Ad-Team Meeting Minutes for March 21, 2012

Library Operation & Planning – Kay announced that the Del City library will be closed April 9th for carpeting. Warr Acres is closing for carpeting the week of April 16th, and Bethany will be closed during the work week of May 14th, the week before NW opening. She also discussed her attendance to a few forums such as Emergency Success, Commando Diplomacy, etc.

Library Operations – Extension meeting April 16th in Jones. Denyvetta will be in Tulsa April 5th.

REPORTS

OUTREACH – Dana shared teen posters and bookmarks for Summer Reading.

The tri-system retreat with Pioneer and Tulsa will be next week.

MARKETING & COMMUNICATIONS – Kim reported Marketing is in the process of re-designing their work area and expanding cubicle space.

MATERIA,LS & OUTREACH – Karen reported she attended the A & P Committee meeting yesterday and the Friends meeting last night.

LIBRARY OPERATIONS & PLANNING – Stuart and Kay are continuing to meet with libraries and departments to review and discuss the telephone survey results.

Kay is currently working on the budget.

Kay recently met with Julie Ballou to review and discuss the Northwest Library floor plan, etc.

Kay has met with the library managers regarding Northwest and Southern Oaks plans and how they may be impacted.

Bethany closed on Monday for carpet installation and trenching.

Ad-Team Meeting Minutes for March 9, 2011

NEW ITEMS

Performance Appraisal System – Ric emailed a draft procedure for the calibration of performance appraisals to the Ad Team. He stated a decision needs to be made on whether to continue calibrating appraisals. Questions and discussions followed. It was determined the discussion and procedure in question would be sent to the Policy and Procedure committee for further review and decision.

CALENDAR REVIEW

April 6 – Library Retirement Pension Board @ 3:30 – Downtown
Donna reported the Singer Group will be here for a follow-up in the near future, although a confirmed date has not been set yet.
REPORTS

FINANCE & SUPPORT – Lloyd reported Dan and Patrick are making their rounds to gather information for the upcoming budget process. April 15 is the deadline to enter budget information.

Manager of Library Operations Meeting Minutes for February 2010

Lloyd explained the process of looking up budget information on MLS Intranet. He indicated that the program manual was updated to include a couple of accounts. The budget schedule including the Friends’ grant was forwarded to the managers on February 17. The Friends’ grants must be finalized before the budget is due on April 19. Please forward grant applications to Denyvetta for review by March 12.

Lloyd stated that special funds should be spent within the fiscal year that they were granted and asked the managers to round numbers when completing their budget. He requested to be informed of monies not spent and to contact him with any questions and informed that the system has a schedule of expenses and can not go over its’ budget. In the event that the system does go over budget then he must request through the Commission to move dollars from other accounts.

He welcomed phone calls and questions concerning the budget but reminded everyone that his answers would be a “system-wide” view of the budget.

Manager of Library Operations Meeting Minutes for July 2009

Donna informed the managers that the FY10 preliminary budget has a 4% market adjustment with a 0-3% merit increase if approved by the Commission. MLS is fortunate that our revenue is stable at this time and we are committed to keeping staff salaries competitive in the marketplace.

Materials budget received an increase to include more electronic media and e-books. New positions for the Service Center are in the FY10 budget. The manager’s position for the NW Library rolled over from last year’s budget.

Donna asked the managers to forward to Denyvetta or Kay, a list of changes needed to be made to their budgets. She, Denyvetta and Kay will create a standardized list that will be helpful to managers when ordering furniture in general.

OKC Metro Gang Task Force - M. Hock, Investigator
Linda introduced M. Hock, from the Oklahoma City Metro Gang Task Force. Mr. Hock has been a member of the Oklahoma City Police Department for 22 years and on the Metro Gang Task Force for 15 years since it was formed in February 1994.

A slideshow presentation was shown to raise awareness of the different gang sets in the city and how to identify them. Mr. Hock indicated that there are 5000 documented gang members throughout the city with 106 confirmed gang sets and 6 major gangs the make up 65% of all gangs.

REPORTS

DEVELOPMENT – In Ernestine’s absence, Lloyd reported Literary Voices ticket sales are going well. Invitations to the event have been mailed out.

The Endowment Trust will be meeting tomorrow.

FACILITIES MAINTENANCE – Patrick reported he was out last week and is busy catching up this week.

HUMAN RESOURCES – Ric reported on the current vacancies, which was emailed to Ad Team this morning.

Ric handed out budget entries for account 101 and 102. He asked Ad Team to review and if there are any changes to let Human Resources know as soon as possible.

Manager of Library Operations Meeting Minutes for February 2009

OKDHS – Christine Fox-Luton & Jayme Howard Public Awareness
Ms. Fox-Luton and Ms. Howard discussed opportunities for libraries to partner with the Oklahoma Department of Human Services to raise public awareness of neglected children and diversity of children. The program assists children in recognizing how they can become successful and advance in society. The DHS group is available to tailor the program to each library. Libraries may participate in the following activities:

Create window displays to recognize child abuse month in April and foster care month in May.

Decorate trees with blue ribbons during the Child Abuse Prevention event at the State Capitol on April 14. Libraries interested in participating will be supplied trees and ribbons.

Manager of Library Operations Meeting Minutes for December 2008

Donna wished the managers Happy Holidays and extended her sincere thanks for all of the wonderful work they’re doing as managers of Library Operations. She is very impressed with the service plans she has read.

Donna, Kay and Karen visited with Randy, Chris, and Phil to discuss the “Family Talk” section in their libraries. They will be visiting with all of the library managers.

Donna informed the library system did not see downsize in revenue this year and indicated Lloyd, BO, believes the revenue will remain stable as we go into the next calendar year.

Manager of Library Operations Meeting Minutes for September 2008

Randy and Cheryll, SO, attended a trade show at Crossroads Mall. Randy attends annually and expressed his excitement of meeting and educating people about services offered at the library.

Denyvetta received a Metro Newspaper article from Melissa highlighting a handwriting analysis program held at DC. Phil forwarded a note from a CH customer who donated books to the library to show his appreciation to staff for assisting with information regarding sign language.
