Ad-Team Meeting Minutes for May 18, 2011

REPORTS

OUTREACH – Dana shared teen posters and bookmarks for Summer Reading.

The tri-system retreat with Pioneer and Tulsa will be next week.

MARKETING & COMMUNICATIONS – Kim reported Marketing is in the process of re-designing their work area and expanding cubicle space.

MATERIA,LS & OUTREACH – Karen reported she attended the A & P Committee meeting yesterday and the Friends meeting last night.

LIBRARY OPERATIONS & PLANNING – Stuart and Kay are continuing to meet with libraries and departments to review and discuss the telephone survey results.

Kay is currently working on the budget.

Kay recently met with Julie Ballou to review and discuss the Northwest Library floor plan, etc.

Kay has met with the library managers regarding Northwest and Southern Oaks plans and how they may be impacted.

Bethany closed on Monday for carpet installation and trenching.

NEW ITEMS

Preliminary Budget Review FY 2011-2012 – Lloyd reported everything is on schedule with the preliminary budget. He handed out copies of and explained the comparative schedule of revenue sources, which compares last year’s budget to the coming years proposed budget. Questions and discussion followed.

REPORTS

MARKETING & COMMUNICATIONS – Kim reported the John Cotton Dana committee that she is on for ALA is currently looking for a breakdown of categories to judge submissions based on size of library system, etc.

A Valentine’s Day flyer that Rick George created for Ralph Ellison won best of show award which will be presented at ALA.

MATERIALS & OUTREACH – Karen reported e-media usage continues to rise.

Policy & Procedures Review Committee-Kay reported that the P&P committee had reviewed and revised the following items:

CALENDAR REVIEW

Donna reported that Laura Francisco from the Singer Group will be here on the 27th of this month and that an extra AdTeam meeting has been arranged to meet with her.

Kay reported the Wright Library will be closed April 12th and 13th in order for a new ceiling to be installed.

HUMAN RESOURCES – Ric reported business as usual.

MARKETING & COMMUNICATION – Kim reported that her office is busy working on press materials for Literary Voices and materials and advertising for Summer Reading. Kim commented that the recent commercial on eMedia has obtained good exposure and she is working on some new TV ads.

MATERIALS & OUTREACH – Karen reported eMedia circulation continues to grow.

Ad-Team Meeting Minutes for March 23, 2011

NEW ITEMS

Jazzed at the Library – Kim and Diane provided information on a program series currently being discussed to target young professionals to become more actively involved with the Metropolitan Library System. The series entitled “Jazzed at the Library” will be developed to engage the group in a way that would be similar with other events held throughout the community. Handouts explaining the idea and details for the series were passed around. Questions and discussion followed. A committee has been formed and more information will be brought to the Ad Team as it becomes available.

REPORTS

INFORMATION TECHNOLOGY – Anne reported IT is preparing for the upcoming move to the temporary location for Southern Oaks.

IT is currently in the process of installing new computers at various locations.

DEVELOPMENT – Diane and Chris are currently working on the final details for the Literary Voices event. Heidi is preparing for the upcoming Heartwalk.

The landscaping project at Ralph Ellison is complete.

NEW ITEMS

Performance Appraisal System – Ric emailed a draft procedure for the calibration of performance appraisals to the Ad Team. He stated a decision needs to be made on whether to continue calibrating appraisals. Questions and discussions followed. It was determined the discussion and procedure in question would be sent to the Policy and Procedure committee for further review and decision.

April 6 – Library Retirement Pension Board @ 3:30 – Downtown
Donna reported the Singer Group will be here for a follow-up in the near future, although a confirmed date has not been set yet.

FINANCE & SUPPORT – Lloyd reported Dan and Patrick are making their rounds to gather information for the upcoming budget process. April 15 is the deadline to enter budget information.

REPORTS

DEVELOPMENT – Diane stated landscaping projects are continuing. Ralph Ellison and the Village have been completed. Work is currently underway at Belle Isle.

The Public Art Committee for the Northwest Library will be meeting in the next couple of weeks.

FACILITIES MAINTENANCE – Patrick reported he is working on the upcoming preliminary budget information for the Maintenance Department.

HUMAN RESOURCES – Ric reported the PDQ’s are being sent to the Singer Group today.

MATERIALS & OUTREACH – Karen reported she is working on the budget.

OUTREACH – Dana reported Mandalay has bought out the Redhawks baseball team. This could have an effect on “Library Night at the Ballpark”. Dana will provide more information as it becomes available.

Winter ReadFest will be beginning February 1st.

Ad-Team Meeting Minutes for November 17, 2010

REPORTS

LIBRARY OPERATIONS – Kay reported, in the absence of Denyvetta, the Library Managers meeting will be this afternoon at the Village.

LIBRARY OPERATIONS (HEADQUARTERS) – Candace is currently working on Staff Recognition as well as the plans for the Annual Holiday Open House and Opening Night.

CONSTRUCTION MANAGEMENT – Todd reported the City of Del City has issued drawing for bid. The contract is expected to be awarded by the city the first week in January, with renovations to the community center beginning shortly after that.

There are two possibilities at this time for a temporary location for Southern Oaks library. Both locations are owned by the same person. One location is at SW 59th and May and the other is located at SW 59th and Penn. It is anticipated the move will take place the first week of April.

Todd attended a City of Edmond meeting recently regarding the parking situation at the Edmond Library.

ADMINISTRATION/COMMISSION – Donna thanked everyone for their help in working to find a temporary location for the Southern Oaks Library.

The contract award for the Classification and Compensation study will be on this month’s commission agenda. There is a timeline to have the Classification and Compensation study completed by the end of April in order to have the information available for the Finance Committee at the time of the Preliminary Budget approval for next fiscal year.

Volunteer Opportunities for 2011 – Heidi Port

Heidi presented the proposed Staff Volunteer Opportunities for 2011. Included in the handout were the results from the Volunteer Opportunities for 2010. In 2010 227 staff volunteered, which is over 50% of the staff. All staff who participated in the volunteer opportunities did so in at least two events. Questions and Discussion followed. Heidi encouraged Ad Team members to go to www.lifehacker.com to watch the video titled “The Surprising Realities Behind What Motivates Us”.

LIBRARY OPERATIONS & PLANNING – Kay reminded Ad Team the Job Description revisions are due by November 10. These need to be done prior to the Classification and Compensation Study.

The Strategic Plan annual review will be presented at the November Commission Meeting.

LIBRARY OPERATIONS – Denyvetta reported October is Customer Appreciation Month. The libraries are doing a variety of activities for Customer Appreciation.

The annual Service Plans have been completed by the Managers and will be on the intranet next week.

LIBRARY OPERATIONS (HEADQUARTERS) – Candace reported the Corpus Christie Chamber of Commerce met here yesterday.

Invitations for the Staff Recognition dinner will go out next week.

MARKETING AND COMMUNICATIONS – Kim reported the design for the upcoming Friends booksale is complete. The theme will be: It’s A Novel Idea

Booktoberfest is coming in October; Kim has been working to get information out about the new program for adults.

MATERIALS & OUTREACH – Karen reported the Service Center continues to be very busy.

OUTREACH – Dana reported Jenna from the Arts Council has agreed to coordinate

schedules for Neighborhood Arts.
