Materials Services Division Managers' Meeting Minutes for January 2012

Managers discussed the backlog and priority of transfers. Karen is going to talk to Donna about the possibility of suspending the practice and only keeping “hot tiles” for replacements and OK materials.

Pauline pointed out that Cataloging no longer has a staff member dedicated to processing transferred materials; full time staff in Cataloging and Technical Processing cannot spare time from regular duties to work on this. At this time, no transfers are being processed.

Karen suggested that selectors determine whether or not there is a need to keep material for transfer and make decisions on what is currently in the basement.

Karen mentioned that the Friends want to make sure staff are not defacing or damaging the material when removing RFID tags. Unless the RFID tag pops off easily, it should be left in place and cut across diagonally with a box knife. Janet will be sure that the DN receptionist volunteer who helps with tags knows the correct process.

Manager of Library Operations Meeting Minutes for July 2011

Diane informed the managers that the VI and RE landscaping projects are complete. She is currently in the process of working with Chris on the MC landscaping project.

Please forward community stories to Diane. She shared a story of a little girl from Edmond name Joy Laudrenburger who has autism and does public speaking across the country. She was featured in a Newsok.com article titled, “Dog helped open up world for Edmond girl with autism.” Diane has plans to reach out to Joy to see if she would be interested in speaking at our library.

Donna greeted managers and gave a brief overview of the Compensation and Classification Study. The AdTeam met with Singer Group on July 11 & 12 to discuss the progress of the study. Donna indicated that good results were received from the employee survey and shared that MLS salary structure is very good. The Singer Group is developing an appeals process and has completed a very extensive benefits survey (which may be viewed via the Intranet.) The Project Review Committee received a confidential draft of the findings and recommendations. Donna expressed that she is very impressed with Singer Group consultants Laura Francisco and Paula Singer.

Tech Support Meeting Minutes for July 2010

Kellie and Teresa are still reviewing the results from the intranet survey and have been investigating searching options. They will be meeting with IT soon for testing.
Materials Selection has been using the new customer suggestion database for 3 weeks and it has improved their workflow and has saved a lot of time.
Customers are getting served quickly and efficiently because the system automatically places the reserves when the orders are placed.

Circulation Forum Minutes for May 2010

I.Ground Rules –Lisa Myers welcomed the group, went over the ground rules and identified 4 goals for the Circulation forum: consistency, communication, opportunities to share and receive first hand news.

II.Summer Reading -Lisa Wood, Children Coordinator from Outreach— Lisa Wood presented an overview of the Summer Reading program emphasizing the essential role the clerks played as the frontline people. Lisa, Emily and Stacy are finishing up a video for this summer’s staff training which will be available for everyone to view. Libraries should expect a visit from Lisa and Emily with Spoticus that first week. If anyone has questions or needs concerning Summer Reading, they should call her or Emily. She said. “Summer Reading is our life for the next months and we are here to help you”. In the discussion that followed, Lisa Myers said she likes exposing office personnel to the realities of summer reading by having them volunteer for an hour during the first week. She thinks it is an eye-opening experience. This has been done in the past and may be offered again this year. Julie Ballou suggested that each library might take pictures of how they have decorated their library for Summer Reading so they could be shared in Shelflife.

Stacy asked the managers for their ideas on possible topics for the retreat and shared that he along with representatives from the Pioneer and Tulsa Library Systems will meet to brainstorm. The managers discussed a variety of topics. Denyvetta stated that the goal is to interact, network and share the functions and operations of other library systems.

Stacy shared his excitement of the experience he encountered while attending a meeting at the Atkinson Heritage Center in Midwest City. He asked the managers for their thoughts on scheduling the retreat at the Atkinson Heritage Center on April 26. The managers agreed.
Stacy briefly discussed the supervisor and customer services series. He encouraged the managers to commit their staff to the entire 11 months to benefit from the series as a whole.

Manager of Library Operations Meeting Minutes for November 2009

Roy shared a timeline for the new appraisal system which includes time frames for supervisors to notify employees, employee input prior to preparation time, review times for employee and other supervisors prior to the appraisal meeting. The process will begin 45 days before the eligibility date with an email to the supervisor 37 days before it is due to Human Resources.

Denyvetta informed she will work with each individual manager to coordinate around leave or other timing conflicts. Managers discussed and decided that new employees will now have a 3 month informal appraisal rather than a 2 month and 4 month appraisal.

HUM and IT are identifying and working out details and concerns regarding the new appraisal system. Managers were asked to review the printed forms to ensure the appraisal dates and titles are correct.

Interlibrary Loan
Randy, SO, stated since ILL items are now added to the customer’s card and the paper trail is no longer as important, the items can be returned to any library before being returned to the ILL office.

To minimize the removal of ILL labels from items found in the book drop, staff may inform customers that ILL books are obtained through different processes than reserves and to stress the importance of leaving labels on items. In the event when ILL items from other libraries are retrieved from book drops, staff may contact the ILL office to verify items.

When ILL items are received by customers, some libraries mark the forms as received and others give the forms to customers for their records.

Library Visits

During May Selectors conducted an annual visit to SO.

During June Selectors are doing an annual visit to BE and a 6-month collection review of WA.

Selectors are scheduled to do an annual visit to CH and a 6-month collection review of BI in July.

FY08

Selectors are finalizing FY08. Most all of the funds have been encumbered to 100% in discounted funds and have encumbered two rounds of SELFU.

Janet is waiting to see how much more is needed for continuations and databases before she distributes any more SELFU.

The last orders for FY08 will go out on June 26th.

The managers welcomed Jana Hausburg and Kelley Riha to the meeting. Jana and Kelley reported on the Leadership Group’s activities, like R&D and the blog they are contributing to.

Library Visits

During April, Selectors made an annual visit to MC and a 6-month visit to VI.

During May, Selectors are conducting an annual visit to SO. They were supposed to make a 6-month visit to RE, but because of staff changes, RFID tagging at that location and the future move, the collection review was postponed.

During June, Selectors will make an annual visit to BE and a 6-month visit to WA.
