ILS Vendor Demonstrations *Updated*

Each of the vendors developed their own agenda and we listened and asked questions throughout their presentations. These demos were designed as a preliminary and fairly cursory overview of the vendor’s ILS systems. The notes included of those demos are based on the agenda that each of the ILS vendors chose. MLS was able to learn answers to some of our questions and still have several that remain at this time.

ILS Task Force Meeting Minutes for August 27, 2012

Anne updated the group on the communication she has had with the vendors since our demos.

Polaris sent information on a test system and she can now see the administrative module. However, it’s the previous version. They will upgrade the test system soon. The new version of Polaris is a complete revision so it is not really comparable with the previous version.

Old Business

DVDs containing multiple discs or guides
After discussion, the group agreed that the current rules for handling these materials remain as follows:
Sets of 4 or less discs will generally be cataloged as sets, unless:
Each disc in the set contains a complete work.
Separating the discs will significantly reduce processing time.
Materials Selection staff specifically requests that the discs be cataloged separately.
Keeping the parts of the set together will require that the set be processed in a hanging bag.
“Bonus feature” discs will be included with sets as long as the total number of discs does not exceed 4.
If each disc in a set is cataloged separately, all “bonus feature” discs will be discarded.
Books and/or guides will be retained with DVDs if they are determined to be essential by the Cataloger, even if this means that the set must be processed in a hanging bag.
Cataloging staff will follow these guidelines and avoid contacting Materials Selection for decisions as to whether to catalog multiple disc DVDs as sets.

New Business - all

There was a brief discussion of the classification of a book by David McCauley called “Pyramid”. The book is classified as an ANF; similar works by this author are classified JNF. Pauline explained that this title has been in the collection as ANF since 1975. She asked if the MSD Managers felt that reclassification is necessary. Since adult and juvenile non-fiction are interfiled on the shelves and the title is circulating in the current location, it was decided a change in classification was not necessary.

Playaways:

Ask for samples of other vendors’ Playaways, esp. if packaged with accompanying materials

Janet and Ruby requested samples from all the major vendors, Recorded Books, Brilliance, etc. All samples are packaged in the same binders. They were not able to obtain any with accompanying materials.

Inquire about replacement cases for Playaways

Heidi is still working on this. She’s been in contact with Brodart to see what they offer.

Karen will check with the regional Playaway rep. to see if they offer replacement cases.

Take a sample to the next AdTeam meeting

Karen took samples to the Deputy Executive Director’s meeting.

Cataloging Update - Pauline
Paula Hannapel is happy to announce the birth of her granddaughter, Maddison Nicole Farris, on August 20. Mother and daughter are fine, but the grandmother is feeling lightheaded.

Cataloging held a staff meeting on July 24. They discussed various issues including plans for the new building and the RE closing and temporary location.

Pauline and the Cataloging Technicians met on July 24 to talk about tracking boxes received from MSL and coverage during vacations.

Jana, Ursula, and Pauline taped Read About It segments on July 25.

Pauline and the Catalogers met on July 29. Among other issues, they established standards for adding feature film DVDs to existing records.

Sam Weehunt from DC job shadowed in CAT on August 6.

Jeanie, MSL, assisted in CAT on July 31 and August 7. On August 7, she and Steven handled the Cataloging Tech duties for the afternoon, so that Paula and Veronica could attend the True Communication workshop.

Cataloging Update - Pauline

Meetings and training attended:

Denise from MSL visited Cataloging on March 27. She helped to prepare transfers for reprocessing.

All Cataloging staff helped with the RFID project at Capitol Hill April 1-4. Margaret also helped with the project at Choctaw April 14-16; Veronica helped at Choctaw on April 16. IT much appreciates all the assistance, and staff enjoyed the opportunity for something different.

Pauline taught a session of the Collection Management workshop on April 8. It was her first time to teach the ILL segment, along with the regular catalog searching segment.

The Leadership MLS group visited Cataloging on April 9. They toured the department and viewed the cataloging and bar-code printing processes, then met with Pauline to discuss management philosophy and ideas.

Ruby and Susan from MSL visited on April 10. Ruby and the catalogers discussed changes to genre headings, while Pauline and Susan talked about their upcoming presentation on serials.

Materials Selection update – Janet

Library Visits

During February, the selectors made an annual visit to DN and a 6-month visit to CT.

During March, selectors made an annual visit to ED and a 6-month visit to DC.

During April, selectors are scheduled to do an annual visit to MC and 6-month visit to VI.

Spotlight On

Selectors are updating the Spotlight on Asian Americans. It will go to Teresa by the first of April and up on the webpage in May.

Janet and Karen are evaluating how useful the Spotlight bibliographies are to customers and staff to decide if we need to continue to update them.

Materials Services Division Managers' Meeting Minutes for April 19, 2007

Cataloging Update - Pauline Rodriguez-Atkins
Karen Davis has worked frequently at MSL over the last month.

Veronica and Paula visited MSL on March 16. They worked primarily with Kim. The three of them worked out a system for Paula and Veronica to notify Kim when NW nonfiction materials are recalled for correction. Kim will pull the materials and route them to Cat. This will help keep Cataloging’s reserve list clean and will avoid reserves being on the materials on opening day.

Sandy Futrell, UCO student, visited on March 20. She spent a good amount of time, mostly with the Catalogers, and left impressed as to the amount of work that is done, and how complex it is.

Pauline attended the first meeting about the Service Center with the architects on March 21, and the architects visited Cataloging for a short tour on April 5. She has been working on completing forms and compiling information.
