Ad-Team Meeting Minutes for October 21, 2009

REPORTS

ADMINISTRATION & COMMISSION – Donna and Todd will be meeting with the Edmond Mayor on November 5. Work is continuing on Ralph Ellison and Service Center issues. We should have a grand opening date for Ralph Ellison in the next couple of weeks. Donna thanked everyone for their patience with the construction work in the alley.

FINANCE & SUPPORT – Lloyd has completed the Endowment Trust Audit. Retirement meetings for the defined contribution plan will be set up next month.

INFORMATION TECHNOLOGY – Anne reported they are working with Cox preparing for the upcoming openings of the Service Center and Ralph Ellison.

DEVELOPMENT – Diane reported Rick George has completed the design for Literary Voices.

Ad-Team Meeting Minutes for October 7, 2009

ADMINISTRATION & COMMISSION – Donna reported the Governor’s Arts Awards is October 20 @ 4:00. There are several award recipients who have connections to the library.

The commission meeting is October 15 @ Del City Library. There are several items of business on the agenda.

FINANCE & SUPPORT – Lloyd stated there has been a delay in the completion of the installation of the restroom doors downtown. The audit is scheduled to be presented at the commission meeting. Also, the surplus document for a sale will be included.

INFORMATION TECHNOLOGY – Anne commented on the email sent out yesterday regarding changes to CyberMars. The changes are currently only available to library staff. Two additional Express checkouts have been upgraded.

Ad-Team Meeting Minutes for September 23, 2009

REPORTS

CONSTRUCTION MANAGEMENT – Todd provided updates on current construction projects. He met with the architect regarding the plans for the revolving doors downtown. The original plans have been revised and are expected to be out to bid in 60 days. Todd, Donna and Denyvetta will be meeting with the city and contractor for Ralph Ellison on Friday. October 22 is the tentative move-in date. Todd is working on design documents for Southern Oaks.

ADMINISTRATION & COMMISSION – Donna passed around a copy of the revised alley parking assignments. Everyone who parked in the alley previously will have their same parking.

There will now only be two guest spaces available. Donna will be sending the memo out to all Downtown staff.

REPORTS

LIBRARY OPERATIONS (HEADQUARTERS) – Candace reported the United Way early bird kick off begins September 18. The committee will be hand-delivering packets to each of the libraries and departments. The goal is to increase donations by 10% from last year.

ADMINISTRATION & COMMISSION – Donna reported the commission meeting will be tomorrow at Belle Isle. New commission member Bose` Akadiri will be there.

FINANCE & SUPPORT – Lloyd reported the auditors have completed their field work. Their report is expected to be presented at the September commission meeting.

REPORTS

LIBRARY OPERATIONS – Denyvetta shared customer thank you notes and kudos.

The Planning meeting for Circulation Clerk committee meetings will be today. They will be planning quarterly meetings for Circulation Clerks and are looking at the first meeting to be in October.

The Managers meeting is next week and on the agenda is the discussion of the new delivery process.

CONSTRUCTION – Todd reported the Service Center construction should be completed by the end of October.

NEW ITEMS

LIBRARY COMMERCIALS – Kim showed a series of three library commercials, recently filmed at the Downtown Library. The Friends of the Library provided a grant to the system to film the series of commercials. They will air on channels 4, 5, & 9. Three more commercials will be filmed in the spring at other library locations. If you have any ideas or suggestions, please let Kim know.

REPORTS

LIBRARY OPERATIONS & PLANNING – Kay reported the Managers meeting was last week; Donna attended and spoke about the budget. The August managers meeting will be August 19 @ 1:00. The delivery route will be discussed. Kay sent an email to all supervisors with the meeting information.

The System Reserve Task Force met recently and the Tech Support group met yesterday. The three groups formed from the culture survey have been meeting and preparing to take back their findings to the August X-Change meeting.

REPORTS

OUTREACH – Dana passed around Summer Reading stats. She reported the Childrens Music Fest is next week. Dana shared pictures from a recent weaving class at Midwest City Library.

LIBRARY OPERATIONS & PLANNING – Kay reported on the ALA annual conference. She will be on a mentoring committee with ALA.

LIBRARY OPERATIONS – Denyvetta stated she has just returned from ALA in Chicago and will be making a full report on the conference at the next meeting. She shared pictures from recent extension events and shared thank you notes from library customers.

ADMINISTRATION/COMMISSION – Donna reported on commission members who are up for reappointments. The Ralph Ellison opening will be delayed to September 14 at the earliest.

REPORTS

MATERIALS & OUTREACH – Karen reported she has been working on Service Center plans. Service Center staff will tour the building July 16 & July 17.

E-Book service is scheduled to go live July 15.

OUTREACH – Dana reported on Summer Reading statistics. She passed around a sample of the new Books by Mail Catalog. The Read to Me packets will be redesigned in the near future.

REPORTS

MATERIALS & OUTREACH – Karen reported on additional changes that will be made to OverDrive. In addition to eBooks, there is going to be a new Media Console released that will allow iPod and iPhone users to also be able to use the items that are in the WMA format.

OUTREACH – Dana reported that the library is receiving great press on Summer programs. She said that there is a 15% increase in sign-up for the first two weeks. They believe that some students may be signing up twice because their day camp takes them to a library and then their parents take them to a different library. They would like to have online registration. She will get with Jimmy & Anne about other libraries sign-up and what they would like to see.

REPORTS

FACILITIES MAINTENANCE – Patrick reported another driver, John Vodka, has been hired for Maintenance; he began on Monday, June 1.

Maintenance will be replacing ceiling tile at Del City within the next week or so after the library has closed.

HUMAN RESOURCES – Ric reported the vacancy report was sent out via email this morning.

Insurance re-enrollments need to be completed by July 1.
