Cost of Shelf Ready Materials - All

  • Tim wants to get a better sense of what our actual costs are to assess, select, acquire, receive, catalog, process, and otherwise make our variety of materials shelf ready.
  • He would like to know the average cost to make every content type ready to use by a customer.  In addition to cost, it would be good to be aware of the time involved to make each content type ready-to-use from receipt through shelf availability.

Budget

Karen reported that the A&P Committee met for their annual review of Human Resources – Salaries and Benefits. Minutes are posted on the Intranet.

There will be changes to the Professional and Travel accounts for the next fiscal year. Requests will be approved and funded on a system level, rather than on a department level.

Manager of Library Operations Meeting Minutes for September 2010

Dana informed the managers that there is no sign up for Book-toberfest which will begin on October 1. Customers between the ages of 19-54 with a valid Metropolitan Library System library card will be eligible to receive a drawing slip per every two age appropriate books they read or listen to during the month. The initial drawing for the Reduxion Theater and the Oklahoma City Ballet is on October 12. Dana indicated that two tickets sealed in a money bag will arrive at each library on October 7. The managers were asked not to re-enter winning names.

A Sony E-Reader, a Pottery Barn insulated lunch bag and a JoeMo coffee/tea brew travel mug are among some of the prizes that will be given away during Book-toberfest. Dana asked the managers to contact her with any questions and advised that the tech assistants may receive telephone calls regarding the Sony E-Readers. Staff is ineligible for the drawings. Dana has spoken with Stacy in hopes of coming up with an idea for the future so staff can be eligible for drawings to win prizes. She invited everyone to send any ideas to Stacy, PLA.

Loan Period for DVD Instructional Materials – Karen Marriott & Janet Brooks-MSL, Pauline Rodriguez-Atkins, Paula Hannapel & Jill Vessels, CAT

Karen received a customer’s request to extend loan periods on DVDs. She indicted that the customer is using a series of college courses on DVD called “Great Courses” of about 159 items on 360 minute DVDs which the customer feels the loan period is not enough time to complete the series.

Pauline mentioned that having a different loan period for DVDs complicates the process of printing barcode labels for CAT Technicians. The barcode printing software does not always automatically generate the correct loan period, so the technicians constantly have to be on watch to update information. Jill and Paula agreed and indicated that having a consistent loan period for all materials would reduce errors and speed the process of printing barcode labels.

Tech Support Meeting Minutes for December 2002

PR will continue to work on ideas of how to best notify customers of new changes regarding the Internet
A design has been created, however it is still being worked on. The design will be little signs, which will be placed by the computers.

Materials Services will continue to work on changes to customer requests for purchase.
Janet reported that customer requests are leveling off, which could possibly be due to the holidays. She will continue to monitor them. MSL has been receiving about 300 requests a week.

The customer request process has been streamlined. MSL now has a shared drive on their computers, which allows for them to access a searchable spreadsheet. This spreadsheet houses “regret” requests and has an action column stating the reason for the regret.
Janet has also been looking at web sites for other major public libraries to see how they handle online requests. She will get with Jim sometime after the first of the year to see what Automation changes can be made.

Manager of Library Operations Meeting Minutes for January 2002

Scott distributed CDs with templates for creating professional quality printing at library agencies. These include clip art and fonts, every element in its own text box. If agencies want to include a photo in their print productions, sent it to PR and that office will scan it.

Phil asked who would be responsible for multiple copies. Scott answered that PR will provide paper but would prefer the actual production to take place at the agency. PR will match requests for colored paper.

The programs on the CD will have to be downloaded onto agency hard drives; call Wanda or Automation for support.
