Ad-Team Meeting Minutes for November 30, 2011

NEW ITEMS

STAFF VOLUNTEER OPPORTUNITIES – Heidi Port presented the 2012 Schedule for Volunteer Opportunities. The theme for the year will be: “Volunteer All-Stars”.

She also provided statistical information from the 2011 Staff volunteer opportunities. The Heartwalk in 2011 had the largest number of walkers to date with 198 staff and family of staff walking on the MLS team. The OK Regional Food Bank Food Drive had a collection increase of over 53% from 2010. The United Way Campaign, was again a big success. Staff volunteers exceeded their goal and raised $20,831.28.

REPORTS

ADMINISTRATION/COMMISSION – Donna handed out copies of the Singer Analysis from the Compensation and Benefits study.

Donna reminded Ad Team to review their inclement weather call lists and if anyone has any changes to send them to Fran as soon as possible.

The Town of Jones has appointed a new representative to the Commission, Ms. Susan Tucker.

Donna will be meeting with her soon to go over Commission information.

FINANCE & SUPPORT – Lloyd reported Ric Rea’s last day will be Friday, November 11.

INFORMATION TECHNOLOGY – Anne reported the techs are re-imaging public computers and transferring to Windows7.

REPORTS

FINANCE & SUPPORT – Lloyd discussed auditor reports and ongoing procedures.

INFORMATION TECHNOLOGY – Jimmy is currently working on proper wiring for Harrah. Materials Selection is working with Jimmy and Karen for I-Pads.

DEVELOPMENT – Diane announced that Jazzed at the Library will hold its first event on September 23rd. There will be “Old Timers Day” at the Jones Library October 1st, and Kay and Diane have been visiting libraries to collect stories on how MLS changed their lives.

Facilities Maintenance- Patrick announced materials have been moved from the service center to Capitol Hill.

MAC – KIM announced that the Graphic Artist / Videographer position is now closed.

MATERIALS & OUTREACH – Karen will be meeting with the selectors on Friday.

LIBRARY OPERATION & PLANNING – Kay is currently meeting with managers to talk about extended hours, and she’s in the process of looking through possible researcher’s applications.

LIBRARY OPERATIONS – Denyvetta announced that she is in need of volunteers for CONNECT, a forum for MLS Librarians.

REPORTS

ADMINISTRATION/COMMISSION – Donna reported the commission meeting will be tomorrow at the Belle Isle Library. The Finance Committee approved the Final budget and it will be taken to the commission for approval tomorrow.

FINANCE & SUPPORT – Lloyd reported that Harrah Library will be receiving new carpet and will be closed for (9) working calendar days, beginning September 12th.

INFORMATION TECHNOLOGY – Jim is currently working on the security wiring, sorting software, and proper shelving for the Northwest Library.

DEVELOPMENT – Diane is currently working on three separate public art contracts for the Northwest location.

Facilities Maintenance- Patrick is currently working on installing new faucets for the Downtown Library.

HUMAN RESOURCES – Ric explained the confusion on the appearance of Rick George’s name appearing on the vacancy report.

Video Game Demonstration – Emily Williams, OUT

Emily Williams provided a video game demonstration which was designed by students at Oklahoma City Community College. The video game is currently on all children’s computers within the system.

REPORTS

OUTREACH – Dana reported Summer Reading is going great.

LIBRARY OPERATIONS & PLANNING– Kay and Stuart are continuing to meet with libraries and departments, and will be finishing up the meetings soon.

LIBRARY OPERATIONS – Denyvetta reported the Managers Meeting will be at Edmond this afternoon.

Denyvetta shared several customer Kudos from various library customers.

CONSTRUCTION – Todd reported demolition on Southern Oaks has begun.

The Northwest Library tours will be scheduled soon.

MATERIALS & OUTREACH – Karen reported the Policy and Procedure committee are currently working on several policies.

OUTREACH – Dana reported Summer Reading begins today. Dana handed out Neighborhood Arts performance Schedules for the summer.

LIBRARY OPERATIONS & PLANNING– Stuart and Kay continue to make library visits regarding the telephone survey. Training credit is being given to those employees who participate in the visits.

The new Manager of Del City began yesterday.

Devon is meeting here today and Candace is assisting them.

REPORTS

OUTREACH – Dana shared teen posters and bookmarks for Summer Reading.

The tri-system retreat with Pioneer and Tulsa will be next week.

MARKETING & COMMUNICATIONS – Kim reported Marketing is in the process of re-designing their work area and expanding cubicle space.

MATERIA,LS & OUTREACH – Karen reported she attended the A & P Committee meeting yesterday and the Friends meeting last night.

LIBRARY OPERATIONS & PLANNING – Stuart and Kay are continuing to meet with libraries and departments to review and discuss the telephone survey results.

Kay is currently working on the budget.

Kay recently met with Julie Ballou to review and discuss the Northwest Library floor plan, etc.

Kay has met with the library managers regarding Northwest and Southern Oaks plans and how they may be impacted.

Bethany closed on Monday for carpet installation and trenching.

Preliminary Budget Review FY 2011-2012 – Lloyd reported everything is on schedule with the preliminary budget. He handed out copies of and explained the comparative schedule of revenue sources, which compares last year’s budget to the coming years proposed budget. Questions and discussion followed.

MARKETING & COMMUNICATIONS – Kim reported the John Cotton Dana committee that she is on for ALA is currently looking for a breakdown of categories to judge submissions based on size of library system, etc.

A Valentine’s Day flyer that Rick George created for Ralph Ellison won best of show award which will be presented at ALA.

MATERIALS & OUTREACH – Karen reported e-media usage continues to rise.

CALENDAR REVIEW

Donna reported that Laura Francisco from the Singer Group will be here on the 27th of this month and that an extra AdTeam meeting has been arranged to meet with her.

Kay reported the Wright Library will be closed April 12th and 13th in order for a new ceiling to be installed.

REPORTS

HUMAN RESOURCES – Ric reported business as usual.

MARKETING & COMMUNICATION – Kim reported that her office is busy working on press materials for Literary Voices and materials and advertising for Summer Reading. Kim commented that the recent commercial on eMedia has obtained good exposure and she is working on some new TV ads.

MATERIALS & OUTREACH – Karen reported eMedia circulation continues to grow.

Ad-Team Meeting Minutes for March 23, 2011

NEW ITEMS

Jazzed at the Library – Kim and Diane provided information on a program series currently being discussed to target young professionals to become more actively involved with the Metropolitan Library System. The series entitled “Jazzed at the Library” will be developed to engage the group in a way that would be similar with other events held throughout the community. Handouts explaining the idea and details for the series were passed around. Questions and discussion followed. A committee has been formed and more information will be brought to the Ad Team as it becomes available.

REPORTS

INFORMATION TECHNOLOGY – Anne reported IT is preparing for the upcoming move to the temporary location for Southern Oaks.

IT is currently in the process of installing new computers at various locations.

DEVELOPMENT – Diane and Chris are currently working on the final details for the Literary Voices event. Heidi is preparing for the upcoming Heartwalk.

The landscaping project at Ralph Ellison is complete.
