iFind and srConfirm Demos – Jimmy Welch & Anne Fischer, IT

Jimmy and Anne gave a quick demonstration of iFind/iWeed. Jimmy indicated this process is another green project with hopes to make weeding easier. Anne shared that before demonstrating, she practiced emailing ED tracer list to Jimmy to be certain everything was functioning properly. She informed the managers that the entire list with the summary giving status of items will be available every Thursday and the list will be updated daily. Jimmy asked managers to set an implementation date. Managers agreed on April 12 as the implementation date.

Anne informed the managers that ED has been using srConfirm with scanners that are Bluetooth connected to scan label bar codes and other codes on the items. Melody shared ED’s experience. She stated that Anne came on site to train Mary Beth, Library Aide and she has already trained a couple of other staff members. She indicated the iPad is pretty simple and that she really likes the list being readily available. Anne asked the managers to forward an email to her if they are interested in having an iPad at their location so funds may be added to the budget. Kay stated the advantages in having the iPad is that materials can be processed in the stacks and staff is able to view their work. She also stressed the importance of having a system in place at all of the libraries.

Tax Forms page & eMedia support – Kellie Delaney, PLA
Kellie informed the managers that the web team has partnered with Kay Bauman and Sharon Bish, DN, to reformat the Tax Resources page. Information was gathered from the Oklahoma Tax Commission and Oklahoma Department of Libraries provides links to free filing services as a resource for staff and customers. The link will be available on the MLS Internet slider on January 20.

The eMedia staff resource guide is currently on the MLS Intranet slider. Kellie is working with Stacy to begin training sessions for staff. She asked the managers to contact her with questions regarding eMedia and to forward any phone calls and email questions to her. Customers must have a computer and access to the Internet in order to download eMedia.

Manager of Library Operations Meeting Minutes for November 2006

Denyvetta led a discussion about the cash deposits. She handed out reports of deposits for each library since July with “scores” for each month on the report.

Denyvetta expressed concerns about the increase in cash deposits over or under $2 without explanation, and without required paperwork.

Some managers felt that it would be very difficult to figure out the reason for the errors when there are so many people with access to the cash drawers.
A committee will explore ways to reduce the number of errors. The members of the committee are: Deb Willis, Tim Fisher, LaVetta Dent, and Denyvetta Davis.

Manager of Library Operations Meeting Minutes for December 2004

Donna Morris complimented the managers on a job well done and encouraged everyone to continue the good work. Donna stated that she has received wonderful comments on the success of the new library and the MAPS Project and appreciated everyone’s hard work. She also shared that the System Reserves process is being review by a Task Force that will make recommendations for improvement. The Library Commission will elect a new slate of officers and assign new committee members in January or February. There will be a meeting in January to discuss options for the library’s pension plan although nothing will be done that is not in the staffs best interest. The Finance and Long Range Planning committees will discuss issues relating to the Capitol Hill Library renovation.

Reorganization - Kay Bauman

Kay discussed the library system reorganization and offered to answer questions. She mentioned that she is glad to be back at managers’ meetings and is trying to catch up on things. The Deputy Directors will meet weekly with Donna. The AdTeam will continue to meet every two weeks. She noted that business is up all over the system, and that administration is aware of load increases, and the search for ways to reduce stress, workloads, etc. continues.
