X-Change Agenda: A supervisors’ meeting will be held Tuesday, April 21st sometime in the morning. A specific time and location of the meeting will be announced at a later date. Candace is currently looking at room availability at various library locations. The meeting will run for approximately 90 minutes. The first meeting will address the view of the organization as an entity and present an overview of the purpose of the meetings. Ideally, there will also be a Q&A session. Trainings specifically for supervisors will be held.
UPDATE: After the Ad Team meeting concluded, it was decided that the first supervisors’ meeting would be held at the Northwest Library. A specific time will be determined at a later date.

New Marketing Campaign: Kim asked the Ad Team if they had any new ideas for MaC’s new campaign. Tim suggested that the group wait until after responses from the MLS Planning Survey were evaluated.
REPORTS

Todd, CON: The agenda for the Long-Range Planning Committee meeting on 4/6 meeting has been finalized. It provides a recap of both funded projects at DC & BI and potential projects at BE, ED-2, AL, VI, RE & CT. The lease that was offered for the gym near the Capitol Hill Library for a temporary site has been verbally approved. While final details are still being worked out, it is expected that the final lease will be presented to the Metropolitan Library Commission in April.

Anne, IT: Anne, who serves as a grant reviewer for the annual Oklahoma Educational Technology Trust (OETT) grants to school process, saw in reading grant requests that some schools in Oklahoma are using computers that are 10-15 years old. She would like to find a way to work with schools to donate the computers the library no longer uses. In order to be able to donate our machines, there would need to be a policy revision. This would be done by the P&P committee.

Kelley, HUM: Two management candidates will be coming in for interviews (April 3rd and April 17th) for the Ralph Ellison Library.

Candace, LO Headquarters: 273 tickets have been sold for the Literary Voices dinner. The dinner will be held April 14th at 7pm.

Lloyd, BUS: While conducting the furniture and fixture inventory, Lisa Walker has been asking managers at each library location what they do to recycle. Once the data has been collected, a report will be brought to the Ad Team.

LaVetta, OUT: The Come Read with Me videos will be ready in time for the April Metropolitan Library Commission meeting. The Come Read with Me site at the Juvenile Justice Center (JJC) is flourishing; a Project Specialist from Outreach visits the center and reads aloud with a group of kids in the JJC. For those who wish to read, but are not allowed access to the part of the building where the library is located, a movable book cart travels to these kids. Our Project Specialists puts books together on a cart for traveling to the units. Our partnership with OU’s School of Library and Information Studies continues as students work on JJC's library projects. Other partners for this project are the OKCPS, Emerson High School and Chesapeake Energy.

Kay, LO: The Deputies, Tim Rogers, Todd Olberding, Jon Rollman, and Kay completed the document to help the Long-Range Planning Committee review and prioritize facility projects.

Kim, MaC: Marketing received design proposals on the Northwest Library and Midwest City Library’s signs. They are also finishing up Summer Reading materials. An employment brochure is also in the works.

Karen, MSL: The budget from the material selectors was due March 31st. Karen will be meeting with them April 2nd to begin preparing the budget for the next fiscal year. Collection HQ, a collection evaluation tool, will be shown to selectors and any manager who wishes to view it, in the form of an online demo sometime next week (4/6 - 4/10).

Tim, DIR: The grievance policy will be on the A&P Committee’s agenda for review for the April Metropolitan Library Commission meeting.

What a great idea Anne has to donate old MLS computers to local schools in need. I hope this can be worked into our policy. Also, kudos to Anne for serving as a grant reviewer in her "spare time." :)
