Materials Services Division Updates for December 2008

Library Visits

During November selectors made an annual visit to RE and Janet had a meeting with Michael on 11/25/08 to go over collection procedures.

Selectors also conducted a 6-month collection review of SO

Ruby and Melissa made a trip to JN to work with the new tech at that location and so Melissa could get a feel for the needs at the extension.

During December, selectors are making annual visits to WA and a 6-month visit to BE.

During January they are scheduled to do an annual visit to BI and a 6-month to CH.

Staff

Melissa Weathers began in the department on November 11. Her training is continuing, but she is picking up the processes fairly quickly and has done several orders already.

Amy has settled into the office routine and is taking on more responsibilities.

Marilyn continued to be on FMLA leave during November. All MSL staff helped manage Marilyn’s areas of the collection while she was gone. Marilyn returned to work on December 2.

Northwest

Storage space in compressed shelving is decreasing. Janet, Kim and Julie met to discuss some alternative storage arrangements. Selectors have reviewed their areas to see what can be boxed and stored to allow for shelving of new material and the building of areas we’ve placed on hold until closer to the opening. AV will be stored in the MSL basement area.

Materials Selection Update - Janet
Personnel

Materials Selection is nearly full-staffed. Part-time MSD Tech Amy Treadwell began work October. Materials Selector, Melissa Weathers began on Nov. 10. Training is continuing for both.

Marilyn remains out on FMLA leave until Dec. 18. Until she returns, Ruby, Susan, Kim and Janet are monitoring her areas and ordering material as appropriate. (Update since the meeting: Marilyn returned to work on December 2nd)

Library Visits

During October, selectors made an annual visit to VI and a 6-month visit to MC. Janet made a follow up visit to Steve/BC.

During November, they are making an annual visit to RE and a 6-month visit to SO.

Ruby and Melissa visited JN on 11/18.

During December, selectors are scheduled to make an annual visit to WA and a 6-month visit to BE.

V2R

Materials Selection staff held the second session of the V2R and began work on setting goals for the department.

NW

Kim is coordinating with Charla Aucone to have DN pages assist with the shelving of NW material.

Shelving is getting tight in compressed shelving. As soon as MSL staff can consolidate the CD settlement volumes in the basement, they will be moving NW AV to the basement. This should allow for a bit more area to grow into. Janet still suspects that they will need to look at alternative storage sometime in early spring.

Cataloging Update - Pauline Rodriguez-Atkins

Meetings and training attended:

Ursula – United Way meeting, September 17

Aaron, Staff Association, September 23

Jill, OLA SSRT, September 25

Steven has resigned from his MSD Tech position; his last day was October 13. He continued to work in ILL one day each week until he left.

Kristin Hill was selected as Cataloging’s newest MSD Tech, and began work on September 22. She has already begun learning to order barcodes.

Pauline plans to interview and select a new MSD Tech for CAT at the same time as the MSD Tech in ILL. Jana will assist with interviews; Veronica will help with testing.

Veronica continued to help out in MSL while their new MSD Tech was being selected.

Most staff attended code of conduct orientation sessions. Those that were unable to attend have reviewed the session materials.

Aaron attended the Online AudioVisual Catalogers conference September 26-28. He returned with a new appreciation for people who focus solely on AV!

Ursula organized a potluck salad luncheon on October 2 as CH’s United Way kickoff. Maintenance staff also attended. The luncheon raised $69 for the cause.

CAT and ILL staff participated in a joint V2R session on October 6. The second session will be held on October 21.

Pauline taught a session of the Collection Management workshop on October 9. Steven attended the first and second sessions of the workshop, but was unable to attend the third.

Almost all staff, including Kristin and Steven, attended Focus on October 13. Pauline was a session coordinator. Jana participated as a leader of the Metro Hero session, which was very popular and well received.

Materials Selection update – Janet

Materials Selector

Julie Ballou has accepted the DN Library Manager’s position. She begins Sept. 22 at DN.

The position is open now and Janet hopes to have a pool of good candidates by the end of the month to interview.

In the meantime, Janet is working on the interim work arrangement.

MSD Tech

Kim received a good selection of applicants for the vacant MSD Tech position in MSL. Several have been selected to take typing and 10-key tests.

Kim hopes to start interviews soon.

Library Visits

In August, Selectors made an annual visit to CT and a 6-month visit to DN.

During September, selectors are doing an annual visit to DC, BC and BBM and a 6-month visit to ED.

