Structure for CSD meetings – Pauline

  • For the time being, Pauline will chair meetings
  • Minute taker will rotate
  • Draft minutes will be sent to all group members to review within three working days of meeting
  • Revisions/corrections will be due within three working days of receipt
  • Pauline will post minutes on MyMetroLibrary

Collection Anywhere Minutes - May 10, 2017

John Huber Project

  • Cataloging and Tech Processing have been filling out the forms for a week
    • There was some confusion over some of the terms
    • We will keep going until pink slips are gone, except items that are stuck until street date
    • Pauline is working on data entry – ILL also helped out with this piece
    • Staff are also tracking other work they do that takes them away from tracked tasks
  • First committee meeting will be June 8th at 10:00 at the Service Center

    Sarah reviewed the project charter and goals.

    Information gathering

    Sarah stated that she and Janet will be responsible for the first stage of data gathering.  They will utilize reports available through CarlX and CollectionHQ.

    Brainstorming

    The group shared ideas as to what type of materials they feel should be housed at the Collection Anywhere Center, and what type should be housed at libraries.

    • Share what we discuss with all staff so everyone knows what is going on in the various areas
    • Determine priorities and activities for Collection Anywhere

    OCLC Combined Contract Discussion - All

    Janet, Pauline, Anne and Kellie discussed the umbrella license/contract from OCLC.  The discussion mainly centered on which products MLS was currently subscribing to and how invoicing would be done since managers have budgeted for the different products in their respective budgets.  Janet will ask Susan to follow up with the OCLC rep. and communicate any information to the managers.

    Report On Illiad Implementation - Pauline

    ILLiad, aka ILL online, is now live!  Library staff members were allowed to create personal accounts beginning on April 18; all members were allowed to create accounts beginning May 2.  Currently there are around 120 personal online ILL accounts.  Several ILL “power users” have already begun using the service.

    Job Description, Director of Collections and Digital Strategies – Tim 

    Tim referenced the job descriptions that he had forwarded to the managers earlier.  The Director of Collections and Digital Strategies position would replace the previous position of Deputy Executive Director, Materials and Outreach.  The duties of the position would include supervision of the managers of Materials Selection, Cataloging & Interlibrary Loan, and Technical Processing.  The duties of supervising Outreach have been moved to the public service side and will no longer be a part of this position’s responsibilities.

    The group discussed the job description and made suggestions for changes.  Tim will incorporate the changes and report back before or at the April 14 meeting.
