Tech Support Meeting Minutes

Update on Action Items:

  1. The netbooks with wireless access for issuing library cards were shared with the library managers. All library managers were in favor of the new system and a committee will be formed in the future.
  2. IT asked for feedback on possible Word 2007 defaults from the libraries and have added print and print preview to the quick-launch menu and changed the default on Word to have 0 lines of spacing before and after lines of text.
  3. Marketing will continue to work on a new graphic to replace the information graphic on the database page and will provide graphic to IT for incorporation on the databases page.
  4. IT has added a flag to the staff catalog to alert staff to remind customers about setting up notifications.
  5. Marketing has created a more noticeable graphic for CyberMARS to alert customers to the notifications page and Marketing will send to IT for adding it to CyberMARS.

Changes to the Internet / Intranet:

Internet

  • Tax Resources Page – has a calendar of all of the tax help events at library locations and a numerous amount of online resources for  customers.
  • Oklahoma Government Website Information Act page
  • New Press Releases Page with incorporated twitter and Facebook like buttons
  • www.supportmls.org
  • Monthly focus on homepage, February is African American history month including information about the African American History Online Database.

Intranet

  • Updated staff volunteer page
  • Updated Event Calendar – uses Google calendar now
  • Compensation and Classification Study page

Revisions Coming Soon:

  • Policy and Procedures page update
  • Forms page will be searchable and have filters available

ILS Issues:

  1. A librarian would like a copy button next to the customer’s library card number on the staff catalog reserve screen that is like the copy button in VCirc for customers wanting multiple reserves at the same time so you don’t have to put the name in again.
    • Placing a copy button only could get confusing because you would just see the card number, not the name. Jimmy can add a button on the customer lookup area that gives a “last reserved placed” option that you can click and use instead if you have a customer needing multiple items reserved from the staff catalog.
  2. Kim Terry asked if there would be a way to add online registration to library events.
    • Tech Support discussed the pros and cons for adding this feature. Jimmy thinks this functionality could be added but details would need to be worked out. This will be discussed at the manager’s meeting to see if this feature would be useful for all events or only special events that would expect many participants.
  3. Kim Terry asked if there was a simple, automated way to add a facebook “like” button to our catalog for customers to “like” materials and it show up on their facebook page.
    • This can be added, however it can’t collect data and would be available for marketing purposes only. This has already gone live for everyone to use.
  4. A circ clerk asked if it would be possible to make a small addition to the printed reserve label that designates a staff reserve.
    • Tech Support discussed the reasoning for doing this across the system. Staff may not want their materials flagged. If this is needed to save space for customer reserves, there are other ways this can be addressed.
  5. A librarian asked if the following filters could be added to the advanced search on the catalog; search by library, Change the media audio option to tape, cd, and mp3s, and add a search by ebook. This person also requested more information in the catalog about the media option cd/dvd-rom files.
    • All of the filters except library location can be found in the catalog by keyword searching. Pauline will contact this librarian about forming keyword searches for these types of filters. Filtering by location could only be beneficial in the library via the staff catalog because 2/3 of our searches are done outside of the library and epub and emedia materials would be missed because they have no location in the catalog. This would be a disservice to our customers. Adding the other filters will be considered and discussed further with Materials Selection and  Information Technology.
  6. A leader of the librarian forum, CONNECT, would like tech support to explore the possibility of a shared database, or other information resource, where MLS librarians could voluntarily list other skills they have that might be useful to other librarians in answering reference questions. Examples would be languages spoken, specialized degrees, hobbies, skills, etc.
    • Something like this was created once before but it became very difficult to keep updated. We see the need for this system wide, but some kind of protocol would need to be set up for how often someone’s skills were called upon. This needs further discussion and may be something that can be added to another request from CONNECT. Kellie and Kim will work on this.

Action Items:

  1. Marketing will continue to work on a new graphic to replace the information graphic on the database page and will provide graphic to IT for incorporation on the databases page.
  2. IT will add a button on the customer lookup area of the staff catalog reserve page that gives a “last reserved placed” option for multiple requests from the same customer.
  3. Online registration for Library events will be discussed at the manager’s meeting.
  4. The facebook “like” button has been added to CyberMARS for customers and staff to share on Facebook when they like one of our titles.
  5. Adding the other filters to the advanced search in the catalog will be considered and discussed further with Materials Selection and Information Technology.
  6. Kellie and Kim will work on the CONNECT librarian databases (or other resource).
  7. Marketing will create a more noticeable graphic to alert customers to the notifications page in CyberMARS and will send it to IT for  implementation.
