Materials Services Division Updates for December 2012

Since the beginning of November, MSL has submitted orders for 6,358 titles with a total of 33,159 items. During the first two weeks of December, 2,652 titles were ordered with a total of 13,196 items. The December orders included fiction replacements.

The average daily run for November was 939 items per day (down from October’s 1040 items), for a total of 18,779 items in November. The average for December so far is 804 items per day. The processors are still current on processing all “rush” materials; they are processing non-rush materials from December 7, which is from the run 9 working days ago. Study guides and dated materials like continuations are also current.

Materials Services Division Updates for November 2012

In Technical Processing, the average daily run for October was 1,040 items per day (up from September’s 835 items), for a total of 22,884 items in October. The average for November so far is 1,091 items per day. The processors are still current on processing all “rush” materials; they are processing non-rush materials from October 25, which is from the run 15 working days ago. Study guides and dated materials like continuations are also current.

During October, TP received a daily average of 55 boxes of materials a day, for a total of 1,194 boxes. The daily average in November so far is 58 boxes.

Transfers of AL materials is progressing at a steady pace; new orders also are coming in. There are currently 81 boxes of AL materials in storage in Maintenance.

Karen reported that 2458 items have already been cataloged and processed for AL. Heidi confirmed that there were 30+ boxes of AL in storage. As of 10/23, there were 2121 items on order.
The eventual size of the collection should be around 35,000 volumes.
Janet reported that selectors are adding AL to regular orders and are placing orders for standard replacements and other core titles.
Cataloging and Tech Processing are giving AL items priority.

The regular meeting being cancelled, the Materials Services Managers provided updates of departmental activities in lieu of minutes.

Department Highlights
In Technical Processing the average daily run for August was 1071 items per day, for a total of 24,637 items to be processed in August. The average for September so far is 966 items per day. This is several thousand items more than TP’s previous record of nearly 22,000 items in April 2012. The processors are still current on processing all “rush” materials; they are processing non-rush materials from August 28, which is seven working days from the date the run was received. Study guides and dated materials like continuations are also current.

Cataloging/Interlibrary Loan update 8/16/2012

  • Average turnaround time for new titles in Cataloging for July was 2 working days.  This includes only time that materials were in Cataloging; it does not include time in Technical Processing.
  • On August 2, the Cataloging Technicians set a record for the number of barcode labels printed in a single day, with 2,312 barcode labels.

Review of Action Items All

Purchases from 46th Star Press-Karen reported that there is no need to alert her or Lloyd to purchases made from 46th Star Press, which is owned by an MLS employee’s family. Lloyd can run an end of the year report to find out what was purchased.
Any other purchases or services from MLS employees should be forwarded to Karen.

Update on Past Action Items-All
• Janet will create procedures for libraries to use when requesting replacements for damaged AMPs and forward to MS Managers for review.
• Janet prepared guidelines and forwarded to managers. A few minor changes were made and Janet sent out the guidelines to library managers.
• Upon further examination of the guidelines and because several vendors besides Playaway and Recorded Books require the damaged players be returned for replacements, Heidi decided to handle all replacement parts. Janet modified the guidelines and sent them out to the library managers. They are also posted on the Intranet.

Replacement of defective AMPs (Playaways)

Janet mentioned that libraries have been reporting that some of the AMPs are defective. MLS is guaranteed free replacement indefinitely after purchase of these items. Janet asked what procedure libraries should follow when an AMP needs to be replaced.

The group discussed various issues involved and agreed on procedures as follows:
If a player is discovered to be defective within 5 months after purchase, the library will return the entire item (player and container) to TP. TP will order a replacement player, and return the item to the library when the replacement is received.

Discussion with Donna about transfers - Karen
Karen said a decision will be made within the next few weeks. If the new long range plan includes opening of new “storefront” locations, this will be a major factor in the decision. Jones will probably not receive many transferred materials even when they move to their new building.

Review of gift guidelines with staff - Pauline
Pauline has met with the Cataloging Technicians and stressed that IS gifts are to be added to the collection only if they are in excellent condition, there are few available copies within the system, and the material matches an existing bib record. Mass marked paperbacks will be added to the cataloged collection only if the title has previously been cataloged in mass marked format, or if the addition is approved by a Materials Services Manager.

Managers discussed the backlog and priority of transfers. Karen is going to talk to Donna about the possibility of suspending the practice and only keeping “hot tiles” for replacements and OK materials.

Pauline pointed out that Cataloging no longer has a staff member dedicated to processing transferred materials; full time staff in Cataloging and Technical Processing cannot spare time from regular duties to work on this. At this time, no transfers are being processed.

Karen suggested that selectors determine whether or not there is a need to keep material for transfer and make decisions on what is currently in the basement.

Karen mentioned that the Friends want to make sure staff are not defacing or damaging the material when removing RFID tags. Unless the RFID tag pops off easily, it should be left in place and cut across diagonally with a box knife. Janet will be sure that the DN receptionist volunteer who helps with tags knows the correct process.
