Manager of Library Operations Meeting Minutes for September 2010

Dana informed the managers that there is no sign up for Book-toberfest which will begin on October 1. Customers between the ages of 19-54 with a valid Metropolitan Library System library card will be eligible to receive a drawing slip per every two age appropriate books they read or listen to during the month. The initial drawing for the Reduxion Theater and the Oklahoma City Ballet is on October 12. Dana indicated that two tickets sealed in a money bag will arrive at each library on October 7. The managers were asked not to re-enter winning names.

A Sony E-Reader, a Pottery Barn insulated lunch bag and a JoeMo coffee/tea brew travel mug are among some of the prizes that will be given away during Book-toberfest. Dana asked the managers to contact her with any questions and advised that the tech assistants may receive telephone calls regarding the Sony E-Readers. Staff is ineligible for the drawings. Dana has spoken with Stacy in hopes of coming up with an idea for the future so staff can be eligible for drawings to win prizes. She invited everyone to send any ideas to Stacy, PLA.

Dana extended appreciation to the managers for their support and hospitality shown towards the Oklahoma Fancy Dancers and shared that 1,146 people attended. She expressed the importance of returning the Oklahoma Arts Council surveys and encouraged everyone to review all magazines received and contact her if changes are needed. The managers express gratitude for Emily assisting with the programs.

Facilities/Projects – Lloyd Lovely & Dan Holman, BUS

Lloyd indicated that everything possible will be done to see that items put in the 450 budget at the start of the year are accomplished.
Patrick will supervise housekeeping, maintenance items and deliveries. Dan will oversee renovations, signage, landscaping, lawn maintenance and bringing projects at BI, CH & WR up to ADA standards. Todd will supervise new constructions.

Katrina asked Ric if she was correct in her understanding that the "burden" is on the employee to not tell about a medical condition, as opposed to the "burden” being on Managers to not ask -- Ric agreed with this assessment.

Ric said that Human Resources has put together a summary sheet of the information from the last X-Change meeting, which he distributed. Since a number of people missed the X-Change meeting on this issue, Human Resources will be scheduling a few makeup sessions. The basic rule of thumb for supervisors is to keep employee medical conditions confidential. If an employee wants co-workers to know their medical condition, they can tell others.

Debra Spindle asked if the supervisors are responsible for informing the staff about this, or if something else is being done about it. Ric said that at this point they have met the federal requirements for training the supervisors. He said that they could probably do any training deemed necessary from the handout that they received at the X-Change meeting. Ric stated that employees only need to be informed that the HIPAA rules are in place. A plan of action will be e-mailed, probably from PSA.

Damage Materials Form
The form is working fine, and managers are using it for a lot of different purposes. The managers propose that damage materials be sent back to the owning library and that each library will decide if they want to fill out a damage material form. The PR Department suggest that the 3-ply forms are glued at the top instead of stubs and shrink-wrapped in batches of 200. Everyone agreed.

Meeting Room Capacity for each Library
Priscilla stated that she would like to have a printed list available that shows the capacity of each meeting room for all libraries. She stated that this information would be helpful when they receive calls from customers. If there is not a room available at Belle Isle, they could inform customers of other possible locations. It was suggested that this information be put on the Intranet and the MLS web page. Judy stated that Jim is developing software for meeting room reservations, and he had asked if it would be helpful to have a diagram of each meeting room.

Jeanne thanked everyone for being kind when they received calls from her. She stated that the magazine started out small and is becoming bigger and better. An increase in funds allowed PR to expand and add color throughout the magazine. She discussed the timeline for receiving program information for the magazine, and the problems that occur when Public Relations receives last minute changes. She stated that in order for the magazine to come out by February 15th, the libraries would need to have all of their programs done and in the calendar by November 15th. It should be done three months ahead of time. She stated that she would try to send out a reminder.

Randy stated that he was not in favor of the book page being cancelled.
Jeanne asked if she could use the book page in the magazine. It was agreed that she could incorporate the book page into the magazine.

Dana Morrow introduced LaVetta Dent as the new Children’s Coordinator at Outreach.

Mary passed out information describing how to interview for page positions. She and Lisa performed a mocked interview.
Denyvetta passed out copies of Warr Acres service plan. It contained photo's of the Warr Acres staff, and some of their activities.

Judy Walden passed out a printout that displayed the mistakes that are being made in the meeting room statistical report. She stated that it took her 12 or more hours to correct all of the errors, and that the majority of the errors were made because information was left out, such as coding or event names. Judy stated that a new system would be developed soon; however, the accuracy of the current information must improved. She explained that if the report is incorrect, the library loses credits and statistics. She asked the managers to please inform her if they believe more training is needed in this area. Mike Miller, PLA stated that there are no codes on the printouts to determine which programs are the summer reading programs. He stated that some people use different titles for the same event. Judy stated that ODL does not have a set standard to use for the programs. She stated that ODL change their needs each year, and that they compile their data different from MLS. It was concluded that new standards should be set for the next report.