In October, they will make an annual visit VI and a 6-month visit to MC.

Janet would like to schedule Ext visits for October, since we missed them in August due to RE’s move.

Cataloging Update - Pauline
Paula Hannapel is happy to announce the birth of her granddaughter, Maddison Nicole Farris, on August 20. Mother and daughter are fine, but the grandmother is feeling lightheaded.

Cataloging held a staff meeting on July 24. They discussed various issues including plans for the new building and the RE closing and temporary location.

Pauline and the Cataloging Technicians met on July 24 to talk about tracking boxes received from MSL and coverage during vacations.

Jana, Ursula, and Pauline taped Read About It segments on July 25.

Pauline and the Catalogers met on July 29. Among other issues, they established standards for adding feature film DVDs to existing records.

Sam Weehunt from DC job shadowed in CAT on August 6.

Jeanie, MSL, assisted in CAT on July 31 and August 7. On August 7, she and Steven handled the Cataloging Tech duties for the afternoon, so that Paula and Veronica could attend the True Communication workshop.

Library Visits

FY08

Selectors are finalizing FY08. Most all of the funds have been encumbered to 100% in discounted funds and have encumbered two rounds of SELFU.

Janet is waiting to see how much more is needed for continuations and databases before she distributes any more SELFU.

The last orders for FY08 will go out on June 26th.

Leadership Group Jana + Kelley

The managers welcomed Jana Hausburg and Kelley Riha to the meeting. Jana and Kelley reported on the Leadership Group’s activities, like R&D and the blog they are contributing to.

During April, Selectors made an annual visit to MC and a 6-month visit to VI.

During May, Selectors are conducting an annual visit to SO. They were supposed to make a 6-month visit to RE, but because of staff changes, RFID tagging at that location and the future move, the collection review was postponed.

During June, Selectors will make an annual visit to BE and a 6-month visit to WA.

RFID

Ruby assisted with DC’s RFID tagging.

Janet and Kim assisted with RE’s RFID tagging.

Janet hopes to go out to HR and LU in the next couple of days to help with their tagging.

Cataloging Update - Pauline

Meetings and training attended:

Denise from MSL visited Cataloging on March 27. She helped to prepare transfers for reprocessing.

All Cataloging staff helped with the RFID project at Capitol Hill April 1-4. Margaret also helped with the project at Choctaw April 14-16; Veronica helped at Choctaw on April 16. IT much appreciates all the assistance, and staff enjoyed the opportunity for something different.

Pauline taught a session of the Collection Management workshop on April 8. It was her first time to teach the ILL segment, along with the regular catalog searching segment.

The Leadership MLS group visited Cataloging on April 9. They toured the department and viewed the cataloging and bar-code printing processes, then met with Pauline to discuss management philosophy and ideas.

Ruby and Susan from MSL visited on April 10. Ruby and the catalogers discussed changes to genre headings, while Pauline and Susan talked about their upcoming presentation on serials.

During March, selectors made an annual visit to ED and a 6-month visit to DC.

During April, selectors are scheduled to do an annual visit to MC and 6-month visit to VI.

Spotlight On

Selectors are updating the Spotlight on Asian Americans. It will go to Teresa by the first of April and up on the webpage in May.

Janet and Karen are evaluating how useful the Spotlight bibliographies are to customers and staff to decide if we need to continue to update them.

Materials Services Division Managers' Meeting Minutes for February 14, 2008

ILL Update - Pauline

ILL is continuing to function. Either Brittany or Margaret has been at ILL nearly every day; Karen continues to work extra hours; and Jana has helped out for three days.

KUDOS to Karen Davis for working overtime every day for the last four weeks.

Interviews have been held to fill the empty ILL Technician position. Brittany Barber has accepted the position and will begin working full-time on February 25. She will work her part-time hours in ILL until then.

Pauline has worked with Kim Terry, MAC, to redesign the system ILL request form. The new design will make placing requests easier for customers, librarians, and ILL staff. Kim says the new forms will be ready in about 10 days.

ILL has taken over opening and packaging Trans-Amigos courier materials, since there is no Administrative Receptionist to help out. This has helped with the workflow, as well.

MLS has now joined LVIS (Libraries Very Interested in Sharing). This increases the number of libraries that will lend materials to us without charge.

All three ILL computers have been replaced.

All ILL staff have attended Employees’ Responsibility re Sexual Harassment training.
