Expected Outcomes
To further discuss and make a decision on parking in the alley, to review survey results regarding system-wide recycling efforts, and to discuss efforts to provide staff with remote access to the Intranet.Agenda Items
- Parking in alley – The Ad Team discussed who needs parking, how many spots should be allotted, and why these spots are necessary. There are two reasons why parking in the alley is necessary: it saves money from renting space in the parking garage on Main and Hudson and it saves time loading materials into vehicles. It was decided that LaVetta Dent, Anne Fischer, and Todd Olberding would form a subcommittee whose purpose would be to determine the answers to the questions posed. The decision will be presented to the Ad Team at the 5/27 meeting.
- Recycling – While visiting library locations to conduct business regarding inventory, Lisa Walker of the Business Office asked staff simple questions from a survey. The survey contained questions on if they recycle paper, if reusable dishes are used, and if a recycle bin is currently in use. The survey concluded that 17 locations are currently recycling paper and using washable dishes. In order to adopt a system wide recycling initiative, the Ad Team must determine the cost of recycling on this large scale, as well as what the janitorial staff must do. The Ad Team determined recycling should be implemented system wide as long as it is not prohibited by costs. Lloyd Lovely will determine the logistics and present them to the Ad Team.
- Intranet, Email, & OneDrive – Anne Fischer and Kellie Delaney presented to the group information on granting staff remote access to the Intranet, email, and OneDrive. As of now, no one has remote access to the Intranet. All exempt employees will be granted remote access, as well as any non-exempt employees who would need remote access to fulfill job duties or requirements. Supervisors will be asked to identify these individuals. Intranet and email training should be very minimal. However, staff may need additional training on how to access OneDrive. Tip sheets on how to use the OneDrive will be provided by Planning. Once supervisors provide Anne and Kellie with a list of names of employees who will need remote access, the process of implementation will not take long.

Candace, LO: The cafĂ© on DN’s first floor is expected to open next week (5/17-5/24). Opening has been delayed due to a broken sneeze guard glass covering.

LaVetta, OUT: A Summer Reading budget was established in order to determine the donations compared to the expenses. $138,000 was donated to benefit Summer Reading. $60,000 was spent on books. Out of that, $55,000 was donated. About $13,000 should remain at the program’s conclusion. The $12,000 remaining from last year’s program was used this year.

Anne, IT: Beginning today (5/13), a new page is live on cataloging computers. This page provides a link to Summer Reading, as well as links to events, both at that specific location and libraries throughout the system.

Tim, DIR: The A&P Committee is meeting this afternoon (5/13) to discuss the Salaries & Benefits Report and four procedures that were mistakenly adopted as policies. We will be asking the committee to repeal these four policies.

Yay recycling!
I don't know if Lisa talked to anyone at the Service Center about recycling, but we also do several things to recycle. We use washable dishes in our lounge, one of us takes soda cans to be recycled, and I recycle all of the discarded paper from ILL. I'm really hoping we can institute system-wide recycling of paper at least.
