisement.

Materials Services Division Minutes for January 2013

Average turnaround time for new titles in Cataloging in December was 1 working day; average for the first half of FY13 is 1.29 working days. This includes only time that materials were in Cataloging; it does not include time in Technical Processing.

In December, the average turnaround time for borrowing materials in ILL was 12 calendar days. This includes only time from the date requests are sent out from ILL to the date that they are received in ILL; it does not include routing time between MLS libraries and ILL.

The average daily run for December was 755 items per day, for a total of 14,354 items in December. The average for January so far is 902 items per day. The processors are still current on processing all “rush” materials; they are processing non-rush materials from January 10, which is from the run 6 working days ago. Study guides and dated materials like continuations are also current.

Ad-Team Meeting Minutes for January 9, 2013

Information Technology – The IT department has prepared and printed W2s and given them to the Business Office.

IT is also working on configuration of routers and switches that will replace equipment that is no longer supported by Cisco.

Jimmy has been working on software that will assist with the layout of shelving at the Almonte Library.

Self Pick-up of reserves begins at Warr Acres and Capitol Hill on January 7th and Choctaw on January 14th.

The RFI for a new ILS system was sent to vendors on January 3rd. The vendors have until January 18th to ask any questions and they are due to be returned to MLS by February 8th. The RFI will then allow IT to prepare and issue RFPs.

DVS - Heidi Port Heidi Port recognized Ad Team members for their participation with MLS events over the past year.
The 2012 theme for Staff Volunteering was “All Stars.” Heidi shared stats of individuals that volunteered at MLS events. MLS had the following:

78 people gave for the Food Drive
80 people gave to the Infant Crisis Center
80+ people gave books & other items for the Book Sale
