CDC guidance about close contact
Background/Updates/Discussion: CDC updated their definition of close contact for contact tracing purposes: old definition- any individual who spends a continuous 15 minutes within 6ft of an individual experiencing symptoms; new definition- any individual who spends a total of 15 minutes during 24 hours within 6ft of an individual experiencing symptoms
Decision: Wearing masks and keeping 6ft away from coworkers are the most important things that we can do currently to help keep everyone healthy. Continue to evaluate how staff are completing day to day tasks. Appraisal meetings should be completed via Teams/Zoom as much as possible. Remind staff to be more aware of where they are at all times. No more than 2 people in an elevator at a time. At locations with restrooms with more than one stall, only use every other stall.
Next steps: Public Services will be starting discussions with the Library Managers to brainstorm ways to change procedures if some activities are keeping staff too close together.
Performance Development Revisions
Background/Updates/Discussion: Changes will be coming to the Performance Development system.
Next steps: All correspondents will be emailed on November 2 with the changes.
Telework
Background/Updates/Discussion: Discussion about telework and what would work best for the current situation.
Decision: The entire system is in emergency telework. Remember that all positions that are emergency telework eligible need to have the telework agreement completed and on file in HUM before completing any telework. Telework approval will be based on the business needs of the library/department. Staff will have a conversation with their supervisor to work out the details prior to teleworking.
Security Incident from September 21st
Background/Updates/Discussion: The security incident that occurred at Downtown on September 21st is still being investigated. We are having an outside group complete the investigation and their results are expected soon.
Next steps: The results will be shared with all staff after we receive them. Personnel information will not be included in what is shared with the system.
Business Office policies
Background/Updates/Discussion: The BUS office has updated the following policies and procedures: SF 200 Purchasing, SF 200.1 Procedures for Credit Card Purchases, SF 200.2 Affidavit for Filing with Competitive Bid, SF 300 Investment Policy, SF 600.1 Travel and Related Expenditure Procedures and Guidelines, SF 800 Inventory Control, SF 800.1 Inventory Control Procedures, SH 210 Retirement Policy. Most of these were updated for language and to update the current procedures.
Next steps: These drafts will go to the Finance Committee in November for approval and then will be in the full Commission meeting in November for final approval.
RE/SO Renovation Status
Background/Updates/Discussion: Windows should have started to be installed on Thursday 10/22 at RE. SO will not have their windows installed until the first week in November.
COVID Closures
Background/Updates/Discussion: When we close locations for disinfecting we reach out to the cleaning company and see when they are able to get to the building. Depending on when the cleaning company can get to the building, we may reopen the location the same day. It is safe for staff to return to work immediately after the disinfectant that is currently being used is applied. This will cut down on disruption for the customers and staff.
Kirkpatrick Foundation Donation
Background/Updates/Discussion: The initial donation will be 100 items. The Foundation will be donating yearly after that. A small group of staff will be starting to determine how we will use the collection. This group will grow as we learn more. The donations will be spread throughout the system and will be weeded as we would any other materials. The Foundation is also hoping to have programming tied to the collection.
Friend’s Grant Requests
Background/Updates/Discussion: Friend’s Grant requests need to be in by November 3rd. Scholarships and money for Summer Reading 2021 is already included in the request that will be going to the Friends.
Masks and customers
Background/Updates/Discussion: A discussion was had about masks and customers in the building. We are offering accommodations for customers through curbside, answering questions through phone calls, emails, text messages, offering Tailored Titles service, etc.
Curbside Hours and Daylight Savings Time
Background/Updates/Discussion: As we are approaching the end of Daylight Savings Time it will be getting darker even earlier than it is now, due to this do we want to change the hours we will have curbside service available? Discussion followed, the question was asked about parking lot safety and having staff wear safety vests when they are in the parking lot.
Decision: Curbside hours will be ending at 6p Monday through Thursday starting on November 1st.
Next Steps: Public Services will be investigating safety vests for staff.
