Ad-Team Meeting Minutes for November 17, 2010

REPORTS

LIBRARY OPERATIONS – Kay reported, in the absence of Denyvetta, the Library Managers meeting will be this afternoon at the Village.

LIBRARY OPERATIONS (HEADQUARTERS) – Candace is currently working on Staff Recognition as well as the plans for the Annual Holiday Open House and Opening Night.

CONSTRUCTION MANAGEMENT – Todd reported the City of Del City has issued drawing for bid. The contract is expected to be awarded by the city the first week in January, with renovations to the community center beginning shortly after that.

There are two possibilities at this time for a temporary location for Southern Oaks library. Both locations are owned by the same person. One location is at SW 59th and May and the other is located at SW 59th and Penn. It is anticipated the move will take place the first week of April.

Todd attended a City of Edmond meeting recently regarding the parking situation at the Edmond Library.

ADMINISTRATION/COMMISSION – Donna thanked everyone for their help in working to find a temporary location for the Southern Oaks Library.

The contract award for the Classification and Compensation study will be on this month’s commission agenda. There is a timeline to have the Classification and Compensation study completed by the end of April in order to have the information available for the Finance Committee at the time of the Preliminary Budget approval for next fiscal year.

Volunteer Opportunities for 2011 – Heidi Port

Heidi presented the proposed Staff Volunteer Opportunities for 2011. Included in the handout were the results from the Volunteer Opportunities for 2010. In 2010 227 staff volunteered, which is over 50% of the staff. All staff who participated in the volunteer opportunities did so in at least two events. Questions and Discussion followed. Heidi encouraged Ad Team members to go to www.lifehacker.com to watch the video titled “The Surprising Realities Behind What Motivates Us”.

LIBRARY OPERATIONS & PLANNING – Kay reminded Ad Team the Job Description revisions are due by November 10. These need to be done prior to the Classification and Compensation Study.

The Strategic Plan annual review will be presented at the November Commission Meeting.

LIBRARY OPERATIONS – Denyvetta reported October is Customer Appreciation Month. The libraries are doing a variety of activities for Customer Appreciation.

The annual Service Plans have been completed by the Managers and will be on the intranet next week.

LIBRARY OPERATIONS (HEADQUARTERS) – Candace reported the Corpus Christie Chamber of Commerce met here yesterday.

Invitations for the Staff Recognition dinner will go out next week.

MARKETING AND COMMUNICATIONS – Kim reported the design for the upcoming Friends booksale is complete. The theme will be: It’s A Novel Idea

Booktoberfest is coming in October; Kim has been working to get information out about the new program for adults.

MATERIALS & OUTREACH – Karen reported the Service Center continues to be very busy.

OUTREACH – Dana reported Jenna from the Arts Council has agreed to coordinate

schedules for Neighborhood Arts.

Ric handed out copies of a Fact Sheet from the US Department of Labor Wage and Hour Division. Break Time for Nursing Mother under the FLSA. Questions and Discussion followed. Kay suggested this discussion also be conducted at the next Xchange meeting on Sept. 13.

DEVELOPMENT – Diane reported the author selection for Literary Voices will be finalized within the next couple weeks.

HUMAN RESOURCES – Ric reported the Vacancy Report was sent out this morning.

MARKETING AND COMMUNICATIONS – Marketing is currently working on uploading templates online for libraries to use to produce materials.

MATERIALS & OUTREACH – Karen reported it has been a record year. 225,363 items moved through Tech Processing and Cataloging.

Karen is currently reviewing the collection analysis.

INFORMATION TECHNOLOGY – IT is working on installing Office 2007 on all public computers. They will be moving the children’s computers at Edmond.

July 31st IT will be doing an upgrade on the non-stop system server.

FACILITIES MAINTENANCE – Patrick has been conducting interviews for Maintenance. He has also been working with Candace on Emergency preparation plans for the Service Center.

HUMAN RESOURCES – Ric reported the Vacancy Report was sent out this morning.

His office is currently working on the holiday and closing schedule for next year. Ric handed out draft copies for Ad Team review. Questions and Discussion followed.

Jimmy showed web cam video from the ground work for the future Northwest Library.

INFORMATION TECHNOLOGY – IT is working on purchasing year end items.

FACILITIES MAINTENANCE – Patrick reported he will be meeting with the insurance adjuster tomorrow morning to look at WA, BE, BI, DN, SC & VI.

HUMAN RESOURCES – Ric handed out copies of the WellNet Interactive Health Management Program. Human Resources will soon be sending out a notice to all Health Plan Participants. The WellNet program will be effective July 1. The program is voluntary and completely confidential.

Ric reported the position vacancy report has been sent out via email.

Jana Hausburg will be transferring from Cataloging to Downtown.

OUTREACH – Dana reported “Juneteenth” will be Saturday at Ralph Ellison.

Ric handed out copies of the Federal Health Reform and Nursing Mothers. The act was signed in to law on March 30, 2010. Questions and Discussion followed.

PRELIMINARY BUDGET DISCUSSION – LLOYD

Lloyd reviewed the preliminary budget and highlighted the main changes from the previous year’s final budget. Questions and Discussion followed.

REPORTS

ADMINISTRATION/COMMISSION – Donna passed around a thank you card she received fromPat Weaver-Meyer for hosting the OLA event.

Donna reported several commission members are up for reappointment this year.

Donna and Todd will be meeting with the City Manager and Assistant City Manager of Edmond tomorrow.

FINANCE & SUPPORT – Lloyd reported the surplus ale will be Friday, June 4.

INFORMATION TECHNOLOGY – Anne reported the annual Information Technology report has been completed and will be included in the June Commission packet.

ADMINISTRATION/COMMISSION – Donna reported Kim Terry has been accepted in to the new Leadership OKC class.

Donna thanked all staff who attended the Friends meeting last night.

FINANCE & SUPPORT – Lloyd reported the surplus sale will be Friday, June 4 at the old Maintenance Center. Lisa is looking for volunteers to help work the sale.

INFORMATION TECHNOLOGY – Anne reported they are preparing for the webcam installation at the Northwest Library construction site.

DEVELOPMENT – Diane reported the final numbers for Literary Voices will be available soon.

LIBRARY OPERATIONS (HEADQUARTERS) – Candace reported Summer Reading preparations are underway at the Service Center.

CONSTRUCTION MANAGEMENT – Todd reported on the Jones City Council meeting that he and Donna attended. They provided the city council with cost information on a 2200 square foot library. The City of Jones seems to be very committed and are very excited about the future. The information will be going to the Long-Range Planning Committee meeting on May 12 to be recommended to be included in the library system’s Long-Range Plan.
