- Distribution of review forms
- Executive Director performance review forms distributed to LT for completion and submission by Nov 15, 2019. Results are anonymous and will be aggregated and shared with Commission and the Executive Director in Dec 2019.
- Procedure review AM 100.1 (Handed Out)
- Discussion of proposed procedural changes, resulting in approval by LT.
- Executive Director asked LT for input and comment on SH 611.1, to be sent to her within the next week.
- Core Values Exercise
- LT completed a core values exercise resulting in the following values (in order of voting priority with number of votes) being identified for strategic consideration: Respect (46), People 1st / Customer Service (23), Innovation (21), Integrity (19), Candid Transparent Communication (11), Flexibility / Adaption (9), Intellectual Freedom / Open Access (9).
- LT Move in and grand opening assistance at BE
- Seeking LT help in the moving of BE. Coordinate through Erin (PS).
- Department Updates
- Business Office
- Emailing staff regarding timecard approvals and how to address when not done properly.
- Still working on budget training for staff. Send suggestions / request for staff training on budget to Charisse within the next week.
- DVS
- Offices located back on 1st floor of Downtown Building.
- Will be submitting procedures for approved giving policy in future sessions.
- Friends Booksale at the Fairgrounds on Feb 22-23, 2020.
- A donor and volunteer stewardship event is scheduled for April 30, 2020 from 5-7pm at Oklahoma City Golf and Country Club.
- The next Literary Voices is on September 24th, 2020.
- L&D
- Working with Kristine Magers to expand awareness and use of MLS databases.
- Developing the 2020 Access & collection training course calendar.
- Working through Staff Development Day survey results.
- Intacct training will be offered quarterly
- IT
- BE getting ready.
- Preparing for ED closure.
- All PCS (185) ordered and received for the year.
- Operations
- Several OKC projects impacting libraries.
- City of OKC is working on purchasing land for a potential AL new location that would be at May and SW 59 Street.
- DC underway and looking to set grand opening date.
- ED closing on Dec 9, 2019 through Mid-March 2020. Temporary location is on Bryant next to Pelican Bay.
- BI LOI has been submitted.
- Maintenance
- Getting Fleet records together.
- Received unrepaired truck back from provider.
- Working on addressing items from Facilities Maintenance Customer service survey.
- Midwest City has contract out for HVAC equipment; another 2-3 weeks before parts are in.
- PLA
- Working on Staffing survey and data analysis; PLA customer service survey implementation, Delivery Study follow-up.
- Request made to LT to submit services from each department to PLA for customer service development.
- Security
- Contract bids due next week.
- Lots of contract employee turnover but new people are onboard.
- 30 pcs left in Friends Room overnight; have staff check rooms before departure.
- Marketing
- New commercials out and shared during the Operations Town Hall. Commercials in English and Spanish languages.
- Working on RFQ for emergency signs for all locations.
- Public Services
- Meeting with Baker – Taylor to receive shelf ready books in test of process. While some errors, test considered successful. More books in test coming in January 2020. Will consists of best sellers to get books into the hands of customers faster.
- Shelf-ready opening day collections being considered for renovated BI & DC.
- BE has mostly moved out of temporary location.
- AL has 4 open positions; all of CH positions fully staffed.
- Staff attended Grand Opening ceremony of new Norman Central library Building (Pioneer System).
- Next meeting is Nov 20, 2019.
