Ad-Team Meeting Minutes for July 2003

Possible expansion of Nicoma Park Library:

Donna referenced a letter from the Mayor of Nicoma Park indicating that the city is in the process of purchasing the Faith Community Church building and plans to relocate the community center there. He asks if the library system would want the space currently used by the community center for library use. Donna stated that the library would gain approximately 1219 sq. ft., making the total library space around 2400 sq. ft. Currently, the library pays one half of the electric and gas bills which average $150.00 and $70.00 respectively. The increase in cost to the library system for utilities would be about $1500.00 per year.

Donna proposed adding the space to be used initially for library programs and meetings. She does not anticipate moving materials and computers into this space in the near future, although this might be an option later. She noted the space would need new carpet and paint. Discussion followed. The Ad Team agreed with the recommendation. Don noted the need to clean or replace ceiling tile. At Todd’s suggestion, possible improvements to the parking lot will be investigated with the city.

Development

Working on a brochure for what folks can help with in donations for the DN & LLC.
The Endowment will fund a microfiche/film for the new DN library.

Construction

A settlement has been reached regarding the panels on the DN library. Donna hasn't heard from the attorney or city yet.
Having the café open on the first day of the new DN library is not a top priority.
Choctaw's roof is on.
The City council would like for the 3 lots to the west of the library to remain a park. Our attorney is working with the city of Choctaw on this.
The Choctaw grand opening committee has met.

Ad-Team Meeting Minutes May 2003

Judy handed out a draft of updated safety rules and administrative procedures. Scott will handle rewording for the final draft.

Scott showed the poster for the teen summer reading program and played the TV spots for the summer reading program "Dig It". These spots will begin running now through June 30th. He also passed around brochures and sign up packets for the summer reading program.

Dana said that the Blood Hag presentation last night at Southern Oaks was well received. Carl's Jr. provided burgers for the crowd of 200.

Ad-Team Meeting Minutes for March 2003

Ric handed out a summary of the Workers Compensation report. Safety Committee evaluations were discussed. Safety training for the next several months should focus on carpal tunnel syndrome. Judy will view a video that was discussed which may become the required safety training for the next quarter. Scott mentioned a bill that gives companies a 10% break in workers compensation rate if the company provides safety training. He will verify that no changes have been made to the bill.

Anne Fischer said that the safety committee will send a memo out about the additional 30 minutes of safety training required when returning to duty after an injury. This training needs to be relevant to the specific injury.

Flat Keithen was introduced as a special guest.

Ernestine reported that over 200 tickets have been sold to the Dave Barry dinner. A news release for Lee Brawner will be out next week.

Ad team took a break to visit the Kapoot program on the 3rd floor.

Ad-Team Meeting Minutes for February 2003

Ric discussed sick leave on appraisals. The decision reached by ad team is to remove sick leave from the standards on appraisals. This will become effective July 1, 2003. Employees will not be rated on sick leave. Judy will draft a statement for employees to sign noting this change.

The ad team retreat will be March 12th at Belle Isle Library. Items on the agenda will include the preliminary budget, logistics and mind mapping for the downtown library move. Kay will bring a video by Connie Odesta – How to be the Person Successful Companies Fight to Keep. Box lunches will be served.

Karen reported that Materials Services has applied for an ODL grant for Hispanic Materials for $18,000-$19,000.

Public Services Council will meet to discuss Spencer. Provide Judy with possible meeting dates by 5:00 pm today.

A list of room names by room number needs to be provided to automation for scheduling rooms at the new downtown library. Rooms will be scheduled according to room number. Donna & Todd met last with J & B Graphic to begin the process of determining “Way Signage” needs for the Downtown Library. Several member of the signage committee will meet over the next few weeks to review this work. When completed, a list will be presented. This information will be integrated with the Room Scheduling Program.

Ad-Team Meeting Minutes for January 2003

Ernestine indicated that on April 12 at 7:30 there will be an Endowment Trust author dinner--Dave Barry. The Mayor and Commissioners are invited and she asked the Ad Team to put it in their calendars. The cost for this is $75.00, $40 of the ticket is tax deductible.

Ric brought various changes to section 8 of the P & P. The changes are minor and will be taken to the A & P committee meeting later in January and then to the full Commission in February or March.

There will be reception for Donna on February 13.

Ann Aliotta is back at Edmond and the Ralph Ellison librarians are rotating being 'in charge'.

Booksale is February 21 (Friday night for members) then 22, & 23.

Ad-Team Meeting Minutes for December 2002

Heidi Port explained the handout Staff Volunteers Proposal of Involvement for 2003. On Lee National Denim Day employees who donate $5.00 to fight breast cancer will be able to wear jeans to work. A total of 111 employees have volunteered this year. A new volunteer T-shirt designed by an employee will be available next year.

Anne Hsieh presented the budget schedule with only minor changes in the time line. The first activity is the entering of budget requests by Program Managers. This is scheduled to begin on 1/1 and to be completed on 2/28. She discussed travel guidelines and related expenses. Denyvetta will send travel information to the managers. Anne explained guidelines for partial day meal and incidental expenses rates and travel days. New rates for cities traveled to be available by calling the business office.

Ad-Team Meeting Minutes for November 2002

Kay introduced Helen Chacon who gave a brief summary of the True North program for new employee orientation. This partnership between Planning and Human Resources will provide new employees a structured overview on their first day of work. Training will be held every other Monday on payroll weeks. All new full-time employees will be scheduled for this orientation. New employee packets will be covered during this time. A condensed version will be developed for part-time and half-time employees. This will be presented to the X-Change group on Monday with implementation planned for December 9, 2002.

Ad-Team Meeting Minutes for October 2002

Ad Team met briefly before the Project Management Training. Donna explained the furniture budget handout. She will provide Jim Welch a copy of the furniture budget by room which can be used to plan for the installation of wiring. There is a telco meeting tomorrow at 10:00 a.m. at Capitol Hill.

Donna asked about attendance at the 1st Amendment Congress meeting. Some of the materials selection staff will be attending.

PR needs a count of the number of Christmas cards each department will need for external customers only. Please get this number to PR as soon as possible.
