X-Change Meeting Minutes for February 19, 2007

Welcome
Kay Bauman called the meeting to order at 2:00 pm. Kay welcomed the supervisors to the Edmond X-Change meeting. She introduced Donna Morris, Director, who gave an update on legislative items that were on the floor that would effect the Metropolitan Library System.

Leadership Training
Stacy Schrank, Employee Development Coordinator, introduced Dana Bickford, contract leadership facilitator for Metro University. Dana gave a brief introduction to the upcoming management and leadership courses that will be offered through Metro University.

Introduction to Mediation Training

Stacy Schrank, Employee Development Coordinator, introduced Phil Johnson, Director of the Central Early Settlement Mediation Program. Mr. Johnson works for the Oklahoma Supreme Courts and conducted training on an introduction to mediation and facilitation of mediation.

Kay Bauman called the meeting to order at 2:00 pm. Kay welcomed the supervisors to the May X-Change meeting and thanked Midwest City for the lovely refreshments.

Responsibilities of Employees – Staff Use of Public Library Property and Services

Anne Fisher gave out copies of the SH 620 Staff Use of Public Library Property and Services policy. Anne stated an issue has risen where staff will check out materials and check them back in without returning the materials. Anne encouraged the supervisors to talk with their employees so they understand their responsibilities with library property and services. Additionally, items being returned are to only be checked out or checked in on a computer at a library—never an office computer.

Kay Bauman called the meeting to order at 2:00 pm. Kay welcomed the supervisors to the November X-Change meeting.

Changes in Recording leave under Family and Medical Leave Act

Ric Rea and Denise Courts from Human Resources gave a presentation over changes in recording leave under the Family and Medical Leave Act. Denise Courts dispersed a handout which addressed the changes to MLS HRPay to help comply with the changes in the Family and Medical Leave Act.

Effective November 28th, 2005, changes will take place on MLS HRPay to help Human Resources and employees with Family and Medical Leave Act (FAMLA) compliance. These changes included:

X-Change Meeting Minutes for August 15, 2005

Kay Bauman called the meeting to order at 2:00 pm. Kay welcomed the supervisors to the August X-Change meeting and encouraged the supervisors to share activities, accomplishments, and events happening at his or her library or department. The group enjoyed taking part in sharing upcoming events and library/department accomplishments.

X-Change Meeting Minutes for May 16, 2005

Welcome and Announcements - Donna Morris
She reported that she has been busy answering questions from the media/press about library access policies. The Public Services Committee took no action at its last meeting; therefore it will go as a report to the Commission meeting which will take place on Thursday, May 19th. Donna stated that television and other forms of media have been providing balanced coverage. For those concerned about reduction of state aid (ODL), it will have no impact on our funds. We currently get about $350,000 from state aid, which is close to just 2%. Donna had a question/answer session with supervisors. Department staff would like to be kept in the loop regarding any important news releases/articles that pertain to library issues. Possibly having articles e-mailed and/or placed on the Intranet would be beneficial to all staff.

Donna had nothing to report; asked for questions.

A question was asked regarding the Northwest library. The City hasn’t sold enough bonds to fund the project.
Donna is currently working on the Capitol Hill Library project and the Ralph Ellison Library building project.
The millage election will be taking place possibly in February 2006.
Discussion of legislative topics related to libraries.
Discussion of OLA Conference being held in Norman at the USPS Employee Development Center.

Circulation figures are on the increase.
The next Commission meeting will be Thursday, November 18, 2004 at the Edmond Library.
The Administrative & Personnel Committee will be meeting before the Commission meeting for a special executive session.
Update of MaC Procedures – Scott Carter

Scott reminded all supervisors to please use the appropriate forms when requesting services and/or materials from Marketing.
These forms can be found on the Intranet, under the Forms page.
The forms to be used are the Production Art Request and the Photo/CD Request.

Welcomed everyone to X-Change. Discussed agenda for the afternoon.

Donna Morris – RJN DN Updates

Opening date not yet set (expect to pick date in next two weeks)
Still working on punch list with city
Patrick and MTC are receiving training on new systems in the building
Offices to begin move on 6/1
Debra Spindle and Karen Marriott have requested four weeks to move the library
Office furniture is mostly installed
Mill work currently being installed in children’s area
We are currently planning a “staff only” pre-opening event – more details later
Rotary fountain dedication will be 6/22
Automation has moved into building and have done a great job
