Manager of Library Operations Meeting Minutes for July 2010

Roy distributed to the managers “Individual Test Profile” & “Virtual Customer Simulation – Service” handouts and informed that the Customer Service Skills Assessment video previously used to test candidates is outdated. He, Denyvetta and Kay viewed new software found on the Employment Technologies Corporation’s website called, “Virtual Customer Service.” They were all impressed with the online test and in agreement to purchase the software.

A link to the test is set up for employees and candidates to take the test online. Roy will forward this link along with the “Individual Test Profile” link to the managers by the end of the week. He indicated that scores are not used against employees or put in the employee file. The company would like to gain knowledge of where new candidates should fall by testing all current circulation clerks to get a baseline average score. Managers agreed that all clerks test by the end of August. Roy will receive a baseline score on MLS as a whole. The managers viewed segments of the video test.

Interlibrary Loan
Randy, SO, stated since ILL items are now added to the customer’s card and the paper trail is no longer as important, the items can be returned to any library before being returned to the ILL office.

To minimize the removal of ILL labels from items found in the book drop, staff may inform customers that ILL books are obtained through different processes than reserves and to stress the importance of leaving labels on items. In the event when ILL items from other libraries are retrieved from book drops, staff may contact the ILL office to verify items.

When ILL items are received by customers, some libraries mark the forms as received and others give the forms to customers for their records.

Donna wished the managers Happy Holidays and extended her sincere thanks for all of the wonderful work they’re doing as managers of Library Operations. She is very impressed with the service plans she has read.

Donna, Kay and Karen visited with Randy, Chris, and Phil to discuss the “Family Talk” section in their libraries. They will be visiting with all of the library managers.

Donna informed the library system did not see downsize in revenue this year and indicated Lloyd, BO, believes the revenue will remain stable as we go into the next calendar year.
