Collection Workshop - Janet, Kellie, Stacy
Everyone teaching the MSD Collection Management workshop was in agreement that the manual has become very cumbersome, both in volume and in weight. It includes much information, but due to its size and how much information is listed, finding the information is difficult at times.

Janet had previously spoken with Kellie and Stacy about possibly converting at least parts of the workshop to an online format available through the LMS.

Discussion centered around which parts of the workshop might be appropriate for online workshops, which parts should still be taught face to face, and which could be presented in a different format. The group talked about identifying the target audience(s) for each area. Some of the information currently contained in the workshop could be listed as FAQs for a particular department.

Karen suggested adding a section about transitioning to electronic resources.

Old Business

DVDs containing multiple discs or guides
After discussion, the group agreed that the current rules for handling these materials remain as follows:
Sets of 4 or less discs will generally be cataloged as sets, unless:
Each disc in the set contains a complete work.
Separating the discs will significantly reduce processing time.
Materials Selection staff specifically requests that the discs be cataloged separately.
Keeping the parts of the set together will require that the set be processed in a hanging bag.
“Bonus feature” discs will be included with sets as long as the total number of discs does not exceed 4.
If each disc in a set is cataloged separately, all “bonus feature” discs will be discarded.
Books and/or guides will be retained with DVDs if they are determined to be essential by the Cataloger, even if this means that the set must be processed in a hanging bag.
Cataloging staff will follow these guidelines and avoid contacting Materials Selection for decisions as to whether to catalog multiple disc DVDs as sets.

New Business - all

There was a brief discussion of the classification of a book by David McCauley called “Pyramid”. The book is classified as an ANF; similar works by this author are classified JNF. Pauline explained that this title has been in the collection as ANF since 1975. She asked if the MSD Managers felt that reclassification is necessary. Since adult and juvenile non-fiction are interfiled on the shelves and the title is circulating in the current location, it was decided a change in classification was not necessary.

New Business - All

DVD sets (multiple discs)

Managers will discuss with respective departments to look at the need to update the guidelines for cataloging multiple disc DVD sets. Original guidelines indicated that sets would be cataloged together. Pauline will send out a copy of guidelines to the other managers and Karen.

This will be an item on May’s agenda to discuss further and make a decision on. Pauline will ask Aaron to come to the meeting if necessary.

Place on the May or June agenda a discussion regarding NW books and transfers.

Update on Action Items

Karen to meet with Playaway regional representative and ask if replacement cases are available.

Completed.

Karen has met with the rep, and replacement cases are available for purchase.

Playaway would like for MLS to buy the product directly from them. Karen will send the rep’s contact information to Heidi, so that she can discuss invoice requirements, etc., with her directly.

Janet will instruct MSL staff to purchase additional guides for the Great Courses series and to note the total number of guides in the vendor instructions.

Update on Action Items:

Playaways:

Ask for samples of other vendors’ Playaways, esp. if packaged with accompanying materials

Janet and Ruby requested samples from all the major vendors, Recorded Books, Brilliance, etc. All samples are packaged in the same binders. They were not able to obtain any with accompanying materials.

Inquire about replacement cases for Playaways

Heidi is still working on this. She’s been in contact with Brodart to see what they offer.

Karen will check with the regional Playaway rep. to see if they offer replacement cases.

Take a sample to the next AdTeam meeting

Karen took samples to the Deputy Executive Director’s meeting.
