SH 400.4 Merit Increase Guide

An eligible employee may be awarded a merit increase based upon their annual review score and the budgeted award amount according to the following table:

Leadership Team Minutes - October 16, 2019

Purpose of Meeting

Share information about things like upcoming changes, new products or services and techniques with the outcome having a common purpose and to align the team via updates on progress, challenges, and next steps.  Activities that may be included in these meetings are problem solving, decision making, prioritization, and task assignment.

Statistical Updates

  • Since the beginning of FY16, Materials Selection input a total of 65906 items, for a weekly average of 3469 items. As of 10/26/15 the total number of titles input for FY16 was 10411.  This is a weekly average of 547.9 titles.
  • The total number of Customer Suggestions received in MSL was 3651, averaging a total of 228 per week.
  • Since the beginning of the FY, TP received a total of 3363 boxes.  In October, they received 1323 boxes.  They averaged 60 boxes a day during October.

Procedure

  1. Steps in the flow of the Performance Appraisal Document
    1. The Human Resources Office will notify the supervisor approximately five weeks in advance of the review date.
    2. The supervisor prepares the appraisal based on performance standards established with the employee at the beginning of the appraisal period.

    The Performance Development Policy ensures that the Metropolitan Library System employees develop and maintain a high level of job performance.

    Safety training
    A large number of MLS employees did not complete safety training this quarter. The managers were asked to check and score staff appropriately on their appraisals. The managers were concerned that safety training is being assigned to staff later than normal which is impacting the completion of the training. Denyvetta will follow up.

    Melody briefly discussed and distributed an outline of possible scenarios regarding library cards being non-transferable. She described 4 scenarios for checking out materials on another person’s library card as being a spouse, child, non-custodial parent of a minor child and a person unrelated to the customer such as a friend or caretaker, etc. The 3 primary reasons identified by the committee for checking out someone else’s materials are disability, convenience and saving time on the customer’s behalf.

    The committee recommends 3 possible solutions for staff to start complying with library policies beginning with the most recommended solution as follows:

    Educate/re-educate staff during Circulation Forum, FOCUS, ShelfLife article written by circulation clerks and circulation clerk meetings; specifically advise new customers that cardholders must present his/her own card to check out materials and communicate to existing customers that this has always been library policy and explain that the library is protecting customers privacy.

    Deposit paperwork & Express Checkout Procedure – Denise Ryan & Laurie Mack-Clark, BO

    Denise distributed to the managers the Express Checkout Procedures, Petty Cash Funds Management form and examples of daily deposit receipts. She briefly explained forms used when completing daily deposit paperwork. The Express Checkout instructions explains procedures for refilling coin tubes; balancing change funds; preparing daily cash deposits and purchasing coins for change funds. The Petty Cash Funds Management form may be obtained through the business office and used to request changes to cash drawer amounts and other petty cash fund uses or transfers. This form must be completed by the manager and forward to the business office.

    Denise also distributed examples of daily deposit receipts which are summaries of actual collections coming in and monies remaining in the cash drawer on that day, Internet/copy machine receipts, Express Checkout daily deposit amount and a cash tube printout showing how much change is in the Express machine. She asked the managers to forward to her the print out slips from the money machines each day.

    Playaways:

    Ask for samples of other vendors’ Playaways, esp. if packaged with accompanying materials

    Janet and Ruby requested samples from all the major vendors, Recorded Books, Brilliance, etc. All samples are packaged in the same binders. They were not able to obtain any with accompanying materials.

    Inquire about replacement cases for Playaways

    Heidi is still working on this. She’s been in contact with Brodart to see what they offer.

    Karen will check with the regional Playaway rep. to see if they offer replacement cases.

    Take a sample to the next AdTeam meeting

    Karen took samples to the Deputy Executive Director’s meeting.

    X-Change Meeting Minutes for May 17, 2010

    Roy Ballou, HUM gave a brief and informative overview of Express Breastfeeding. Companies are required to provide a place without view that is not a restroom for women who are breastfeeding a place to perform this task. The library system is not required to pay for the time women breastfeed, but the library system must accommodate for those women by providing a facility that meets those needs. He also informed the supervisors that each location needs to have a working refrigerator to store the milk as well. Roy then asked the supervisors to help identify a place at their location that would serve this purpose and encouraged the supervisors to spread this information to their employees.
