Katrina distributed to the managers the January Tech Support meeting minutes with brief discussion. Guest managers in attendance included Julie Ballou, LaVetta Dent and Melody Kellogg.

The managers briefly discussed the function to V-Circ that allows lookup of reserves by number and letter combination. Jimmy, IT is in the process of creating a prototype of the V-Circ information requested by circulation clerks. Two applications for iPads were demonstrated during the meeting. The iFind application was created to replace the tracer lists and after 30 days, transit items on the list will be classified as missing. The srConfirm application will provide an easier way to confirm system reserves with the iPad.

Manager of Library Operations Meeting Minutes for February 2011

Candace informed the managers she is currently working on revising the “Public Space Reservations and Use” policy to make more relevant to all of the libraries. She is proposing to offer a tier pricing for meeting room rentals to include; (1) no charge for library and library related events (2) current or lower rates for non-profit organizations and (3) higher rates for profit organizations when using meeting rooms to promote their business.

Managers gave input on developing a clearer definition for library sponsored events and briefly discussed non-profit groups and the possible need to present 501C3 documentation proving non-profit status to receive no charge rentals. Rooms may currently be reserved up to 6 months in advance. A suggestion was made to possibly reserve no more than 2 months in advance to allow staff precedence over external groups when scheduling library programs.

Cell Phone Usage in Libraries—Denyvetta Davis

Background: A library customer attended MLS Commission meeting to voice his concerns about cell phone usage in MLS libraries and the need for a clear and consistent policy. The customer’s concerns were channeled to Kay and Denyvetta, re: uniform system policy. Discussion followed. Most managers said that they have learned to live with cell phones in the libraries. Some libraries have even removed their “ban the cell phones” signs. Some thought that another type of sign might be more helpful, such as asking the cell phone user to use cell phones courteously. Staff deal with loud cell phone users the same as they deal with other loud talkers in the library by asking that they hold their voices down or go outside to the lobby to finish their conversations.

Meeting Room Manager statistics are due June 30 for the end of the FY 04-05 fiscal year. Outreach Services Coordinators will enter all system-wide events that they coordinate. This will aid in tracking system events.

Manager of Library Operations Meeting Minutes for January 2002

Scott distributed CDs with templates for creating professional quality printing at library agencies. These include clip art and fonts, every element in its own text box. If agencies want to include a photo in their print productions, sent it to PR and that office will scan it.

Phil asked who would be responsible for multiple copies. Scott answered that PR will provide paper but would prefer the actual production to take place at the agency. PR will match requests for colored paper.

The programs on the CD will have to be downloaded onto agency hard drives; call Wanda or Automation for support.
