Tech Support Meeting Minutes for January 2010

1. Kellie and Teresa will continue to pursue adding an advanced search feature to the internet.
2. Pauline, Karen, and Jimmy are still exploring other options for accessing uncataloged paperbacks.
3. Kellie is investigating a more effective way to save and search important memos.
4. Cataloging search tips have been added to training times.
5. Janet and Jimmy will continue discussing automated reserve placement.
6. Headphone sales have been implemented at all library locations.
7. Anne discussed the 30-day pop-up notice with LaVetta.

Tech Support Meeting Minutes for October 2009

1. The Hearing impaired resource bookmarks are in the final stages.
2. The shelf management lists are now in order by author.
3. Kellie and Teresa are still working on adding an advanced search feature to the internet.
4. The damage letter form is now available on the intranet.
5. Pauline has created a report on creating records for paperback books (full report attached). Since creating brief catalog records is not recommended, Pauline, Karen, and Jimmy will continue to explore other options for accessing purchased browse materials. This will combine efforts from TP, MSL, and public service staff. Katrina suggested a way to type in a title when you put the barcode on the book just for inventory purposes.

Tech Support Meeting Minutes for July 2009

1. The hearing impaired resource page has been added to the intranet for staff access. Kay sent the marketing request for bookmarks and will check on the status.

2. Teresa released the new www.metrolibrary.org with catalog search from the main page

3. The May issue of ShelfLife had an article about the new features on CyberMARS.

4. The Library Thing for Libraries feature on CyberMARS has been released to the public.

5. The Managers Meeting decided that the shelf management lists for audio fiction will be in order by author.

6. Denyvetta asked the managers about a pop-up in V-circ with pre-set alerts. There were diverse opinions and a universal approach could not be made. There will be no further action at this time.

The email ILL button has been added to CyberMARS

Rotating positions have been filled
Josh Lewis from Choctaw is the new circulation representative
Jack Kinzie is the new librarian representative
Pauline Rodriguez-Atkins is the new cataloging representative
Katrina is the Manager of Library Operations representative

Janet and Karen investigated the need for a foreign language paperback code and with the numbers presented, tech support feels that this is not something that should be created at this time. This could be fixed by cataloging paperbacks, which would need to be revisited once Cataloging has moved to the new service center.

Tech Support Meeting Minutes for October 2008

Jimmy Welch gave a presentation on the inter-library loan functions that are scheduled to be added to V-Circ and CyberMARS . Jim shared print outs of several screen shots and sample labels.

After discussion, the time frame for release was scheduled.
On November 12th , IT will demo the updates at the manager’s meeting
The ILL functions will go live on December 1st.

Member Terms
The following positions rotate every 2 years - Manager of Library Operations, Circulation, Librarian and cataloging
Katrina Prince will be the new representative Manager of Library Operations
Kay will send out an email to request replacements for Buddy Johnson and Kathy Dunn.
Pauline will have someone from cataloging replace Aaron Killough.

Teresa Goggins will work on adding the additional text to the Donate Now webpage for a presentation at the next Tech Group Meeting.

Deb Willis will report back on the findings from contacting the particular libraries on their use of RSS Feeds.
Subcommittee/Task Force formed to get development of RSS feeds underway Guide customers toward Library Elf (www.libraryelf.com) for those interested. Kim Terry will put information into next ShelfLife to educate staff on this. (Appendix 2)

Kim Terry will review the FAQ questions and answer them with the assistance of a Tech Use group member and report back at the next committee meeting.
Kim distributed a draft of the multiple use Computer FAQ. The FAQ will be available on the MetroLibrary website and in hard copy at libraries (Appendix 2).

The simple search screen subcommittee will meet and discuss their findings at the next Tech Group meeting.

On behalf of the subcommittee, Kim Terry presented 3 proposals for a new simple search screen for CyberMARS. After discussion, the group recommended changing the screen to the proposed one that looks similar to the one below with the addition of the Shelf Number radio button. The planned implementation date of January 1st

Deb Willis reported over her findings from the Library Managers’ on the text to include in the FAQ handout and simple search screen (Appendix 2).

Kim Terry will review the FAQ questions and answer them with the assistance of a Tech Use group member and report back at the next committee meeting.
After review of the simple search screen text, Tech Support Group discussed established a subcommittee to further investigate simplifying the Simple Search Screen. Committee members will include Janet Brooks, Kathy Dunn, Teresa Goggins, Buddy Johnson, and Kim Terry. The committee will meet and discuss their findings at the next Tech Support Group meeting.

Tech Support Meeting Minutes for April 2007

Deb Willis will report at the next Tech Support meeting over her findings from the Library Managers’ on the text to include on the Simple Search Screen. She will also present the top 10 questions that should be addressed in the FAQ hand-out.

Jimmy Welch reported that 70% of those surveyed wished to change the search functionality from “auto phase” to “auto and”. He also announced on May 7th, 2007 would be the new roll-out for “auto and” on CyberMARS and Staff Catalog.

Anne Fischer reported that permanent tracers are on the tracer’s list. Anne suggested printing two different tracer’s lists. Temporary Tracer list would be printed weekly and the permanent tracer would be printed monthly. The new implementation date would be on May 3rd, 2007.

Tech Support Meeting Minutes for February 2007

IT will deliver a report during the April meeting over the RETURNED text on V-CIRC.

Buddy Johnson addressed the author-search and spell check report submitted by a fellow librarian. Jimmy Welch and Anne Fischer showed the group examples. After group discussion, Tech Support suggested adding text to the Simple Search Screen to help customers address their search needs and possibility changing the search functionality.

Deb Willis will lead Library Managers in soliciting feedback for the text to include on the Simple Search Screen.
Stu Williamson, Metropolitan Library System Researcher, will be asked to conduct a brief survey on changing the search functionality from “auto phrase” to “auto and” and submit those results to Jim Welch.
