Materials Services Division Updates for December 2007

Since no Materials Services Division Managers meeting was held during December, this document contains updates on the activities of each department since the November meeting.

Library Visits

During November, selectors made an annual visit RE and a 6month visit to SO. Because RE has been without a manager, the visit was primarily a collection review. Janet spent about an hour with each of the librarians to review collection maintenance processes and gave each one a copy of the Collection Maintenance and Management notebook.

During December, selectors are scheduled to do an annual visit to WA and a 6month collection review of BE.

In January they conduct an annual visit to BI and a 6month to CH.

Cataloging Update - Pauline

Meetings and trainings attended:

Aaron – Tech Support Group, October 23

Pauline – Train the Trainer retreat, October 31

Pauline is out of the office November 13-16; she is expected to return November 19.

Aaron visited MSL on October 23. He spent time with Ruby, learning how requests to purchase materials are handled. He reported that the visit was beneficial.

Materials Selection update – Janet
Library Visits
During August, selectors made an annual visit to CT and the Extensions. They also made a 6month visit to DN. They spent extra time at NP weeding the collection.
During September, Selectors are conducting an annual visit to DC and to Book Centers and Books by Mail. They also are doing a 6month visit to ED.
During October, they will do an annual visit to VI and a 6month visit to MC.
Spotlight On:
The spotlight for Hispanic Americans is up on the web now.
Selectors are in the process of updating the Native American spotlight for November.

Cataloging Update - Pauline
The biggest news is the birth of Alexander Escobar to Cataloging Technician Veronica on August 10.
Pauline expressed her appreciation to the Cataloging staff for their continued excellent work while she is working in ILL.
On behalf of herself and Parker, Pauline would like to thank everyone for their concern and sympathy after the death of Parker’s mother.

Cataloging Update - Pauline RodriguezAtkins

Karen reported that cataloging staff have done an awesome job of carrying on with their duties while Pauline has been working in ILL.
Meetings and trainings attended:

Karen Davis and Margaret have continued to help out in CH while they are short of pages.
Clyde visited Tech on June 26. He reported that he found learning about the receiving process very interesting. He also learned about some things that he can do to help Tech out.
Pauline attended a Service Center Users’ Group meeting on July 11.
Cataloging has received their new copier. Jill Millican from BMI visited to train staff in using all the special features.
The results of the cataloging survey have been received. Pauline will meet with the catalogers on August 8 to discuss them.
Pauline has completed the Personal Protective Equipment survey that Candace sent, and has received all Cataloging safety documentation.
Cataloging staff will be continuing to rotate in and out on vacations through July and August.

Pauline is very grateful to the Cataloging staff for their efforts to help keep ILL operational during her and/or Karen Davis’s absences. Several staff have worked in ILL at different times, while the rest have taken on extra work to keep Cataloging going. Without this great group and it cooperation, it would not have been possible for Pauline to have been gone.

Aaron and Clyde assisted with the RE reference interfiling project on July 14. Karen Marriott has noted that their help was much appreciated.

Ursula, along with Sharon Bish and Ruby Soutiere, has completed recommendations for changes to the US Depository selection profile and forwarded them to Karen Marriott.

Ursula job shadowed Sharon Bish on July 9.

Jana continues to attend Leadership MLS activities.

Steven will continue to work in ILL one day each week until further notice.

Cataloging Update - Pauline

A new scan card lock has been installed on the west side outside door at CH. All staff have been issued key cards. For the time being, the back (south) door will remain a keypad lock.

The mlsCatClerk client has been installed in the DN basement. Pauline trained MSL staff to print barcodes on May 15.

Pauline and the Catalogers met on May 8 to discuss various issues. They are considering eliminating use of some abbreviated terms in catalog records. Jana and Aaron are working on compiling a short survey regarding the change; Stuart in PLA has agreed to facilitate sending it to public service librarians as an online survey.

Cataloging Update - Pauline Rodriguez-Atkins
Karen Davis has worked frequently at MSL over the last month.

Veronica and Paula visited MSL on March 16. They worked primarily with Kim. The three of them worked out a system for Paula and Veronica to notify Kim when NW nonfiction materials are recalled for correction. Kim will pull the materials and route them to Cat. This will help keep Cataloging’s reserve list clean and will avoid reserves being on the materials on opening day.

Sandy Futrell, UCO student, visited on March 20. She spent a good amount of time, mostly with the Catalogers, and left impressed as to the amount of work that is done, and how complex it is.

Pauline attended the first meeting about the Service Center with the architects on March 21, and the architects visited Cataloging for a short tour on April 5. She has been working on completing forms and compiling information.

Materials Services Division Managers' Meeting Minutes for March 15, 2007

Technical Processing update – Heidi

So far, the runs in March have been on average 619 labels per day which is a slight increase compared to February’s 605 labels. Technical Processing currently receives an average of 32 boxes of materials a day which is a decrease from last month’s average of 40.
TP is current at this time on processing rush and non-rush materials. There were several days this month so far when processors ran out of materials to process and performed some housekeeping duties like dusting and reorganizing.
Joyce Mathis with CFS, B&T’s accounting dept., has applied many of the current credits to our accounts. However, she informed Heidi that MLS will have to tell CFS which remaining credits to apply to which outstanding balances. Once Heidi is no longer short-staffed she will tackle this problem.
Andrew’s last day was on March 2, 2007. Heidi has been receiving and entering invoices since then and is very much looking forward to March 19 when Christy will be back again to do so instead.
The Ingram accounts continue to be all current at this time.
