  1. New Ad Team Approach and Format (Rogers)

    • Tim discussed a new purpose statement for the Ad Team, reading, “To discuss and make decisions on issues having system wide impact or effecting multiple departments.” Team members reviewed the statement and agreed that it mirrored their expectations of the group.

Reviewing Punch History on Time Clocks

Staff members are able to view their last punch on the time clock without having to wait for the 30 minute period that occurs for updates in the employee self-service module.   

Here are the steps:

  1. Press 'EMP FUNC' button (employee function)
  2. Select '3: Show Punch History'
  3. Enter Badge # and hit 'Enter'

The time clock will display the type of punch (In Day, Out Day, Out Lunch, In Lunch) and the time.

Paycom Training Sessions / Logins

Update 2-14-15:  In addition to the announcement on the Intranet in January about our migration to Paycom, you might find it helpful to know that our implementation timeline is also impacted by changes to laws.  One of those changes occurred with the Affordable Care Act.  Starting January 1, 2015, MLS was required by law to track data that will be reported to individuals and the IRS at the end of the year.

Ad-Team Meeting Minutes - January 21st, 2015

Lloyd discussed the budget calendar for the fiscal year 2015/2016. The Ad Team will meet with Tim as a group and discuss their requests regarding the budgets instead of meeting on an individual basis as in years past.

Lloyd also added Paycom training will begin next week with all staff at all locations. Supervisors’ training will last 45 minutes while other staff will receive 30 minutes of training. Lloyd is meeting with the managers today, January 21st, to update them on all the progress of the payroll conversion. A Paycom representative will be available to train supervisors on scheduling computer lab (Downtown) on February 11th. Time clocks are being installed at various locations. The projected go-live date for the time clocks is February 16th.

Statistical Updates

  • During December, all newly cataloged titles were routed from Cataloging to Technical Processing within one working day of receipt in Cataloging.  Mass market paperbacks were routed from Cataloging to Technical Processing within an average of 1.5 working days of receipt in Cataloging.  Records for e-media materials were uploaded to the catalog within 5 working days of receipt via e-mail.  
  • Based on the best data available, around 1,800 titles new to the collection were cataloged in December, including about 400 e-media titles.  Approximately 600 records for mass market paperbacks were added during that time.

Managers of Library Operations - December 2014

Ed distributed to the managers a Security Information Sheet with names and positions of MLS security officers which includes security suggestions for staff.  He shared the MLS has a new security officer, Tony Gracey who began his employment this week.  Tony is a retired Oklahoma City police officer who filled in at RE  about 15 years ago on a part time basis while still active on the police force.   He will occasionally show a visible presence in the libraries.

Ed briefly discussed security suggestions with the managers and invited them to contact the Security Department for assistance, questions, or with any issues concerning security staff as soon as possible.  He asked the managers to please complete Unusual Incident Reports in a timely manner and informed that security is working on trying to get the CCTV library cameras to record on a 12 day loop.  Staff are encouraged to always be aware of their surroundings; all staff have a responsibility regarding security at our libraries.  

Paycom Coming Soon

Next month, MLS will switch its payroll software to Paycom. Included in the change will be all Payroll and Human Resource functions, including not just the payroll payments to employees, but also scheduling, benefit recording, tax payments to governments, time off recording, W-2s, Wage and Earning statements, job recruitment, and plenty more that I can't think of right now.
