Ad-Team Meeting Minutes - November 12, 2014

Administration / Commission – Donna reported the MLS Commission has appointed Mary Teresa Sosa to replace Tracy McGehee. Ms. Sosa resides in the Capitol Hill area and works for the City of Oklahoma City as a dispatcher in the Parks Department. She was approved unanimously by the Oklahoma City Council. All vacancies are now filled in the Commission.

Finance & Support – Lloyd reported the Business Office is working on Human Resources and financial software. The new HUM software should be implemented by April 2015.

Jana shared a newspaper article about CH’s jewelry program. They are also planning a Veterans appreciation day.

Rosemary mentioned that Choctaw’s genealogy series this month on Tuesday nights has been successful.

Angela shared that Downtown librarians will help in the development of book clubs at locations outside of the Downtown Library.

Chris shared that Midwest City received recognition in the newspaper for their Mad Scientist program.

Michael talked about Ralph Ellison’s successful Boy’s and Girl’s Night programs.

LaVetta indicated that Village is planning a Mystery Night and the Literacy Referral Program will begin on October 15 and will continue from 10:00am to noon every Saturday through the end of the school year. This program will assist anyone in finding a reading tutor and is available to all ages.

Project updates: NW Library, Ralph Ellison and the new Service Center – Todd Olberding, CON
Todd informed managers the Service Center project bidding took place on July 1, 2008 and recommendations will be made to the Commission on Thursday, July 17. Atlas General Contractors was the low bidder and following the anticipated award, the contractor is to begin construction in August 2008. The anticipated completion date is late August 2009 and the move in date of September 2009.

Construction bids for the Ralph Ellison project took place on Tuesday, July 15. The hope is to receive the additional funding from the interest received from the Oklahoma City bond package and to award by the end of July. Construction is expected to begin around August 18 with an anticipated completion date of June 2009. Ralph Ellison Library will close on Monday, August 4 and re-open on Monday, August 18 in the temporary location at 1918 NE 23rd.

Copy Machines

Denyvetta asked if there have been any problems with the copy machines. Everyone seems satisfied with them at this point -- with the main problems seeming to be "operator errors." Karen mentioned that while the library is supposed to have a 24-hour service contract, that doesn't actually mean evenings and weekends. So while the service isn't quite as prompt as hoped for, they rarely seem to have problems.

New Telephone System

Denyvetta asked for feedback on the new phone system. Katrina asked if anyone else has noticed problems with the new Paging system. She's been having problems with echoes and static. Rosemary has noticed an echo when calling outside the system (that seems to be a problem only for Choctaw.) Randy mentioned that it's a little cumbersome to do some of the functions (5 steps for one function.) He has spoken to Anne Fischer and she thinks there may be a way to reduce the number of steps. Stacy mentioned that he and Anne have been talking about putting together a phone workshop, but they would like to wait until everyone is up with the new system.

Linda Temple is an intern from OUSLIS -- she will be with us for several months, observing how things work in a Public Library system.

Reality Check
Kim Rickey, Lisa Walker, and Traci Jinkens, are this year's United Way committee chairs. Traci introduced Barbara Floyd, a representative from United Way. She discussed the 2003 fundraising campaign.
Some things to remember to tell others, when talking about United Way: a) 1 out of 3 people in Oklahoma will be touched by United Way. b) United Way functions as a Community Safety Net -- fulfilling needs in the community that would go unmet without their support.
Traci showed a brief video about some of the people United Way agencies have helped in Oklahoma.

False Alarms - Don passed around copies of an e-mail he sent out in May ‘03 to remind everyone about the problems related to false alarms. In addition he passed out a letter from the OKC Police Department about excessive false alarms and the possible penalties, and an article from the City of OKC website announcing the starting date for false alarm enforcement. Don asked everyone to be very careful about making sure that all alarms are activated and deactivated appropriately.

Judy asked Don to discuss the issue of unauthorized entry before or after certain times -- Don explained that this is only for Downtown.

Issuing Library Cards Off-site -- Debra Spindle
It was agreed that the goal of this process is to issue library cares to those who do not already have cards. Most of this occurs as part of some school visits. The process as currently performed:

Take the library card applications to the school.
Children have the forms filled out and return them to school with their parents' signature. week)
School's teacher or office will verify the information. (1 week later)
Library will receive the applications back, check for existing library cards and then re-visit to hand out cards. (1 week later)
