Circulation Forum Minutes for November 2010

Library Card Applications Activity—Cheryl Mann, Circulation Control, facilitated an activity for the group. She handed out sheets of blank V-Circ application screenshots along with some completed application forms. Participants worked in groups of two to enter the information on the form just as they would in V-Circ. Cheryl went around the room answering questions and providing feedback. She reminded everyone that reciprocal cards are issued to customers who are eligible for a Pioneer card according to the Pioneer Library System policies. Their policy states that any individual owning property, working, attending school, or living in Cleveland, McClain, or Pottawatomie Counties is eligible for a card. If a child attends school in their service area, the whole family qualifies for a card. Cheryl said that for MLS, a Pioneer card is not required for a reciprocal card, but can be taken as proof of eligibility. Cheryl told everyone that their Circulation Policy is on their website. She provided some tips of how to handle situations in which a person’s name or address doesn’t fit in the allotted space in V-Circ. She also explained the V-Circ software adds the “th” to numbered streets and the “St” for street names to save staff the time of typing them in. She asked that on school cards to include a note on the form to indicate the school attended.

Stacy stated that FOCUS is on Monday, October 9.
He distributed a FOCUS report to the managers with a list of employees enrolled from each agency.
Stacy added that on-line registration was a tremendous help and 271 people registered. He asked managers to encourage staff to wear Hawaiian shirts at FOCUS.
Stacy praised Kellie for a great job she is doing with the e-mails on FOCUS. OverDrive – Karen Marriott, MSL
Karen distributed to managers handouts entitled Exceptional Values and Digital Library Reserves.
She stated that OverDrive representatives made a presentation to the AdTeam on the Downloadable Audio Books and they will be the provider of this service to the library.

Roy discussed the new Redmatch software for online applications. This is a streamline way to review applications.
Roy asked managers to encourage applicants to establish a user account where they may apply as a member or they may create a profile that has more detailed information. Applicants are required to have an email address.
Roy discussed 3 forms to be filled out during the application process. He asked that managers submit work hours for the positions applicants are applying for, have applicants sign the verification form to assure that information given is correct and have applicants sign the authorization form for a background check.
Roy asked managers to send him an email when resumes and applications are not legible. He advised that the company is working on the program to minimize errors in the online applications.
