X-Change Meeting Minutes for February 16, 2004

Welcome and Announcements - Kay Bauman

Welcomed supervisors to X-Change. Welcomed the two new directors to their first X-Change meeting: Lloyd Lovely, Director of Finance and Patrick Williams, Director of Facilities Maintenance. Discussed agenda for the afternoon.

Budget and Projections – Donna Morris

The Library’s revenue is close to what it was last year. When preparing for the next budget, do not count on additional money, new services or programs. Donna let managers know that we are looking at having an election in February 2005. February 1997 was the date of our last millage election. To help prepare for the millage, Administration will be gathering data from our users through the use of surveys or polls. Donna indicated there would be not “big” marketing push for the election.

Welcomed supervisors to X-Change. Discussed agenda for the afternoon. Kay announced the dates for X-Change in 2004. They are as follows:

February 16, 2004, 2-4:30 pm
May 17, 2004, 2-4:30 pm
August 16, 2004, 2-4:30 pm
November 15, 2004, 2-4:30 pm
Each of the meetings will be held at the Belle Isle Library. Kay invited managers and supervisors to bring snacks for the group. Anyone wishing to volunteer to do so is more than welcome to begin bringing food to the X-Change meetings. Please contact Kay if you would like to volunteer.

Friends – Marian LeCrone
Marian presented to the group some facts about the Friends. She invited managers and supervisors to join the Friends so that we can “Help Our Friends Help Us”. Marian will be visiting each library to talk with employees about the Friends membership. She will also be delivering new stands to each library, which will include Friends membership brochures. Membership forms may also be found on the Internet.

X-Change Meeting Minutes for August 18, 2003

Welcome and Announcements - Kay Bauman
Welcomed supervisors to X-Change. Discussed agenda for the afternoon. Asked for announcements from supervisors. Dana read a “thank you” letter to the Belle Isle Library from community partner, Viet-Youth Today Association, thanking them for allowing usage of meeting rooms for “Read Across America.”

Summer Reading Debriefing – Scott Carter and Heidi Daniel-Morgan
Scott congratulated all the libraries and announced we have achieved a 30-year record. The total participation for this year’s summer reading program (including teens) was 13,006. In preparation for next year’s summer reading program, he has already met with Library Managers and Oklahoma Dept. of Libraries.

Scott has been brainstorming as to what prizes to offer for smaller children completing the summer reading program. Several ideas generated were Olympic platforms at each library for the smaller children where they can have their picture taken. Also movies for the “Read to Me” group as a special prize.

Welcomed supervisors to X-Change. Discussed agenda for the afternoon. Asked for announcements from supervisors. Dana announced teepee ceremony would take place on the Belle Isle lawn on Tuesday, May 20, 2003. Kay welcomed new Ralph Ellison manager, Daphene Keys, to her first X-Change meeting.

Executive Director - Donna Morris
Donna stated that everyone is winding up the budget for this next fiscal year. The next Finance Committee meeting will take place on June 10th, during which the budget will be presented. Donna updated everyone on the new Downtown Library & Learning Center. Panels are going up slowly. We will continue on as if moving into the new building this fall.

X-Change Meeting Minutes for February 17, 2003

Welcomed supervisors to the third meeting of X-Change. Discussed agenda for the afternoon.

Executive Director - Donna Morris
Encouraged all supervisors to re-read the Emergency Operating Plan and discuss at your staff meetings. To find out more information on security, Donna gave attendees a handout and directed them to visit the website: http://www.youroklahoma.com/homelandsecurity. Anne Fischer and the Safety Committee will look at supplies and make recommendations. Next Safety Committee meeting will be March 11th.

X-Change Meeting Minutes for November 20, 2002

Finance Committee met last week. There were good discussions and presentations made about the Library. The Finance Committee would like to begin meeting quarterly. The Long-Range Planning Committee was also present at this meeting.
Next Commission meeting will be held on Thursday, November 21, 2002. There will be an Executive Session held to discuss Executive Director position.

Restated our vision: “The Metropolitan Library System is Oklahoma County’s premiere information, education and entertainment resource.”
Our group exists to:
Focus on our target, i.e.: our mission
Clarify our roles
Bridge our communication gap to help us be ‘on the same page’
What you can expect from this organization is:
To provide the necessary information to help you understand your role
To respectfully listen to participants
Discussed briefly the agenda items for the afternoon, as well as, the feedback form, which will be attached to the agenda for every quarterly session.

A mini-workshop designed to increase supervisor’s awareness and understanding of major directions that the library is developing
Time for eXchange where participants will share experiences and/or thoughts about common issues and challenges for the purposes:
Focusing on exchanging the vast amount of information each of us have
Providing the opportunity for us to learn from one another
Identifying best practices in our system and elsewhere
