ERM Overview

Sarah Peterson gave an overview of the Electronic Resource Management (ERM) tool that has been built for Metro.  The ERM will be used to better coordinate the management information related to the cost, access (including licensing info), and use of all of our electronic subscriptions and acquisitions.  For now, access is limited to collection development and management staff and those in the digital library, but it may be opened up for others later.  It was launched this past winter, and had a subset of resources included.  Other resources will be added in the coming months.  The tool can be used to set targets for use and cost per use, so that collection development staff can more easily determine which resources are performing well and which are underperforming.

Alignment Update

Michele Gorman report on the project.  The survey of preferences will be due on Friday, March 17.  The Library Manager III (ED, NW, SO) and the Internal Communications positions have been posted.  Tim will hold two meetings next week to review the Alignment project with the non-public services staff.  The meetings will be at DN due to logistical considerations with the meeting room at the SC (there was concern it would be too small to meet demand).  Kay Bauman provided an update of the work being done by the work groups, sharing that the groups were energized, and quickly working toward their goals.  There was a question about training, and how staff would learn any new duties or responsibilities related to their newly aligned postions.  Michele answered that the Learning & Development staff would soon be hired, and that they will be charged with the necessary training.

Class & Compensation Study Update

Michele Gorman described the progress to this point, which included the addition of links about the Class and Comp study on the Intranet's "About" menu.  There is also a survey for the study that will be sent to all staff.

Pilot Project Updates

Vicki Thompson presented an overview of the Kindle Fire/Wifi Hotspot for checkout project that has been planned for Warr Acres and Choctaw.  After some discuss and Q&A, the group agreed to approve a budget of $25,000 for the project.  There will need to be about a 90-day lead time before the project will launch, and we will assess success 90-days later with the hope of rolling it out to other libraries soon there after.

The Almonte Laptop/Chromebook in-house use project is underway.  The laptops have been received and the Chromebooks are expected this week.

The Downtown JNF continues and is expected to be completed in April.

The Creative Space/Business Center at Midwest City will continue planning and be included in next year's projects.

FOL Grants

The grants for Legislative Day and literary magazine were approved.  The grants for trees at Warr Acres and for sensory play at Belle Isle were not approved.  The group determined that a system-wide landscaping plan was needed for all libraries (to be completed in FY2017-18), and that the addition of trees or flowers will follow the assessment.  Additionally, Tim mentioned that he was meeting with the OSU Master Gardeners who have expressed an interest in partnering with the Library.  The group felt that though the sensory toys were a good idea, they wanted to wait until the Learning Experiences staff started so that we could develop a multi-branch approach to the toys.

Tim suggested that in the future, we might combine the pilot projects with the FOL Grant processes.
