Tech Support Meeting Minutes for December 2002

PR will continue to work on ideas of how to best notify customers of new changes regarding the Internet
A design has been created, however it is still being worked on. The design will be little signs, which will be placed by the computers.

Materials Services will continue to work on changes to customer requests for purchase.
Janet reported that customer requests are leveling off, which could possibly be due to the holidays. She will continue to monitor them. MSL has been receiving about 300 requests a week.

The customer request process has been streamlined. MSL now has a shared drive on their computers, which allows for them to access a searchable spreadsheet. This spreadsheet houses “regret” requests and has an action column stating the reason for the regret.
Janet has also been looking at web sites for other major public libraries to see how they handle online requests. She will get with Jim sometime after the first of the year to see what Automation changes can be made.

Update on Ways to Notify Customers of New Changes Regarding the Internet
Nothing has been done with this item yet. Public Relations will be working on a revised form.

Update on How to Best Inform Customers in Using the Public Access Computers
Scott has developed a rough design of a postcard-sized placard. He has also created wallpaper for the computer, which states how everything works. Automation will look at the demo to see if it would be feasible.

Update on Changes to Customer Requests for Purchase
Materials Services has not done anything with this yet. It is a work in progress.

Update on Removing Social Security Numbers from Leave Approval Forms
This has been done. There have been many positive comments on this.

Update on Labeling of Videos and CDs Being Kept in Customers’ Cars during the Summer
Scott has designed something, which will need Judy’s approval. Materials Services is currently looking for CDs when they receive gift or withdrawn items that come in to their department. Crystal has spoken with Heidi Johnson, in Tech Processing, and will follow up with her. Jeanne Devlin, in Public Relations, suggested a traveling display of damaged CDs.

Update on E-mail Notifications and Invalid E-mail Addresses
Judy presented this issue at the Library Manager’s meeting. Invalid e-mail addresses received for the whole system is about five a day. E-mail notifications have been implemented.

Update on Audible “Special Instructions” Alert for Staff
This has been implemented. Anything that has been typed in the “Special Instructions” field will alert staff.

Update on “Learn-a-Test” Remote Access
Remote access is now working. When accessing this site, customers will need to use “New User” or “Returning User”. The “Home Access” does not pertain to us and needs to not be used.

Update on E-mail Notifications for the Public
There have been over 30,000 e-mail notifications. Automation has been encountering some problems regarding incorrect e-mail addresses. Jim is working with Pam Buchanan on this issue. Pam has been contacting customers to verify e-mail addresses. A printout could be used for staff members to place on the reserved material that would alert customers that their e-mail address is invalid. Judy or Denyvetta will discuss at next Library Manager’s meeting. Judy will show the managers a sample printout that will be used.
Update on Recommendation Regarding Prepaid Negative Balance
Kay Bauman has finished this and it has gone to Anne Hsieh.
Update on Possible Sub-Committee Forming to Discuss Prepaid Fees Account
Judy has solicited and received volunteer committee members. She will ask Lisa Myers to chair this group. Anne F. will need to meet with the group.

Terms of the Rotating Positions
Each term will serve a period of two years. Crystal Giles will replace Jana Hausburg in August 2002. Debra Spindle will continue to serve for the next two years.

Update on E-mail Notifications for Reserves and Overdues
Since this started back on May 1st, 158 staff members have signed up to use this service and there have been 1374 reserve notifications. Jim would like to go forward with offering this service to the public on June 3rd. Special e-mail accounts have been created for Midwest City, Del City and Southern Oaks for reserve notifications.

Administrative Names and Contact Phone Numbers on the Web Site
Discussion on whether to have Administrative employees business phone numbers and E-mail addresses on the Internet resulted in the decision to have Human Resources, Public Relations, Development, and Public Services phone numbers and e-mail addresses published on the Internet for the public. Each listing will have a short informative statement indicating why a customer may want to contact each office.

Example: To inquire about job openings, please contact Roy Ballou at……
Each office mentioned above should decide who would be the best person for a customer to contact regarding information from that department.

E-mail Notifications for Reserves and Overdues
Anne and Jim demonstrated to the Tech Group the E-mail Notification System.

Tech Support Meeting Minutes for March 2002

Automation has implemented the new procedure for service calls. It was emailed to all staff on March 22. Techs will have a copy of a work order that was called in to the automation help desk. When the work is completed, a staff member will sign the work order and a copy will be left with the manager. This will provide a record for the library as well as automation that the job was completed. It is necessary to continue calling the help desk with computer problems rather than emailing them.

ILS Issues
Could a "search" button be added to the "holdings" record on Cybermars (currently there is only a "back" button on the holdings screen) so that users could continue searching from that screen?
Jim will add that button to Cybermars. He will also look at the magazine search screens to determine if a button could be added there to make searching easier.

CyberMars terminals being used to access internet (i.e. does have minor filter): chance to personally interact with customers (Judy), some get into databases and get to internet and then just get engrossed and stay there too long; others know they can circumvent the filter/2-hour time limit on the regular internet computers and so a librarian needs to talk to them one-on-one.
Answer: librarians need to deal with this one-on-one.

Also Suggested: better signage to alert innocent mistake-makers that the CyberMars computers are for catalog/data base use – not cruising the net.
Reserves on CyberMars Welcome Page: customer following the directions on the welcome page is going to the reserve screen and trying to reserve a video when she should be going to the catalog page.
Answer: Automation will try to get that explanation to reflect that one needs to make areserve from the catalog page.
Also, may consider changing Reserve head to Reserve Status, but Jim believes we may need to look at printout of site in March to see if this will indeed solve the problem.
