AD-Team welcomed LaVetta Dent to her first AD-Team Meeting as Director of Outreach.

Reports

MAC – Marketing posted the TLC (new catalog) promotional items for MLS staff to order online.

Kim mentioned there will be a MLS ad in the OKC Friday newspaper this Friday (August 22nd).

An ad will be posted in the OKC Gazette on August 27th about our new cataloging system.

Starting next month the MLS - Info Magazine calendar will have a few changes.  It will only show a handful of sub-categories and highlighted recurring events in the calendar portion. Not all events will be included in the magazine. Marketing’s focus is to get more customers to visit www.metrolibrary.org for online calendar events.

Materials & Outreach – Karen is currently proofing the ODL report. She stated she will finish and send it out today. Karen reported the department will suspend borrowing for a week. Lending has already been suspended and will start back up with the new system as well. Karen stated, as soon as the conversion is done with the new system the Books-By-Mail collections will be added to the catalog.

Outreach – LaVetta and Kay will begin visiting libraries starting tomorrow (August 21st) to receive feedback on the 2014 Summer Reading Program and pick up leftover materials. 

LaVetta is working on a performing artist showcase  for upcoming MLS programs / events.

Library Operations – Denyvetta reported things are going well with the managers helping out at Almonte and Village Library. The staff is communicating very well with the library managers.  Denyvetta gave thanks to managers Jana Hausburg, David Newyear, Randy Wayland and Rachel Kopchick for all their help.

Denyvetta stated there is one applicant interested in a manager position at this time.

The Village Library is continuing their monthly newsletter.

Library Operations & Planning – Kay reported policy changes will take place alongside the new ILS system. She is currently drafting it to be presented to the Commission on August 28th.

Kay reported the meeting room policy is being drafted at this time.

Kay is working on reporting statistics from this year’s Summer Reading Program.  She is collecting feedback with LaVetta Dent on the library perspective of Summer Reading. They expect the visits to be completed by the end of this month.

Library Operations (Headquarters) – Candace is working on the fee schedule with Spaces.

Administration / Commission – Donna is currently waiting on Commissioner Appointments.  

The City Manager of Bethany formed a committee to move forward and have an election concerning a new Bethany Library building in the spring.  Donna met with John Shugart (Bethany City Manager) to discuss what was needed for Bethany Library, such as meeting room size, computers, etc. The City Council approved for the City Manager to work with Bethany Library staff on how to get prepared and move forward with the process. There will be more information to come.

Finance & Support – Lloyd reported the budget on the Intranet today.

Auditors will visit the Downtown Library next week.

Lloyd stated the Endowment Trust audit is complete.

Information Technology – Absent

Development – Diane has received the final Jones public art contract and will review it with John Rahhal before Donna signs it. The Jones Public Art Committee was formed and they will meet after Labor Day, September 1st.

Human Resources – Kelley Hoffman stated all library manager positions have been posted on eight different websites. There hasn’t been any responses as of yet.

The Benefits Manager’s position closed Monday (August 18th) with 29 total applicants. The HUM Department will narrow the number of applicants to 7 by next week.

The Wellness Works: Move-It Challenge ended August 10th.  Staff recorded over 24 million total steps.
