Ad-Team Minutes - June 10, 2015

Expected Outcomes: To discuss/approve the Alley Parking Task Force recommendations and set a date for when changes are to begin. To identify organizational objectives and measures that will make the organization’s three strategic goals more achievable in FY2016.

- Discuss alley parking (Dent, Fischer, & Olberding) – The Alley Parking Task Force conducted a survey of DN employees that asked who comes and goes from the premises and how often (daily, weekly, etc.). The group concluded that due to previous issues with flooding, the IT and OUT vans should be moved higher up the hill. The new alley parking list is as follows:

- Strategic Objective and Measures FY2016 (Rogers) - Over the next year (FY2016), MLS will focus on making progress on three specific goals identified in our strategic plan. They are:
- Visitors will easily navigate our inviting physical and virtual spaces.
- Our community has access to expert library staff with up-to-date knowledge, skills, and abilities to deliver library services; and
- Visitors are connected with library resources at every point of contact.
After acknowledging these goals for the library system, the Ad Team discussed an outline of creating strategic objectives. For each goal, there would ideally be three to four strategic objectives. When these objectives are increased or achieved, it will signify that the goal has been met. Key performance measures are the actual measures that should be attained through the strategic objectives. The group spent the remainder of this agenda item discussing ideas on how goal #1 could be achieved, including usability testing with focus groups and surveys, increased signage, etc.
After the meeting concluded, it was decided that some (not all) of the Ad Team would form committees of at least three members, each committee focusing on one goal and what strategic objectives are needed to achieve it. The committees will be formed no later than Wednesday, June 17th. The results will be presented to the group at a later date.
REPORTS (All)
Kelley, HUM: The payroll error dated May 27th in May 28th’s payroll will be coming out of June 11th’s paycheck. The error stems from work being done on the benefits module. Kelley feels confident that the issue should not happen again.
LaVetta, OUT: With the help of MaC, a sticker will be going on books donated to the Ronald McDonald House. It reads, “Read It Forward: This book was donated by a Metro Library Reading Hero.”
Tim, DIR: Beginning June 15th, Chris Kennedy will be the Regional Director of the East Region, continuing his presence at MC. Michael Gillespie began his work as the new manager at RE on Monday, June 8th. The methodology for interviewing and hiring will be slightly different for assistant managers and managers, beginning with the BE manager position. A search committee of at least three individuals will be involved in interviewing candidates for employment. A presentation will also be included the interviewing process. Presentation attendees may include X-Change members and any employee in the department that the candidate is seeking employment in. Tim would also like to meet all assistant manager and manager applicants.
Todd, CON: Plans for JN are now in the works. A groundbreaking event could take place in August. CH bids were presented at DN yesterday (June 9th). BE received 10 proposals for architectural services. Four city council members will be on this committee. Work on Ed’s parking lot is set to begin in August. Tim Rogers and Melody Kellogg will be meeting with the City of Edmond’s Capital Improvement Advisory Task Force on June 18th to discuss logistics on a second library in Edmond.
