Friends grant process and gift policy

Heather Zeoli presented ideas for streamlining the Friends grant process.

Heather also reminded everyone that the library system itself cannot accept monetary donations directly; and clarified that gifts of materials and physical items belong to the Friends, not to individual libraries nor the system, and may not be added to collections.

Staff Day update and Friends grant

Milissa Copeland shared that Staff Day will be on October 14 and that the venue has been booked.  A kickoff meeting for the committee will be held on Tuesday, May 21.

HUM policies

The group discussed the performance development process and its impact on staffing.

The timeline for the midpoint review will be extended through June, to allow staff and supervisors time to complete the process.  An e-mail will be sent to all staff.

Department updates

Public Services

  • BE hopes to have a grand opening in August
  • New managers are settling in at DN, VI, and WA
  • DN managers will be moving back to the DN workroom; DVS will be moving back to the first floor
  • CSD is getting closer to purchasing copies of new bestseller shelf-ready, to reduce time it takes to get to customers
  • EPS is working on Summer Reading
  • OUT has scheduled staff for at least two shifts per day for all 10 days of the Children’s Garden Festival at the Myriad Gardens.

Operations

  • Several members of the Leadership Team have been meeting with ADG about the BI and DC projects.
  • Options for addressing the HVAC at ED are being explored.

IT

  • A new UPS has been purchased; installation will require an overnight downtime.
  • Anne is working with BE on plans for their new makerspace.

MAC

  • Kim is working on getting streetlight banners to be displayed during the Sendak exhibit.

BUS

  • Budget is in Martus and is balanced.  Leadership Team members are asked to check it and notify Charisse of any changes or errors.
  • The new mileage reimbursement procedures will be implemented on July 1.
  • BUS would like to surplus furniture, etc., from the BE temporary location as is, where is.  If anyone wants to request an item, coordinate with Lisa Walker.  PLA may have a list as to which items have already been claimed.
  • Everyone is reminded that an RTO is required before committing to a purchase.

Admin

Julie reported that she and Anne have met with representatives from the Oklahoma City Public Schools to discuss OneCard and Summer Reading.  At this time, there are no plans to extend OneCard beyond OKCPS.
