Manager of Library Operations Meeting Minutes for March 2013

Buddy informed the managers that the March CONNECT Forum was recently conducted at CH and Pauline, CAT gave a great introduction to the change in cataloging rules from AACR2 to RDA “Resource Description and Access”. He shared that the librarians played two games for subject headings and describing materials in the catalog and there were a lot of positive feedback from the participants as they seem to enjoy the sessions and sharing information about issues/concerns. The overall attendance included 14 librarians and 2 guests.

iFind and srConfirm Demos – Jimmy Welch & Anne Fischer, IT

Jimmy and Anne gave a quick demonstration of iFind/iWeed. Jimmy indicated this process is another green project with hopes to make weeding easier. Anne shared that before demonstrating, she practiced emailing ED tracer list to Jimmy to be certain everything was functioning properly. She informed the managers that the entire list with the summary giving status of items will be available every Thursday and the list will be updated daily. Jimmy asked managers to set an implementation date. Managers agreed on April 12 as the implementation date.

Anne informed the managers that ED has been using srConfirm with scanners that are Bluetooth connected to scan label bar codes and other codes on the items. Melody shared ED’s experience. She stated that Anne came on site to train Mary Beth, Library Aide and she has already trained a couple of other staff members. She indicated the iPad is pretty simple and that she really likes the list being readily available. Anne asked the managers to forward an email to her if they are interested in having an iPad at their location so funds may be added to the budget. Kay stated the advantages in having the iPad is that materials can be processed in the stacks and staff is able to view their work. She also stressed the importance of having a system in place at all of the libraries.

Playaways – Karen Marriott, MSL & Kim Terry, MaC

Karen informed the managers the official implement date for Playaways, All-in-one AudioBook is next Wednesday, January 25. The six pilot libraries to house Playaway collections are Capitol Hill, Del City, Downtown, Northwest, Village and Warr Acres.

Customers must provide their own AAA battery and ear-buds which will be sold for $1 each at all libraries. All locations will receive a supply of batteries and ear-buds by Tuesday, January 24. Karen asked the managers to keep her up-to-date on battery supply and she will discuss with Lloyd how the batteries will be budgeted the next fiscal year.

Karen shared that the Playaway representative, Karen Peck will visit the pilot libraries for “Playaway Days” to set-up and give away free promotional items. LaVetta volunteered to coordinate with Ms. Peck on Playaway days.

Manager of Library Operations Meeting Minutes for December 2011

Donna greeted and wished everyone a Merry Christmas. She briefly discussed the Compensation & Classification Study and informed that doctor/dental leave has been eliminated and the earn rate for sick leave was reduced from 10 hours per month to 8 hours per month. These changes will take effect on January 1, 2012. Donna invited managers to contact her with any questions from the changes.

She reported to the managers the NW Library opening is tentatively set for late March 2012 and how well the SO project is going.
Donna indicated there has been no decision made regarding when the new Sunday hours are going to take effect.

She visited Pioneer Library System’s new Southwest Library last week. As of date, there is no information on the opening date.

Donna met with the bank next to CH to discuss the possibility of MLS purchasing about 100 feet of their parking lot to expand as parking space for library staff and customers.

Deposit paperwork & Express Checkout Procedure – Denise Ryan & Laurie Mack-Clark, BO

Denise distributed to the managers the Express Checkout Procedures, Petty Cash Funds Management form and examples of daily deposit receipts. She briefly explained forms used when completing daily deposit paperwork. The Express Checkout instructions explains procedures for refilling coin tubes; balancing change funds; preparing daily cash deposits and purchasing coins for change funds. The Petty Cash Funds Management form may be obtained through the business office and used to request changes to cash drawer amounts and other petty cash fund uses or transfers. This form must be completed by the manager and forward to the business office.

Denise also distributed examples of daily deposit receipts which are summaries of actual collections coming in and monies remaining in the cash drawer on that day, Internet/copy machine receipts, Express Checkout daily deposit amount and a cash tube printout showing how much change is in the Express machine. She asked the managers to forward to her the print out slips from the money machines each day.

Manager of Library Operations Meeting Minutes for September 2011

Jana shared a newspaper article about CH’s jewelry program. They are also planning a Veterans appreciation day.

Rosemary mentioned that Choctaw’s genealogy series this month on Tuesday nights has been successful.

Angela shared that Downtown librarians will help in the development of book clubs at locations outside of the Downtown Library.

Chris shared that Midwest City received recognition in the newspaper for their Mad Scientist program.

Michael talked about Ralph Ellison’s successful Boy’s and Girl’s Night programs.

LaVetta indicated that Village is planning a Mystery Night and the Literacy Referral Program will begin on October 15 and will continue from 10:00am to noon every Saturday through the end of the school year. This program will assist anyone in finding a reading tutor and is available to all ages.

Manager of Library Operations Meeting Minutes for August 2011

Denyvetta asked the managers if they had any other questions or comments about the Comp & Class Study. The question was asked as to when the action items resulting from the Culture Survey would be implemented.

Budget
Denyvetta asked if there were any questions regarding the budget. She informed the managers, the LO budget includes funding for 3 librarians to attend PLA in 2012. The method of selection is to be determined. Denyvetta is working with Roy to hire more relief staff.

The managers briefly discussed the opening of libraries on Sundays. Kay and Denyvetta will meet with the managers at RE to discuss plans for staffing on Sundays. The September MLO meeting was rescheduled from RE to the NW for a site tour.

Manager of Library Operations Meeting Minutes for June 2011

Phil reminded the managers of the agreed all system theme for customer appreciation month, “Celebrate! Top ten reasons we ♥ our customers.” Doug Bentin will create a top ten list. Each library will receive one 24” x 36” poster or the managers may select another size. There will be bookmarks available. Libraries will use their individual budgets for any specific activities during the month.

Performance Standards Update
Denyvetta distributed a performance standards spreadsheet with purposed changes. She informed that measurements have been removed and specific guidelines will be developed by the MLO Advisory Group and presented in a separate document. The managers were asked for their thoughts on the revised standards. All agreed standardized measurements for staff would be best instead of different measurements at each location. Any ideas may be forwarded to Denyvetta.

Cash Deposit Committee Update
Denyvetta distributed the cash deposit and accuracy spreadsheet prepared by Stuart, PLA. She shared that the format of the monthly cash deposit would be updated through the efforts of Stuart, the Cash Deposit Committee, and the Business Office.

Manager of Library Operations Meeting Minutes for May 2011

Denyvetta introduced Karen Peck, representative for Findaway World, the creators of Playaway.
Ms. Peck distributed to the managers informational folders for Playaway and Playaway View as she shared her company’s history. Playaway has an all-in-one high definition audio with titles that also comes in print and features five narrative speeds. Playaway View is kid-friendly with an all-in-one portable video player preloaded with multiple educational videos for children with up to six hours of content. There are over 100 titles in Spanish, mostly for adults.

The products were passed around for managers to get a hands-on view of how they operate. Ms. Peck informed that these products are scheduled to launch on May 16 with 100 different titles and shared that each unit is priced at $99.99. Marketing materials are available at www.circulationstation.com.
