Ad-Team Meeting Minutes - December 11, 2013

Reports
Materials & Outreach – Karen stated there are no new reports at this time. The Materials and Outreach Department is operating as usual and preparing for the New Year.
Outreach – Dana reported that Kristin Williamson – Children Services Coordinator is doing a wonderful job meeting MLS staff and participating in activities. Kristin is currently finishing the spring ‘1-2-3 Play with Me’ initiative and continues to focus on other projects.
Dana also announced the Outreach Department has trained three new people in Children Services and they are preparing for future activities at this time.
Library Operations – Denyvetta passed around thank you cards and notes written by customers to MLS staff members for the Ad Team to read.
Denyvetta also announced the Manager’s meeting will be held here at the Downtown Library on the 4th floor. Denyvetta reported today’s meeting is Priscilla Doss – Belle Isle Manager’s last Manager meeting. Ms. Doss is retiring after working 41 years with the Metropolitan Library System. Her last day is Tuesday, December 31st.
Library Operations & Planning – Kay stated the MLS Automated Inclement Weather Notification System saved 13 hours of work. There were only about 6 people who did not receive notification. Kay announced there is an Automated Notification survey and Contact Information Update located on the main page of the intranet. All MLS staff is encouraged to submit their online entry. All entries are due by Friday, December 20th.
Kay planned a special library managers meeting focusing on adding Strategic Plan Objectives’ and how to utilize the features built within MyMetrolibrary.
Kay explained the new tab ‘Library Love’ featured the navigation for MyMetrolibrary “Library Love” is a compilation of compliments from customers who want to show their appreciation for our system. Their kind words are retrieved through social sites such as Facebook and Twitter, email, or letters / notes written to the library. Kay encouraged the Ad Team to check out the new tab.
Kay also reported the Annual Statistical Report is in the Commission Packet for this month.
Library Operations (Headquarters) – Candace announced the MLS 2013 Open House went well. About 200 people attended. She thanked all who participated in the ‘Festival of Trees’ this year. The People's Choice winner is Belle Isle Library with their animated, “I Want a Hippopotamus for Christmas tree”. First Runner-Up is Development and Volunteer Services with the Grinch Song tree.
Candace announced the Downtown Library Christmas luncheon is today beginning at 11:00 a.m.
Beginning Monday, December 16th Candace will be on vacation until December 30th.
Four entertainers will perform for the Downtown Library Annual Opening Night. It will begin at 7:00 pm till 11:00 pm New Years Eve.

Administration / Commission – Donna thanked the Ad Team for helping during her absence.
Donna stated she and Todd will meet with the City of Oklahoma City tomorrow (Dec. 12th) to discuss funding options for Capitol Hill.
Donna reported TLC agreed to all of the contract changes except for one, which was the shipping cost. MLS will pay the shipping cost. The contract should be approved tomorrow (Dec. 12th) and things will begin at that time. Donna stated TLC was very cooperative during the process.

Human Resources – Lori stated she has no new reports at this time. The Human Resources Department is running smoothly at this time.
MAC – Kim reported she received a great deal for an additional digital billboard ad and plans to take advantage of it. The billboard is only 10 minutes from the Village Library. Kim stated there are currently two ads running on digital billboards, one near the Oklahoma State Fair Park & one near I-44 and Penn.
*Donna stated, during Kim’s report, that she saw the new MLS commercial on Fox Primetime during the weekend.*

This is probably a dumb question. But what is TLC shipping? I thought we were buying some downloaded programs & customer service & maintenance & other virtual things.....
The ILS software we will be purchasing from TLC requires hardware for it to run. We have chosen a locally hosted solution which means the hardware will be located in the IT Department here in Oklahoma City. We will be purchasing servers through TLC and those servers will be shipped from the vendor to MLS. That is the shipping costs that we will be paying. We did not choose a "hosted" solution where the software actually runs on computers at the vendors data center. The reason we did not choose a "hosted" solution is that there can be response time issues, e.g., transactions could be much slower than when the server is hosted locally and it can affect how it operates with other library equipment such as the sorter and Big Bin that are located at the Service Center. By hosting the ILS locally, we have more control over the network speeds rather than being at the mercy of the hosting data center and the network speeds between MLS and the data center.
That makes sense. We definitely want our own servers!
Thank you, Anne and everyone else involved in this decision, for making sure that Big Bin and the automated sorter are covered and operating under our control, not at anyone else's mercy. IT always does a wonderful job of keeping our operations going and of fixing any problems that do come up as quickly as humanly possible.
