Manual Fines Proposal

In the spring of 2020, Collection Development and Access Services reviewed the use of the reduced pricing for the $7 disc replacement and reduced costs for damaged Playaways. The $7 disc replacement is rarely used, and at times, used incorrectly. The reduced pricing of Playaways is overwhelmingly not applied and customers are charged the full amount of the item. Further details are in the attached proposal.

Budget

Karen reported that the A&P Committee met for their annual review of Human Resources – Salaries and Benefits. Minutes are posted on the Intranet.

There will be changes to the Professional and Travel accounts for the next fiscal year. Requests will be approved and funded on a system level, rather than on a department level.

A new budget cost center (DL) has been created for the Digital Library, managed by Kellie Delaney. Funds in account 401 for e-media have been assigned to this cost center.

Playaway, Playaway View, and Playaway Launchpad Replacement Procedures

As of February 10, 2016, please follow the guidelines listed below for replacements of ALL Playaway formats (AMPs, VMPs, and TABs)

Materials Services Division Updates for February 2014

From July 1, 2013 to February 21, 2014, MSL received a total of 9,581 customer suggestions, for an average of 282 per week.

Since the beginning of FY14, 20,648 titles and 139,412 items were selected and ordered. This averages to 625 titles and 4,224 items per week.

Since the beginning of July, a total of 563 boxes of withdrawals and gifts were received in MSL. 298 boxes were sent to the booksale, 122 boxes of transfers and 16 boxes of gifts were sent to CAT.

Ad-Team Meeting Minutes - March 6, 2013

Kim announced the MLS Marketing Department received a total of six Addy Awards at the Addy Awards Banquet on February 23rd at the Coca Cola Events Center. The Addys are presented by the Oklahoma City Advertising Club and is the most prestigious recognition for excellence in local marketing.

Karen recently visited the Choctaw Library staff to work on their collection in preparation for a new manager.

Materials Services Division Minutes for January 2013

Average turnaround time for new titles in Cataloging in December was 1 working day; average for the first half of FY13 is 1.29 working days. This includes only time that materials were in Cataloging; it does not include time in Technical Processing.

In December, the average turnaround time for borrowing materials in ILL was 12 calendar days. This includes only time from the date requests are sent out from ILL to the date that they are received in ILL; it does not include routing time between MLS libraries and ILL.

The average daily run for December was 755 items per day, for a total of 14,354 items in December. The average for January so far is 902 items per day. The processors are still current on processing all “rush” materials; they are processing non-rush materials from January 10, which is from the run 6 working days ago. Study guides and dated materials like continuations are also current.

Ad-Team Meeting Minutes for August 8, 2012

Human Resources – Lori announced that Denise Courts will be out of the office for 12 weeks starting Monday, August 13th, due to surgery. Roy Ballou has accepted the position as Director of Human Resources for Feed the Children, his last day of employment is Friday, August 24, 2012. Lori is working on internal processes and restructuring of the HUM department.

MaC – Kim reported that she organized radio advertisement schedules for Southern Oaks Grand Opening Tuesday, September 25th. A live radio broadcast is scheduled to run on La-Z and JakeFM Saturday, Sept. 29, 2012. Giveaways such as backpacks, bracelets and other items for children will be given out at the reopening.

Review of Action Items All

Purchases from 46th Star Press-Karen reported that there is no need to alert her or Lloyd to purchases made from 46th Star Press, which is owned by an MLS employee’s family. Lloyd can run an end of the year report to find out what was purchased.
Any other purchases or services from MLS employees should be forwarded to Karen.

Playaway Troubleshooting

As you are aware, TP is taking care of replacing defective audio media players (Playaways) by contacting the vendors for free replacement copies. In order to do this, TP needs to notify the company of the reason that a unit is being returned. The more specifics we can provide, the better. Vendors want to know not just that a unit is defective, but also as much as possible about the defect, in order to improve their products. In order to effectively do this, TP will need everyone's help. When sending a defective unit to TP for replacement, please put your name or at least your initals on the routing slip. If TP has any questions about the reported defect, it helps to know who to contact. If a customer reports that a unit is defective, please try to solicit as much information as you can. It also helps if you verify that the reported problem exists. TP has received several items noted "defective", but staff was unable to duplicate the reported malfunction.

Update on Past Action Items-All
• Janet will create procedures for libraries to use when requesting replacements for damaged AMPs and forward to MS Managers for review.
• Janet prepared guidelines and forwarded to managers. A few minor changes were made and Janet sent out the guidelines to library managers.
• Upon further examination of the guidelines and because several vendors besides Playaway and Recorded Books require the damaged players be returned for replacements, Heidi decided to handle all replacement parts. Janet modified the guidelines and sent them out to the library managers. They are also posted on the Intranet.
