Ad-Team Meeting Minutes for February 6, 2013

Facilities Maintenance – Out of the Office
Human Resources – Lori reported the Human Resources Department is continuing work from previous weeks focusing on ACA (Affordable Care Act).
MAC – Kim announced she received over 40 project requests in a two week period. All projects were processed through Base Camp.
The 2013 Summer Reading drafts / bids were sent out on Tuesday, February 5th. It will be awarded and printing will begin in two weeks.
Kim received giveaways; Frisbees, water bottles, pens, and business card magnets, for the Almonte Reception scheduled for Tuesday, February 19th.
Kim gave kudos to Lloyd Lovely for being the only Ad Team Member to consistently give book reviews for the Info magazine.
Materials & Outreach – Karen sent out budget information emails to managers yesterday. She is working on the budget for Materials & Outreach and vendor issues at this time.
Outreach – Dana reported Emily Williams, the Young Adult Services Coordinator for Outreach, was asked to speak to 600 students at West Oak Park Elementary School this week. She will discuss what the Metropolitan Library System has to offer to young children.
Dana stated MLS programs and events, such as Fan Fiction Fan Art was covered in the media including the Daily Oklahoman this month.
Library Operations & Planning – Kay stated the Almonte Library has opened and is running smoothly. The library location is using a new door counter that scans each visitor as they walk in for a more sufficient count. On Monday, February 4th there were 172 visitors, the following Tuesday – 193. Kay compared other library visits to the Almonte Library and how the location is doing very well.
Kay reported the Annual Statistical Report is in the final draft and being reviewed by MLS Deputies and Donna Morris at this time. It will be in the February Commission Packet.
Kay also announced there may be an end to Saturday mail delivery through the U.S. Postal Services throughout the state of Oklahoma which will affect the library. More information to come as received.
Library Operations – Denyvetta reported there are two manager positions open. Aaron Bluitt is currently managing the Village Library and both Denyvetta and Aaron are managing Choctaw Library. Aaron is in the process of conducting a cleanup project for the Choctaw Library.
Denyvetta is in the process of selecting speakers and authors for the National Conference of African American Librarians taking place this August in northern Kentucky.
She also read kudos from two library visitors for Ralph Ellison Library and Midwest City Library.
Library Operations (Headquarters) – Candace is finishing up the Safety Training Manual updates.
Candace reported new chairs have been placed in the Downtown Library atrium replacing the old chairs that were not repairable.

Administration / Commission – Out of the Office
Information Technology – Jimmy reported the stats from Almonte’s express checkout; On Monday, February 4th there were 9 customers with 15 items. On Tuesday, February 5th it increased 12 customers with 58 items. Total circulation for Monday was 45 people with 210 items and on Tuesday 33 customers with 193 items. Jimmy stated that this is encouraging information for the Metropolitan Library System. Jimmy gave kudos to the Materials & Outreach department for their hard-work.
The IT department has received over 100 new computers; John Wood is working on imaging for the desktop on the computers.
Jimmy stated the electronic W2s have been filed with Social Security this week.
Development – Diane reported Library Day at the State Capitol is Tuesday, April 16th.
There were two other “Share Your Story’s” filmed at the Ralph Ellison Library this week. One of the customer’s by the name of Keith started his own business using the Capitol Hill Library. It will soon be available for viewing.
Warr Acres Library is beginning their public art project. The art will be placed outside the library and hopefully visible from the street and inside the building.
