Materials Services Division Updates - December 2014

  • Since the beginning of the fiscal year, Materials Selection added a total of 12293 titles and 80511 items.  Since the beginning of September, when we migrated to CarlX, a total of 7040 titles and 44718 items were added.  Orders are averaging 440 titles and 2,795 items per week in the new system.   We are still working out some issues with CarlX orders.  Prepaid orders were placed in November and we have yet to get any POs to attach to an RFP for payment.  We did not receive POs on 12/16/14 or 12/17/14 after the switch to the new email system.  Anne is working to resolve the problems.
  • Since the beginning of the fiscal year, Materials Selection received 5281 customer suggestions to purchase materials, for an average of 220 suggestions per week.  Prior to the migration, MSL averaged about 296 suggestions per week.  

Materials Services Division - November 2014

Commission agenda includes a recommendation to purchase a new Human Resources Management System from Paycom.  Replacement of our current system is necessary due to Jim Welch’s retirement. If purchase is approved, the target date for implementation will be April 1 of next year. Departments will be using the online calendar which is part of the package. The system also includes a new performance appraisal module and other features related to employment.  Details are listed in November’s Commission packet.

The next system that must be replaced will cover financials. Business Office has begun work on locating and evaluating possible systems.

MLS will switch over to a new e-mail system on December 13, 2014. Additional information will be coming from the IT department.

Managers had been asked to submit a list of questions prior to the meeting.  Some of the questions were discussed and decisions made; other issues are still pending. Karen announced that she would like to discuss any issues involving multiple departments first.

Materials Services Division Updates for August 2014

In MSL, since the beginning of the fiscal year, a total of 2277 customer suggestions were received.This averages out to 285 suggestions per week.

Since the beginning of the fiscal year, 4221 titles and 30355 items were selected and ordered for the system.This averages out to about 603 titles and 4336 items per week.

Since the beginning of July, a total of 133 boxes of withdrawals and gifts were received in MSL.105 boxes were sent to the booksale, 6 boxes of transfers were sent to CAT.

  • For FY14, Materials Selection received a total of 15103 customer suggestions.  A total of 32142 titles were ordered for the system for a total of 210990 items.  A total of 830 boxes of withdrawals and gifts were received in the MSL basement.  497 boxes were sent to the Friends, 171 boxes of transfers and 27 boxes of gifts were sent to CAT.
  • Since the beginning of the fiscal year, a total of 904 customer suggestions were received in MSL.  This averages out to 301 suggestions per week. 

Materials Services Division Updates for June 2014

Since the beginning of the fiscal year through the third week of June, a total of 14470 customer suggestions were received in MSL. This averages out to 283.73 suggestions per week.
Since the beginning of the fiscal year, 31,765 titles and 208,510 items were selected and ordered for the system. This averages out to about 635 titles and 4170 items per week.

Materials Services Division Updates for May 2014

OCLC’s FirstSearch Resource Sharing (ILL) service is scheduled to be discontinued as of Monday, May 19. ONLY the Resource Sharing service is being discontinued; the FirstSearch database is not. Library staff and customers will continue to have access and be able to use FirstSearch to search for materials to be requested through ILL.

Materials Services Division Updates for April 2014

Since the beginning of the fiscal year a total of 11863 customer suggestions were received in MSL. This averages out to 282 suggestions per week. In the first 3 weeks of April nearly 772 suggestions were received.
Since the beginning of the fiscal year, 26859 titles and 180262 items were selected and ordered for the system. This averages out to 655 titles and 4396 items per week.
Since the beginning of July, a total of 699 boxes of withdrawals and gifts were received in MSL. 391 boxes were sent to the booksale, 144 boxes of transfers and 21 boxes of gifts were sent to CAT.
