Materials Services Division Updates for March 2013

In Technical Processing, the average daily run for February was 887 items per day, for a total of 17,742 items in February. The average for March so far is 876 items per day. The processors are still current on processing all “rush” materials; they are processing non-rush materials from March 14, which is from the run 3 working days ago. Study guides and dated materials like continuations are also current.

During February, Technical Processing received a daily average of 48 boxes of materials a day, for a total of 955 boxes. The daily average in March so far is 52 boxes.

The next group of bindery materials is due from the branches to Technical Processing by March 29. The bindery will pick them up from TP the week of April 29.

Safety Committee Meeting Minutes for March 12, 2013

All safety training will be LMS based beginning with the 2nd quarter. Employees will be notified via email when training is due. Supervisors will receive email alert from HUM reminding about training due. Supervisors will need to look at LMS to view incomplete training.

Safety Training Procedures have been revised to reflect new required training and reporting procedures. The updates will be included in the new Safety Manual annual updates.

Materials Services Division Managers' Meeting Minutes for July 15, 2004

Music Added Entries/Cross References (from Tech Group Request) - Janet, Pauline, Karen

The process of making multiple entries in a each record for artists and authors who have worked under different names is very time consuming and has large potential for errors. Given Cataloging’s volume of work, Pauline would prefer not to add to cataloging time or error potential. Jim Welch has said that he is strongly opposed to creating an author see reference file. It was decided that Karen, Pauline and Janet will discuss the issue with Jim and consider other options.
DVDs - All

Heidi provided samples of cases that are available to process DVDs. She recommended one that is sturdy and will stay closed when dropped. The company will make cases that will hold up to 2 DVDs. If a title purchased in the future is more than 2 DVDs, TP can tape cases together to house up to 4 DVDs. When a title is received that contains a lot of additional literature or accompanying material, TP reserves the right to keep what they can and dispose of the rest. If a title comes as a book with a DVD, the material will be cataloged as a book. Heidi has provided managers with a draft of other processing guidelines. Further investigation on processing is needed. Janet will examine processing during a visit to TCCL and discuss any preprocessing BTE can offer, Pauline will work on a sample cataloging record, and Heidi will examine processing done by video stores. MSD managers will plan to attend the August Library Managers’ Meeting to present DVD processing information.

Ad-Team Meeting Minutes for November 2002

Kay introduced Helen Chacon who gave a brief summary of the True North program for new employee orientation. This partnership between Planning and Human Resources will provide new employees a structured overview on their first day of work. Training will be held every other Monday on payroll weeks. All new full-time employees will be scheduled for this orientation. New employee packets will be covered during this time. A condensed version will be developed for part-time and half-time employees. This will be presented to the X-Change group on Monday with implementation planned for December 9, 2002.

X-Change Meeting Minutes for November 20, 2002

Finance Committee met last week. There were good discussions and presentations made about the Library. The Finance Committee would like to begin meeting quarterly. The Long-Range Planning Committee was also present at this meeting.
Next Commission meeting will be held on Thursday, November 21, 2002. There will be an Executive Session held to discuss Executive Director position.
